and the NAME OF THE INSTITUTION

1. Introduction
The Khwarizmi Science Society is a non-profit organisation that has Memberships
across several institutions. It has well-established chapters in the Punjab University
and the University of Engineering and Technology, Lahore. Previously, chapters were
operative in COMSATS Lahore and FAST. These chapters have become nonfunctional because the activities could not be sustained because of Faculty support.
INSTITUTE, being a premier Institution, attracting and nourishing the best minds in
the country, could also be made a unique haven for the Khwarizmi Science Society
(KSS). With the intent of formally establishing the KSS in the INSTITUTE, we have
come up with the following plan.
2. Khwarizmi INSTITUTE Chapter
We plan to establish, under the Rector’s patronage and supervision, an INSTITUTE
Chapter of the Khwarizmi Science Society. This branch will be adminstered from
within the INSTITUTE, will be independent but important adminstrative matters will
be shared and supported by the Central Office of the KSS, especially in the start-up
phase.
3. Why the need for KSS in INSTITUTE?
Khwarizmi Science Society is unique in the sense that it will provide an active,
inter-disciplinary science culture to the students of science in particular and the
INSTITUTE student, in general. This science culture is dominated by an elan of
learning, scientific methodoly, the sense of inquiry and debate and sharing of
knowledge.
4. Activities:
The INSTITUTE Chapter will arrange a range of activities.
All help will be afforded by the KSS Central Office. These activities will include, but
are not limited to:
 Seminars, lectures, presentations by experts and students (guests as well as
students of INSTITUTE)
 Workshops, symposia, conferences
 Field visits in collaboration with the KSS Central Office
The programme of activities will be independently finalised by the INSTITUTE
Chapter, in consultaion and support with the KSS Central Office. The KSS will also
offer consultation in suggesting speakers.

5. Structure:
The KSS INSTITUTE Chapter may comprise the following Offices:
 Patron Khwarizmi Science Society INSTITUTE Chapter:
Rector or senior Member of the INSTITUTE
 Faculty Advisor:
some distinguished Faculty Member appointed by the Patron, will be a member of
KSS
 Secretary INSTITUTE Chapter:
appointed by the Patron and the Faculty Advisor, generally a student
 Executve Committee:
Comprising two students, members KSS, appointed by the Patron and Faculty
Adviser, these students will also become Members of the Khwarizmi Executive
Committee
 Advertisement Committee:
Comprising voluntary, student Members of the KSS
 Khwarizmi Science Society Members
This group will comprise both Faculty Members and students, they will also be
Members of the Khwarizmi Science Society
 Treasurer
Member KSS, appointed by the Patron, Faculty Adviser, Secretary, Executive
Committee
(a) The KSS Central Office will maintain a record of all KSS Members in the
INSTITUTE Chapter. All membership records are centralized.
(b) The KSS Chapter will maintain an Office in the University Campus, for
information and organisational purposes.
(c) The possibility for electing Members of the Executive Committee, Secretary
and Treasurer could be explored after a suitable period of time.
(d) The Members will not be elected.
(e) The Members may belong to any Faculty / department of the INSTITUTE.
(f) There are no pre-requisites for Membership.
6. Regular Meetings:
The KSS INSTITUTE Chapter will hold regular meetings amongst themselves and
with the KSS Executive Committee, President, Vice President and Secretariat. These
meetings will be convened by the appropriate persons at the appropriate frequency.
7. Collaboration between INSTITUTE Chapter and Central KSS Office:
The KSS Central Office (President, Vice President, General and Joint Secretaries,
Executive Committee) will be responsible for the following:






Maintaing a record of all Memberships, activities and meetings in the
INSTITUTE Chapter
Providing and publishing letter heads, brochures for the local chapter
Providing membership cards for the local chapter for onwards
distribution to KSS members
Inviting the INSTITUTE Chapter to all its activities taking place at
different venues
Providing webspace to the INSTITUTE Chapter
Helping the INSTITUTE Chapter in organising its programme of
activities
The INSTITUTE Chapter will be administratively reponsible for the following (the
Secretary being the admisnitative head of the INSTITUTE Chapter):
(a) Maintaining a record of all activities and memberships
(b) Forwarding required and necessary records (participation sheets, financial
summaries) to the Central KSS Office
(c) Publicising and Advertising all activities of the KSS, that take place under
either the INSTITUTE. Chapter or the Central Office
(d) The INSTITUTE chapter must also comply to the Constitution of the KSS
(e) Maintaining efficient and timely communication with the Central Office
(f) Publish all important news and reports in the INSTITUTE Publications
(g) Establishing and cherishing collaborative ties with other Societies inside the
INSTITUTE
(h) Issuing membership cards to new Members
Some additional notes are the following:
(a) All activities taking place inside the INSTITUTE will be advertised outside
INSTITUTE through the KSS central office and vice versa. Newspaper
advertisements are encouraged.
(b) All events must be open to all, including people from outside the
INSTITUTE. This is a strong tradition of the KSS.
(c) Financial reports must be submitted to the KSS Central office. The KSS
central office will contribute to the finances of the local chapter if the need
arises.
(d) Some of our big events that take place around the year, need financial
contributions. The INSTITUTE chapter may be asked to help contribute
torwads these.
(e) It will be extremely helpful if the chapter team can maintain active presence
on the internet and communicate by email with the KSS central Office.
8. Financial Matters:
The Treasurer will be responsible for financial record-keeping. All fee structure
decided by the KSS Central Office will be applicable to the INSTITUTE Chapter as
well:
The current fee for Membership is:
Life Membership: Rs. 1000
Yearly Membership: Rs. 250
(a) The finances will be retained by the INSTITUTE Chapter locally.
(b) The Central Office will contribute to Chapter funds if the need arises.
(c) All transactions between the INSTITUTE Chapter and the KSS Central Office
will be approved by the President KSS and the INSTITUTE Faculty Adviser.
9. Mutual Advantage of the INSTITUTE Chapter of the Khwarizmi Science
Society:
In essence, the primary benefit we would accrue from this move, is to extend the
activities and benefit of the Khwarizmi Science Society to one of the best universities
in the city, so that students from INSTITUTE could also partake of our efforts,
support us and together, we could bring about a campus culture to one of scientific
reason and method.
(a) Members of the KSS belonging to the INSTITUTE Chapter will automatically
become a part of the national character that our Society cherishes. This would
give them an immense platform for communicating with Fellow Members within
and without Pakistan.
(b) INSTITUTE Members of KSS will be given coverage on the Khwarizmi Web.
(c) INSTITUTE Members of KSS will get first-hand information of all ongoing
activities, even outside the INSTITUTE and they can freely participate in all KSS
activities. This includes all workshops, seminars, symposia, field visits, etc.
(d) One lesson that we learned from our experience is that students, with the adequate
potential, must also be given a chance to share their views. The KSS Platform is a
valuable resourse where not only the acclaimed expert, but also the introvert
student, who has never been granted the proper opportunity. Several presentations
have already been lead by students and diffused away much of their intrinsic
shyness.
(e) INSTITUTE students could also share with the prime task of nation-building
through the development of an atmosphere that is conducive for research and
dialogue.
(f) INSTITUTE Members will be exposed to the frontiers of learning and scientific
breakthroughs through the array of activities.
We believe that the KSS Chapter in the U.E.T. Lahore, established in 1997, escalated
an unprecedented culture of science in the University, that continues to date. We
would like our fellow students in INSTITUTE to develop the same illustrious
traditions of scientific thought in a befitting manner.
