CIBOLO GREEN STAAR Test Day Guidelines & Procedures Test Dates Tuesday, April 1st – 4th Writing Day 1 & 5th Math & Wednesday, April 2nd – 4th Writing Day 2 & 5th Reading Test Times 4th Grade 5th Grade Student Pick Up: (Sm. Gp./Ind.) 7:55 Student Pick – Up: (Sm. Gp./Ind.) 7:40 Begin Reading Directions: 8:05 Begin Reading Directions: 7:50 Testing: 8:15 - 10:20 Testing: 8:00 - 10:00 Lunch: 10:20 – 11:20 Lunch: 10:00 – 11:00 Resume Testing: 11:20 – 1:15 Resume Testing: 11:00 – 1:00 Late Students: If possible, test directions will be read to them in the front office. They will be escorted to their test site. Small Group/Indiv. TA’s will pick up their students from the grade level common area at times indicated. Attendance 7:35 4th & 5th Grade teachers will IM Darla to report either 100% present or a list of names of students who are absent. Darla will make phone calls to these parents. 7: 45: 4th & 5th Grade teachers will “highlight” the AROL list to mark attendance. Hand this list to Hall Monitor. Ms. Silva will collect all lists from Hall Monitors at 7:55 and turn in to Darla. Enrichment/ Lunch/Recess No Enrichment on test days. Refer to “Test Day Lunch & Recess Schedule” Recess Test Day times are subject to change. Lunch/Breaks Lunch Volunteers: All 4th; All 5th; All Special Ed: All Enrichment Team; Schwarz Refer to “Test Day Lunch & Recess Schedule”. Schedules are subject to change. Students still testing at lunch: Place their answer documents inside test booklets. TA will collect all test booklets and lock them in the locked built – in cabinet or turn them in to the counseling center. (Refer to schedule) TA will document lunch start and end times on Seating Chart. TA will escort students to cafeteria. Remind students not to discuss the test with anyone. During a student break, TA must collect Test Booklet & Answer document. TA must physically hold the students’ Test Booklet or place in test tub. During a student break, time is not stopped. Time is only stopped for an emergency or for a medical reason. This is the ONLY break documented on Seating Chart. Students w/Extra Time Small Groups: @ 1:30 Ms. Silva will pick up students from your test site whom are DONE w/testing and escort them to their classrooms. Small Group/Indiv. students w/Extra Time still testing will remain with the TA until the entire group has finished. Students with Extra Time test until the end of the school day. Students in a regular classroom: @ 1:15 Admin. Team member will pick up students from your classroom w/extra time who have not yet finished: o TA will complete Condensing Room Form and place in Test Booklet & Answer Document in Condensing Envelope. DO NOT allow students to carry their own tests! o TA will complete Condensing Room Student Information Card. Send students w/backpacks, lunch boxes, etc. as students may not return. Test Administration Post “Testing – Do Not Disturb” sign outside your door. Post “Time Tracker” Form (Lime green half sheet) on window near door. Post/Place “Room Traffic Control Form” along w/a pen or pencil at entrance of Test Site. Seating charts will be emailed to you. Review & print. Actively monitor during testing. This means the TA must be actively engaged while students are working on their test, moving about the room and aware of students’ actions. TA is only allowed to read material that applies to testing. Inform students that Test Monitors may enter test site during testing. They should ignore any distractions. 4th – ONLY at the request of a student may the writing prompt be read aloud, unless it is in the ARD. 5th Math – Reference Chart is in the Test Booklet. If one rips, just tape together. When a student has completed testing for the day, he/she may read a book silently. Test Administration – Answer Documents Ensure that the correct Answer Document is given to each student especially after a break, lunch and day 2 of testing. Students must mark their answers on the answer document and NOT be instructed to first write them in their Test Booklet and then transfer them. They must be allowed to test at their own speed. If an answer document become unusable at any point, “Buzz” the office immediately. Student should NOT bubble demographic information or attempt to correct any information on answer document. Ensure that the following are marked: “S” for score code Correct Test Booklet # Form # “EN” or “SP” Test Administration – Cell Phones & Computers Cell Phone Policy – Cell phones must remain OFF during testing. A cell phone is NOT to be used as a timer/clock during testing. Students and TA’s are not allowed to use their cell phones. Computers must be OFF during testing. No computer use during testing. 