Please note that all exhibitors are required to sign the IRMS Conference health &
safety declaration, which states that exhibitors will not break down before 15:00.
Any exhibitor who breaks down before this time is in breach of the terms and
conditions of contract and may invalidate their insurance liability. Revolution Events
accepts no responsibility for any invalidation of insurance.
All shell scheme exhibits must be collected by 19:00 on Tuesday 20 May.

Stand Information
The official stand contractor at the IRMS Conference is Dimension 8 (www.dimension8.com).

Display Area
Octanorm side and back foam pvc panels to which graphics of moderate
weight (up to 1kg) can be attached using self adhesive hook and loop Velcro.
Dimensions of each standard wall panel are 2500mm H x 1000mm W.
The visible display area of a standard panel is 2340mm H x 950mm W. If you
would like to have graphics produced to fix directly onto a panel please
ensure you do not exceed the above size.

There is parking available on site but it is on a first come first served basis. The rate for residents
is £16.00 (for 24hrs).

Complimentary catering will be available throughout the IRMS Conference and will be served in
the exhibition area.

Drinks Reception
The IRMS Drinks Reception takes place in the main exhibition between 1700hrs and 1800hrs on
Sunday 18 May.

2300hrs on Monday 19 May at the Brighton Hilton Metropole.

First Aid
Any incidents requiring First Aid assistance should be reported to Michael Newsome.
Insurance
We recommend that all Sponsors take out insurance to cover themselves against loss of property
and/or damage to their stand, etc. Full details about a range of insurance services can be
obtained from Towergate Coverex - www.towergatecoverex.co.uk.
Internet Access
Complimentary internet access, suitable for web browsing, will be provided for all attending the
IRMS Conference.

On Site Data Capture
All IRMS delegates will be wearing a card style badge containing a barcode with contact details.
To order a scanner please complete and return the order form located at the rear of this manual.
Security
Whilst every reasonable precaution is taken to ensure the safety and security of personnel and
equipment, the Organisers cannot accept any responsibility whatsoever for any loss or damage or
any consequential losses which may befall your personnel or property.
We would strongly recommend that valuables, particularly those of a portable nature such as
Laptops, DVD Players etc, are not left unattended on your stand or in the conference room at any
time but especially during the breakdown period. If you think you may need storage for a
particular period of time please contact the Registration Desk on site and we will try our best to
accommodate your needs.
If there is an incident on your stand resulting in loss of property, please make sure you report it to
the Registration Desk on site, unfortunately failure to do so could result in your insurance claim
being made void.

As sponsors of the IRMS Conference you are entitled to a number of stand badges.
In order to register for your badges please complete the form located at the rear of the event
manual. If you require more badges than stated in your contract please contact Michael
Newsome. All badge orders / requests must be made no later than Friday 2 May.
Badges can be collected from registration from 1500hrs Sunday 18 May.
Storage
Storage in the exhibition area is limited. Where possible please ask your courier to remove any
boxes that are not required. Please see Michael Newsome if you require storage once at the
venue.

Take the M25 motorway to junction 7, signposted M23 (Brighton). Take the M23 southbound. The
M23 becomes the A23 and takes you into Brighton. At the roundabout on the A23/A27 take the
first turning on the left joining the A27 towards Worthing. Take the next available junction off the
A27 which will be signposted for Hove. At the top of the slip road take the second left off the
roundabout and proceed down Dyke Road Avenue (which becomes Dyke Road). After
approximately 1.6 miles, turn right at the traffic lights into The Upper Drive. Follow this road over
the next set of lights) junction of Old Shoreham Road - A270) to the end then turn left into The
Drive (B2186). Continue straight down to the seafront. At the seafront, turn left, stay on the
nearside lane and proceed for approximately 1 mile where you will find the red bricked
Metropole.
Please note the Hotel Carpark is located in St Margarets Place, Brighton, BN1 2FQ.
From Gatwick Airport:
Take the M23 southbound, following signs for Brighton. The M23 becomes the A23 and is a direct
road into Brighton. Take the M23 southbound. The M23 becomes the A23 and takes you into
Brighton. At the roundabout on the A23/A27 take the first turning on the left joining the A27

Seminar Details
Each workshop room at the IRMS Conference will be set up with the following equipment:

NB: If you would prefer to use your own HDMI only laptop or Apple Mac for your presentation
you will need to supply your own adaptor.
Please note that presentations provided in advance will be brought on site and used in the
appropriate session unless we are told otherwise. If you have a new version you wish to use
please ensure you bring a copy on site.
If you have any questions upon arrival please ask for Emma Higgs at the registration desk.
Seminar rooms are located on the ground floor. Upon arrival please feel free to ask one of the
team to show you which room your session will take place in, should you have one as part of your
package.
If you have any special AV requirements such as sound, video or WiFi connections please email
michael@revolution-events.com no later than Friday 9 May. Please note there may be a charge
for certain requirements.

