Terms & Conditions
Travel and Accommodation Costs (v.13.06.2014)
These terms and conditions are applicable to all successful scholarship holders on an Integrated Placement
Program at Community Training Australia. The following terms are used within this document:



Integrated Placement Program: An Integrated Placement Program entails travel and
accommodation, arranged by CTA for the student, to facilitate a course requirement (generally a
placement to negotiate workplace training requirements).
Booking fee: The booking fee relates to travel, accommodation and insurance costs that are
incurred by CTA on behalf of the scholarship holder to enable placement requirements that are a
part of the course of study. The booking fee is not charged to a student’s VET FEE-HELP debt, and
so the census date for the course is not to be confused with financial mechanisms that govern this
particular arrangement.
Booking week: This is a one-week period during which CTA will finalise travel arrangements for
all successful scholarship holders. Any decisions to not travel must be communicated to CTA in
writing via email to the concerned coordinator prior to start of the booking week.
The following conditions apply to all successful scholarship holders:
1. A completed and signed elective selection form from the student to CTA will serve as sufficient
evidence that the scholarship holder intends to proceed on the integrated placement program, and
any travel components that it includes.
2. Travel and accommodation costs will be organised by CTA at the institution’s cost as a facility for the
scholarship holder.
3. The responsibility to source a passport, other important travel documents, vaccinations, and any
additional insurance lies with the student. CTA remains completely indemnified from any costs
incurred by the student to procure personal documents or effects to facilitate their travel.
4. Students are responsible for determining and undertaking vaccinations required for overseas travel
with their General Practitioner. CTA remains indemnified from this responsibility.
5. Should CTA determine student numbers to not have reached the required minimum to organise a
placement, the scholarship holder will no longer be entitled to an overseas placement, and will be
offered the same elective via a mixed mode, rural residential or distance route (if applicable). The
corresponding module cost will apply to the student. The scholarship offer will not be deferred to a
new intake automatically.
6. CTA will inform the scholarship holder via email of the dates that apply to the booking week, so that
the student is aware of the deadline to withdraw from travel arrangements.
7. Should the scholarship holder respond to the communication and decline the scholarship offer at least
a week prior to booking being finalised, he/she will not incur any charges or penalties, and will be
taken off the overseas travel component.
8. Should the scholarship holder not respond to the communication at all, CTA will have no reason to
assume that the student is not intending to travel. A completed and signed elective selection form

from the student to CTA will serve as sufficient evidence that the scholarship holder intends to
proceed on the integrated placement program, and any travel components that it includes.
Once travel and accommodation booking is in place, CTA will inform the scholarship holder about their
travel and accommodation being confirmed.
Should the student decide to withdraw from the Integrated Placement travel or the Integrated
Placement module during or after the booking week, CTA reserves the right to invoice the student for
the booking fee, and the student agrees to pay back to CTA the full cost of travel and accommodation
incurred by CTA on their behalf against this invoice. This cost will need to be refunded regardless of
whether census has or hasn’t passed for the Module / Unit that involves the Integrated Placement.
There may be an option to pay this amount to CTA via a payment plan that can be organised by the
CTA Finance Department. However, this facility is not automatically guaranteed and is dependent on
a student’s ability to pay amounts back to CTA.
If amounts are owed by the student to CTA and are not paid in full by close of study for the intake the
student is enrolled in, CTA reserves the right to withhold issuance of any qualifications or marking of
assessments for such a student. Should the situation persist, the student will be discontinued from
the course.
To summarize, all scholarship holders are urged to me mindful of when the booking week will commence
(the week when CTA will commence travel bookings for all students). Should students have a reason to not
travel due to any reason, this intention would need to be clearly communicated to the concerned course
coordinator only in writing via email prior to the commencement of the booking week. Details of the
booking week will be communicated by CTA to students via email.