4th & 5th Grade teachers will IM Darla for attendance, do lunch count and shut down their computer until tests are turned in. Test Administration – Emergencies For all emergencies, students who become ill, questions, concerns, TA breaks, the TA will: o “BUZZ” the office. No one will respond. Someone from Admin. Team will appear in your room to assist you. AND o Slide red “Need Help” sign under your door. The Hall Monitor will call for help. o DO NOT send students unescorted ANYWHERE. o DO NOT ask a Hall Monitor or District/State Test Monitor to stay w/your class during testing. Test Administration – Room Traffic Control Form Forms will be provided in Test Tub Place form near entrance. Include a pen/pencil. EVERYONE who enters test site must sign in and sign out. Test Administration – Seating Charts Seating Charts will be emailed to you. Review, make any necessary changes, and print for each test day Complete all required information o Class Start/End Time o Lunch Start/End Time o Test Book # o Individual student start/stop time ONLY if time is stopped for a student due to an emergency Test Administration – Student Snacks/Water No snack breaks unless indicated in ARD Water/water bottles must be kept at a separate location in test site away from test materials. Cups will be provided for students who do not have water bottles. This helps avoid students leaving the classroom for water. Pick up your cups on the way out. Cup bags & left over cups will be returned to counselors. Test Administration – Time Tracker Form “Time Tracker Form” must be posted on the window near the door of your test site facing outward when test begins. Document: 1) Start Time 2) Number of students testing as indicated by time 3) Test completion time Test Material – Pick Up Test Materials will be ready for pick up by TA at Counseling Center beginning at 6:30 AM. Tubs contain: Test Booklets, Answer Docs, Pencils, Erasers, All necessary forms It is best if you DO NOT bring anything w/you to pick up test tub. The tubs are heavy, carrying a drink and/or bags may make it difficult to carry the tub. Tub will not be signed out until all materials are verified. Plan accordingly as this can take some time. Once tub is signed out, TA is 100% responsible for all contents. Tub must remain w/TA at all times if not locked in built in cabinet. DO NOT leave tub unattended or w/ANYONE other than the counselors in the Counseling Center. Test Material – Turn In “Buzz” office to indicate your group has completed testing. (Remember, no one will respond but someone will appear in your room.) Slide yellow, “All Student have completed Testing” form under your door. Hall monitor will alert us. Return: o Test Booklets in numerical order o Answer documents in alphabetical order o All forms completed (Room Traffic, Seating Chart, Time Tracker) o All supplies (pencils, erasers, highlighters, etc.) o All documentation that may have been included for students (supplemental aids, scratch paper, etc.) o Black Training folder & Manual (on last day of testing) Small Group/Individual TA’s, bring your student(s) with you to sign in tests Test Site Preparation Every TA is responsible for preparing his/her test site. Desks should be in rows with space between for easy access and monitoring. Turn desks around. Do not block windows. Remove any posters, furniture etc. that may hinder the vision of the Test Monitor. Cover and/or remove from test sites anything that can be used as a resource for students testing. This includes material in hallways near test sites. Erase any information on boards that has been used for instruction. All test sites must have clocks in working order. We CAN NOT use cell phones to monitor time. Small Group/Indiv. TA’s must take their students to visit their test site prior to test day. Make these arrangements with their classroom teachers. Your Preparation READ YOUR TEST MANUAL! Read Directions prior to day of test (they are tabbed). Directions must be read VERBATIM. Read: o All emails titled “STAAR” o All material on server (Counselor Folder, STAAR training folder, April 1st & 2nd Folder) o All materials in training folder Remember Test Security & confidentiality! o Do not discuss, email, post on any form of social media, text message or video any parts of the test or information regarding the test. This includes discussion on student performance and the writing prompt.) All TA materials (Black Folder, Manual, Key to built-in cabinet) MUST remain visible on your desk the night prior to testing. Small Group/Indiv. TA’s must Meet/Greet their students prior to day of test. Sign your oath at the end of this training. If you will be absent on the day of testing, call Cindy ASAP! (416 – )
