Students do not need to be registered with Student Disability Services (SDS) in order to use the TPC Requests module. Students must initiate the request at least 7 days prior to the date of the exam. The request is then routed to the instructor(s) of the course for confirmation and exam parameter input. Once the instructor provides confirmation and parameters, the request is routed to the TPC for approval and scheduling. Student TPC Request Procedures URL for Student Access The following URL is used by students to initiate a TPC Request. A valid Clemson University username and password are required to access the request form. https://sds.app.clemson.edu/tpc Initiating the Request When the student accesses the TPC Request form URL, he/she is presented with an informational screen outlining TPC Request procedures. To continue, the student must click the “I Understand These Procedures” button. Documentation last updated: Tuesday, February 09, 2016 Page | 4 of 10 Student Information The student’s name, XID, and email address are presented for verification purposes. Course Information The student’s current course list is populated based on information received from iRoar for the current term. Each course’s code, title, instructor(s), and instructor email(s) is listed on a row in the table, along with a radio button to choose that course. A single course must be chosen from the list to proceed. Exam Information and Accommodations The student must make several acknowledgements before submitting the request: The student must have discussed using the TPC with the instructor prior to completing the request. The student must acknowledge the earliest date the proctored exam can be scheduled. o The student must also provide the class’s scheduled exam date and time along with the requested exam date and time. o The dates are chosen by clicking on the date field or calendar icon and choosing the date from the calendar pop-up box. Certain dates may be made unavailable for selection (weekends, university holidays, etc.). If the student is registered with SDS, he/she must present the instructor with an academic accommodation letter (AAL). Any accommodations for exams that are extended to the student can be entered into the text box provided. The student can also select at what point (if any) a time-left warning is provided. Warnings can be given at 5 minutes left, 10 minutes left, 15 minutes left, or 30 minutes left. Policy and Procedures The student is shown several policies and procedures, acknowledged by the student clicking the “Submit Request” button at the bottom of the page. Request Submitted If any required information was missing or invalid, the student will be shown the errors and given an opportunity to correct them. If there are no errors, the student will be shown the “Request Submitted” screen, from which the student can initiate another request or return to the SDS Home page. Documentation last updated: Tuesday, February 09, 2016 Page | 5 of 10 Instructor TPC Request Procedures Request Email When a student successfully submits a TPC request, the request will be emailed from clemsontpc@clemson.edu to the instructor(s) of the course. The email contains the student’s name and course request, along with a link to view and verify the details of the request. A link to the TPC procedures is also provided in the email. Step 1: Verifying the Request The student’s name, XID, and email address, along with the course for which the TPC request is being made, are provided at the top of the page. On this first step, the instructor must verify some information provided by the student. When the instructor completes the verification page and clicks the “Submits Verification” button: 1. If the instructor indicates that the student did NOT discuss using the TPC for the exam, the request is automatically cancelled and the student is emailed the cancellation notice. 2. If the student indicated he/she was registered with SDS and provided the faculty member with a current AAL, but the instructor indicated NO current AAL, the request is automatically cancelled and the student is emailed the cancellation notice. In the event the student is not registered with SDS, this verification item is not present on the instructor form. 3. If both conditions above were successfully verified, the instructor is taken to the Exam Parameters page to provide additional details. Documentation last updated: Tuesday, February 09, 2016 Page | 6 of 10 Step 2: Providing Exam Parameters Once the request has been verified, the instructor will need to provide specific exam parameters. Date and Time of Exam The date and time the student indicated the rest of the class is scheduled to take the exam is presented, along with the requested proctored exam date and time. The instructor can select an authorized date and time for the exam, and must also select the number of hours and minutes the student will be allowed for the exam. In the case that a student is authorized extended time through an academic accommodation letter (AAL), the additional time should be included in the total time allowed for the exam. Instructor’s Preferred Contact Method In the event that questions or issues may occur during the proctored exam, the instructor can provide a preferred contact method – telephone number or email. The telephone number is retrieved automatically from iRoar, but can be changed if needed. The email address used will be the instructor’s primary Clemson email address, in the format username@clemson.edu. If the instructor is unavailable during the exam, that option should be chosen. Documentation last updated: Tuesday, February 09, 2016 Page | 7 of 10 Allowable Instruments, Alternative Formats, and Accommodations for This Exam In the Allowable Instruments section, if the student specified any exam accommodations on the student form, they will appear above the list of accommodations available. All accommodations allowed for the student must be checked in the list; otherwise, the student will not be allowed to use the items. Descriptions or choices of certain accommodations may be given with the text boxes or radio buttons provided (for example, the type of calculator allowed or which computer may be used). Additional Approved Material / Special Instructions and Password In the event that additional approved materials are not listed in the Allowable Instruments section, the additional materials can be listed in the text box provided. Any additional or special instructions can also be listed in the box. An online exam requiring a password can be provided in the separate password text box. The password will be made available only to the test proctor; the password is not provided to the student. Documentation last updated: Tuesday, February 09, 2016 Page | 8 of 10 Exam Delivery and Return Exam Delivery to TPC The instructor should indicate the method in which the exam will be delivered to the TPC. Five delivery options are available: The instructor will deliver the test by hand to the SDS Office in Suite 239 of the Academic Success Center Building by 12:00 PM one business day before the test. The instructor will fax (864-656-6849) or email the test (clemsontpc@clemson.edu) to SDS by 12:00 PM one business day before the test. The student taking the exam will bring the exam to the TPC in a sealed envelope. The instructor will upload the exam to TPC. The upload capability is presented after the form is completed. Exams can be uploaded in Adobe PDF, PowerPoint, and Word formats. The instructor will make the exam available through Blackboard. In this case, a computer option should be chosen in the Allowable Instruments section. Exam Return The instructor has two options for having the exam returned following the proctoring: The instructor will pick up the completed exam the next business day from the SDS Office. The completed exam will be returned the following business day by the exam proctor. In this case, the instructor should provide the building and room location for the return. For an exam made available through Blackboard, either option can be chosen for return. Documentation last updated: Tuesday, February 09, 2016 Page | 9 of 10 Late Arrival / No-Show The instructor has three options for specifying how the TPC should handle exams in the event of a late arrival (more than 15 minutes after the scheduled start time) or no-show: Shred the exam. Return the exam to the instructor, in the specified building and room location. Other: the instructor may provide additional information as needed. Step 3: Providing the Exam to the TPC Upon successfully providing all of the requested exam parameters, the TPC is notified of the outstanding request, and a confirmation screen is provided to the instructor. If the upload option was chosen in the “Exam Delivery to TPC” section, the upload capability is provided on the confirmation screen. The exam can be uploaded in Adobe Acrobat (PDF), Microsoft PowerPoint, or Microsoft Word format. The exam will be scheduled once the TPC reviews the request along with any outstanding requests and room capacity. If the student is not bringing the exam to the proctoring session, the exam must be provided to the TPC no later than 12:00 PM (noon) one business day prior to the scheduled exam. A reminder email is sent to the instructor AND student a few days prior to the scheduled exam date. URLs for Instructor Access Although the email contains the direct link to the student’s request, the following URLs can be used by instructors to visit the TPC Instructor Control Panel. A valid Clemson University username and password are required to access these URLs. NOTE: If the person is NOT the instructor of a course for which a TPC request has been made, the user will be given a warning message to that effect. https://sds.app.clemson.edu/tpc/instructors/ Instructors are presented with an Instructor Control Panel, showing a visual representation of all requests and their current statuses.
