JOB DESCRIPTION POST TITLE: Partnerships and Professional Engagement Officer Temporary Role - 6 months REPORTING TO: Partnerships and Professional Engagement Manager MAIN PURPOSE OF THE POST To provide support to the Partnerships and Professional Engagement (PPEM) Manager and the Assistant PPE Manager (APPEM) in delivering the College’s Enterprise and Employability programme, the development and management of external partnerships, projects and collaborations. To research, coordinate and deliver the College’s Creative Networks and Visiting Professionals programme. This nature of this post means that the successful post holder will be required to work evenings and occasional weekends. Excellent IT Skills required: Word, Excel and ideally CRM. Social media skills: Facebook, Twitter, LinkedIn. Organisational, logistical, technical, event and project management skills required. Would need to be available for the dates below highlighted in red for Career Track Tuesdays, Start Up Wednesdays, Career Coaching and Creative Networks. MAIN DUTIES: 1. To support to the PPE Manager and Assistant PPE Manager; including assistance with communications, enquiries, appointments, meeting support, minute-taking and budget administration. 2. To assist in the administration, promotion, organisation and delivery of a range of facilitated workshops for students and alumni as part of the Enterprise & Employability Programme. 3. To provide marketing and promotional support to the student for the Enterprise and Employability programme. 4. To assist and /or lead if required on the planning, coordination of internal and external third party events. 5. To assist and / or lead in the booking, running and organising of the College’s Creative Networks event programme and lead on the design, social media communication, enquiries, ticket sales and online promotion. 6. To research and provide administrative support for visiting professionals lectures/workshops including coordinating travel and expenses. 7. To build effective relationships with key members of the College staff, liaising with senior academics, business professionals and political leaders as required by the College, and generally assisting the PPE Manager and the APPEM in their role of developing relationships with a range of publics. 8. To support the PPE Manager and APPEM in developing and maintaining productive relationships with employers, professional bodies and other organisations to seek and develop opportunities for students and graduates. This may include representing the College at occasional out of hours networking, fundraising and promotional events. When required project manage individual projects. 9. To support the development of external partnerships, including the promotion and generation of business opportunities that are appropriate to the College. 10. To support and lead on the development and maintenance of the College’s CRM database; and maintain circulation lists appropriate for different college events and projects. 11. To lead on updating the portal, e-studio, the coordination of the e-bulletin. 12. To liaise and work with the Marketing Department, to ensure proper communication and joined-up working between all areas of responsibility. 13. To attend and participate in external meetings, conferences, networking events and exhibitions as appropriate. 14. To deal with a wide range of email, phone and verbal enquiries from internal staff, students and external guests in relation to P.P.E projects. Person Specification Candidates should have and be able to demonstrate the following criteria at the application and interview stages: ESSENTIAL CRITERIA METHOD OF ASSESSMENT Honours Degree, preferably in an arts, creative or Application form / Certificate business discipline (or an equivalent professional qualification) A proactive self-starter with the combined ability Application form / Interview to work on own initiative and have a flexible and proactive attitude towards objectives and work tasks To possess substantial administration skills, and demonstrate a minimum of three years’ experience in arts marketing, event management, external relations, university or local government based business support role, or similar. A creative and innovative approach to problem solving. Computer literate, confident and competent in the use of Microsoft Office, database systems and electronic communication. Ability to manipulate computer based systems and databases. A good working knowledge of Excel is essential to produce reports and experience of web based software including social media and content management systems. Ability to work with initiative and being able to prioritise work in a pressured environment.