In-House Promotion
To maximise your presence at the IRMS Conference we would recommend that you use the
following measures:

Advertise your involvement by using an official event logo on your email signature. If you
require a logo please contact Emma Higgs.
Encourage your sales team to discuss your presence at the show with relevant clients.

If you have a special announcement or a product launch please let us know so we can tweet it to
our followers. Similarly please tweet about your involvement in the event (@IRMSConference or

Sustainable Event Involvement
Revolution Events Ltd is an actively sustainable event management company and we endeavour
to ensure that our events create as little non-recyclable waste as possible before, during and after
the event as well as minimising our carbon footprint. At IRMS the following ‘green’ steps have
been taken:
- All suppliers have provided sustainable policies and signed the ‘Commitment to Sustainability’
form.
- Where possible local labour has been used.
- Where possible local produce (food and drink) has been used.
- All signage at the event will be environmentally friendly and recycled.
- All on site literature such as Event Guides and Press Packs that are not used will be returned to
the suppliers for recycling.
To help us achieve our aim or organising sustainable events we would ask that you try as many of
the following ‘green’ suggestions as possible:
Pre-Event
- Do not print this manual unless it is absolutely necessary. All forms can be completed and
returned online.
- If you plan to use a contractor to design / build your stand please source one that a) takes
active sustainable steps to reduce their waste and carbon footprint and b) make contributions
to a sustainable cause
- Bring all event items such as banners, giveaways with you rather than using a courier thus
reducing your carbon footprint.
During the Event
- Provide Web Link’s for delegates so that they can download literature and information post
event rather than having to carry around a number of leaflets for the duration of the event.
- If leaflets / handouts are required please ensure they are printed on double sided and 100%
recyclable material.
- If you plan to offer giveaways such as notepads, pens, memory sticks as an incentive please
ensure you use a company such as Eco Incentives (www.ecoincentives.com) who specialise
in the production of ecologically sound and environmentally aware products.
- Please ensure all unwanted literature is taken back to the office and recycled rather than left
at the venue.
- Dispose of any unwanted papers during the event in the recycling bins provided throughout
the exhibition and workshop rooms.
To help achieve our aim of being a sustainable event management company we ask that you
complete and return the ‘Commitment to Sustainability’ form no later than Friday 2 May.

Health and Safety
OVERVIEW – IT IS VERY IMPORTANT THAT YOU READ THIS SECTION
We appreciate that some of you may have limited experience with regards to the legal and
practical aspects of health and safety management. This section is designed to give you sufficient
guidance to discharge your responsibilities. Guidance, however, can only go so far and you have a
legal duty to ensure that your operations do not compromise health and safety. Failing to do so
can lead to prosecution and other legal sanctions. If you are unsure you are urged to contact the
Operations Team (michael@revolution-events.com). Please do not leave health and safety issues
to the last minute. The earlier we have your information, the better support we can give you.
Risk Assessment
Revolution Events has carried out suitable and sufficient assessment of the risks associated with
this event. However, general risks associated with any event are as follows:
- Multiple contractors / staff working in a single workplace
- Fall from working at heights
- Objects falling from height or vehicles
- Structural collapse of seating or an exhibition stand
- Food poisoning from temporary catering points
- Fire
- Major incident / accident
- Excessive working hours
The above list is simply an overview and not a comprehensive account of potential event risks. It
is the absolute duty of all parties to ensure that under the Management of Health and Safety at
Work Regulations (www.hse.gov.uk) suitable and sufficient risk assessments are conducted on all
significant risks. In general terms, emphasis should be placed on eliminating or reducing risk at
source. It must be remembered that personal protection equipment is usually a control of last
resort.
Revolution Events Ltd – Health and Safety Policy

