Voting Procedures- TVTMA
Voting Privileges- Each family gets one vote on matters calling for decision by the general
membership.
Term of Office- 1 year
Nominations- The president shall appoint a nominating committee to prepare a slate of
nominees for presentation to the general membership. Additional nominations may be made
from the floor during the membership meeting at which elections are held.
Nomination Committee- Verrick Bach, Gavin Huggins, and Steve Frisbie, (Please send all
nominations to Verrick Bach for further review by the committee). Deadline for nominations is
Oct. 21st, 2013 at the general meeting at Rekluse.
Elections- Members of the board, shall be elected each year during a general membership
meeting that is dedicated solely to that purpose by the president. This year that meeting will be
our November 18th, 2013 meeting scheduled for Moto Tech.
PositionsPresident Elect- Verrick Bach
Responsibilities- Preside at Board meeting- prepare an agenda, send out meeting
announcements, request committee chair reports, and organize monthly general meetings
Vice-PresidentThis is a two year commitment- 1 year as Vice President, the following year you will serve as
president.
Responsibilities- attend both Board and General meetings, Contact Committee chairs as
needed, line up speakers for general meetings, organize the meeting places for both the Board
and General meetings.
SecretaryResponsibilities- Take minutes at both the Board and General Meetings, take role at meetings,
maintain a binder that holds essential documents that are essential to the continuation of the
corporation.
TreasurerResponsibilities- Pay bills as required, deposit and record income, maintain monthly budget in
spreadsheet format, recommend capital expenses, Present annual budget and financial plan,
and compile annual report to State Attorney General.
TRAC ChairpersonResponsibilities- Attend Board Meetings, Provide report of committee activities, encourage
committee member contact with and managers, assemble committee to cover all riding areas
of TVTMA
Membership Committee ChairpersonResponsibilities- Attend Boar Meetings, Provide report on current membership, generate and
mail membership cards, process memberships, maintain membership database.
Newsletter Committee ChairpersonResponsibilities-Receive and edit articles for newsletter, compile newsletter, attend board
meeting, provide PDF file of Newsletter to Webmaster, work with membership chairperson to
create advertising and announcements, and work with ride committee chairperson to update
ride calendar.
Ride Committee ChairpersonResponsibilities- Provide ride announcements to Newsletter chairperson, provide ride reports
to newsletter chairperson, Update ride calendar with webmaster, attend board meetings, and
communicate with ride leaders and confirm rides on schedule.
Equipment Committee ChairpersonResponsibilities- update inventory list, attend board meeting, provide report on equipment
issues, check out and in equipment, and work with treasurer and president to determine
budget for equipment expenses.
Finance Committee chairpersonResponsibilities- Attend Board Meetings, provide reports on finance issues, work with treasurer
and other committee chairs to review budgets, and help generate annual report and budget.
Events and Programs ChairpersonResponsibilities- Attend Board Meetings, provide report on events and program issues, work
with newsletter persona and ride chairperson to update the calendar, organize annual
Christmas Party, Organize Sports and RV Show booth, generate a list of available events and
programs, and work with treasurer and finance committee to determine events budget.
ITMA State Ride RepresentativeResponsibilities- Communicate and address issues that affect the entire state, the ITMA
representative should work to foster communication among the various ITMA clubs. Attend
State Board Meetings at the state ride.