It is the policy of Revolution Events Ltd to endeavour to seek the co-operation of all concerned in
order to achieve the highest standards, in all aspects of health and safety.
Revolution Events Ltd, along with each respective venue, have within the scope of their own laid
down policies to ensure that safe working practices are maintained at all times. These include
ensuring that provision is made whereby persons other than Revolution Events or venue
employees are reminded of their responsibilities whilst working at the exhibition. Sponsors are
responsible for familiarising themselves with the working practice and Health & Safety policy of
respective venues, as some issues that arise may contravene this policy.
As an Sponsor, Contractor or Agent you have a duty, under the Health and Safety At Work Etc Act
1974, to ensure that all personnel contracted by you are aware that they have a responsibility, so

far as is reasonably practicable, for the health, safety and welfare of all employees. That any plant
or systems of work which may be used are, so far as is reasonably practicable, safe and without
risks to health. This includes that all employees are provided with information, instruction,
training and supervision to ensure not only their own health and safety, but also that of others
working or attending the vicinity.
Under the COSHH Regulations 1988 (Control of Substances Hazardous to Health), exhibition
stands are considered to be a workplace. It is therefore your responsibility to ensure that all your
staff and subcontractors have sufficient Health and Safety training and are provided with the
correct protective clothing and equipment to enable them to carry out their work in a safe
manner in accordance with COSHH and the Act.
You are also required to have in your possession a copy of your own Health and Safety policy and
a copy of the Health and Safety policy document of each contractor employed by you which may
be requested during the exhibition.
Here follows some of the principal areas, which need to be brought to your attention. If you have

General

A person must be appointed who is responsible for health and safety matters on the stand.
During the build up and breakdown periods, your staff and sub-contractors should be
constantly reminded by you of the need for vigilance regarding the health and safety of
themselves and those working in the vicinity.
Smoking is prohibited on stands and at the event in general.
You must ensure that portable electric tools are used with the minimum length of trailing
leads and that such equipment is not left unattended with a live power supply to it.
Work areas should be maintained free from general waste and packaging materials, which
could hazard operatives.
Packing cases and other materials must not be allowed to obstruct gangways, passage ways
and fire exits and must be removed from the Exhibition Hall as soon as possible. Nails etc must
not be left protruding from any packing case or material.
Any violations or concerns regarding any of the above points should be reported to the
Organisers Office.
General Guidance Notes
1. All Exhibits must, where they are not sufficiently stable as free-standing models, be
properly secured to the floor or other structure.
2. Exhibits must be positioned so that at no time do they protrude into the gangways (as a
hazard to visitors).
3. All equipment must be guarded to the UK Health and Safety standard, which is normal for
its operation in an industrial setting.

Sponsor and Contractor Legal Duties
As a sponsor or contractor you have a legal duty for the safety of anyone who may be affected by
your actions. Ultimately it is you who are responsible for all aspects of safety on your stand
during the build up, open period and breakdown. If you contract out the building / removing of
your stand it is still ultimately you who are responsible for the actions of your contractor(s). You
can discharge you duties by:

Appointing a competent person to be responsible for health and safety on site
Carrying out a suitable and sufficient risk assessment of all your activities
Obtaining risk assessments / method statements from any contractors used
Ensuring all staff / contractors understand venue health and safety rules
Ensuring all staff / contractors are familiar with the venue’s emergency procedures
Stand Designer’s Legal Duties
All stand designers have a legal duty to ensure that the stand(s) is designed to be fit for the
intended purpose, structurally sound and safe to build, use and remove without any undue risks.

Health & Safety Declaration

It is a condition of entry into the Exhibition that every exhibitor, contractor, sub-contractor, supplier and
their agents comply with the Health and Safety at Work Act 1974 and its regulations. The exhibitor accepts
that it is their legal responsibility to ensure that their own and others Health and Safety are not put at risk
by their actions (or inaction) during the IRMS Conference.
This form is designed to cover standard shell scheme exhibitors through to complex space only
structures. Please feel free to delete any of the below that are not relevant for you.
1. My principal stand contractor has undertaken a Risk Assessment for this event in accordance with the
Health and Safety at Work 1974, and he/she has trained and notified his/her staff and sub-contractors
in all areas identified as being of risk.
2. I have ensured that our principal stand contractor has a suitable and sufficient Method Statement
prepared for the show – and he/she has satisfied me of his/her competence to undertake the tasks
required of him/her.
3. I will make available at the IRMS Conference a copy of my own company’s Health and Safety policy,
