ALPINE VILLAGE CHRISTMAS FAIRE Extension December 13th and 14th 2014 2014 - ARTS AND CRAFTS BOOTH APPLICATION (Electronic Submission) We invite you to apply to participate in our fun-filled Holiday event. Our activities this year will include: *The Snow Zone- 500 square feet of snow, icy cold and blasted on our property. *The “Alpine Express” mini-train running through the village. *Live music and traditional entertainment . *Kid’s zone with stocking decoration stations and face-painting. *Holiday beverages including German mulled wine (Gluwein), Hot Chocolate and a flight of Holiday beers. *Traditional German Food. * Festive lighting throughout Alpine Village. *Snow machine sending flurries over the festivities. *Of course, it wouldn’t be a Christmas Faire if we didn’t have an arts and crafts section with a fine selection of items to be viewed and purchased by our friendly Faire goers! Christmas is the Alpine Market’s busiest time of year. We already expect 1000 people with sales of $30,000 for the market as is, with all of the additional events and fun, those numbers will certainly increase the numbers of guests you can expect to pass your booth! Outside booth space comes in these options: 6 Foot Table in front of Alpine Market, 2 chairs and 2 feet on either side (for egress) - $100 for 2 days, $75 for a single day. (no electricity will be provided for the tables) 10’ x 10’ space -vendors provide tent, table, chairs etc. Each tent will have one lightbulb with one power outlet per tent. (Please use LED and low-power lighting for ambiance). Spaces located in front of Alpine Restaurant - $175 for 2 days, $125 for a single day. To apply for a booth, you must follow these directions: 1. Read and agree to the terms of the Alpine Village Christmas Faire Indemnification Statement*, and click through the Admit 1 Pop-up. You will also be required to bring the signed Indemnification Statement on the day of the event (or sign one when it is given to you when you arrive.) 2. Read and agree to abide by the rules governing the Arts & Crafts area of the Alpine Village Christmas Faire. You will also be required to bring the signed Vendor’s Agreement ** on the day of the event (or sign one when it is given to you when you arrive.) 3. Submit full payment via Admit 1 Productions http://bit.ly/alpinevendor - Ensure the information submitted to Admit 1 is current and up to date. This information (especially telephone and e-mail) will be used by Alpine Village to follow-up with vendors and to send confirmation (this also helps prevent the necessity of mailing and faxing paperwork.) 4. In the follow-up email you will be requested to electronically submit four good photographs representing all items you wish to sell at the Christmas Faire to Johnb@Alpinevillagecenter.com These photos may be used by Alpine Village for promotional purposes. 5. Also in your response to the follow-up email, a checklist of items to be sold must be included.“Check one or more of the following: clothing , needlework, photography, leather items, jewelry, textile crafts, wood crafts, pottery/ceramics, paintings, paper design, holiday items, glass, drawings, metal crafts, other.” 6. Include a price range for your items. 7. There may be other requested information from specific vendors as the Alpine Village sees fit on a case-by-case basis. *Indemnification Statement: "The undersigned agrees to indemnify, defend, and hold harmless Alpine Village and its elective or appointive boards, officers, agents, attorneys and employees from any and all claims, liabilities, expenses, or damages of any nature, including attorney fees arising out of, or in any way connected with performance of, the Agreement by the undersigned, the undersigned’s agents, officers, employees, subcontractors, or independent contractors hired by the undersigned. This indemnity shall apply to all claims and liability regardless of whether any insurance policies are applicable. The policy limits do not act as a limitation upon the amount of indemnification to be provided by the undersigned." Submitting an application does not guarantee acceptance. Participation in previous Christmas Faires does not guarantee acceptance to the 2014 Christmas Faire. All applicants will be required to jury for acceptance to the Fair. If you are not accepted for the 2014 Fair, your money will be refunded. Cancellations must be made at least 2 days prior to Faire dates in order to receive a 50% refund. After 15 days, a refund will be given only if the Alpine Village can fill your space with an applicant from our waiting list. There will be no refunds in the case of inclement weather. The Alpine Village reserves the right to make final decisions on booth selections and booth locations and may also limit the number of booths selling the same arts or crafts. Remember – uniqueness and quality of craftsmanship are key factors in making selections. Applicants who are accepted will be notified by Wednesday Thursday, Dec. 11th. Booth space assignments will be made by Alpine Village and participants will be notified of their booth number and location and other procedures for the Alpine Village Christmas Faire. The California State Board of Equalization requires a temporary or permanent Sellers Permit to sell in public. For information on how to obtain a Seller’s Permit, please access the following website: http://www.boe.ca.gov/info/reg.htm Any vendors who come for both nights of the event may keep their wares on site overnight. They must, however, be covered and protected. Security will be present over the course of the night. Vendors will be able to arrive as early as noon the day of the event, but must be unloaded completely with vehicles parked by 3pm. Parking near the premises will be reserved for vendors once they have dropped off their wares. No vendor vehicles will remain in the sales area. Vendors in Tent area must have their areas ‘settled’ and ready at 3pm to allow for electricity/lighting installation between 3pm and 4pm. This will include 1 power outlet and one light-bulb per tent- any additional LED mood-lighting (Christmas string lighting etc.) must be provided by vendors. Devices requiring high-power usage (space-heaters, video display screens etc.) will not be allowed as they may jeopardize the electricity of all vendors in the case of a power spike. - All vendors must close shop at 9pm. All vendors must clear (or stow – on Saturday night) by midnight. Vendors at 6’ tables must pack all boxes and belongings even if they are returning the following day. Vendors at 10x10 tent spaces who are returning for the second day may leave tents, tables, signs and display racks- but all product must be packed and taken. Alpine Village is not responsible for any items left overnight. In order to ensure an organized, fun (and profitable) event Alpine Village has the right to remove any participant before or during the Christmas Fair if the participant does not cooperate with staff and follow regulations. This would also jeopardize the participant’s chances to be included in future Christmas Faires. Rules: 1. The emphasis is on items that are created or handcrafted by the applicant. Inclusion of any other goods will be accepted on a case-by-case basis. 2. The applicant (artist) must be present to sell his/her work; no representatives. An Alpine Village Representative will be there to meet the artist. 3. No drug related or sexually explicit items will be sold. This is a family event. 4. No food of any sort will be sold in the Arts and Crafts section of the Fair. 5. Participants are expected to have a selection of items for sale, not just multiple supplies of one item, unless they are classified as a Community Service booth (non-profit community organization). 6. All work must be appropriate for family viewing. 7. Participants will adhere to Faire opening and closing times set by Alpine Village. 8. Participants must conform to all entry and exit traffic patterns on Christmas Faire days. 9. Participants will display their booth identification cards during Fair hours. 10. Participants will not move to another location without official permission. 11. Participants must sell only from their designated space; no roving is permissible. 12. Participants are responsible for the construction, removal, and cleanup of their own booths in accordance with fire codes. For “Tables” We provide Tables and 2 chairs with 2 feet of space on either side (for egress) - For Tents there is a 10’x10’ space (no tent, tables or chairs) a lightbulb for the interior and one power outlet for additional ambient lighting). 13. Booths must conform to size restrictions on all sides and no infringement on walkways or neighboring booth spaces. 14. No dogs or pets of any kind are allowed. 15. Sharing a tent is permissible only if both applicants have provided the appropriate information, dated and signed the application, are paid jointly in full and have had all work approved by Alpine Village. Tables may not be shared. 16. Participants will cooperate with Alpine Village in any way necessary to provide a safe and enjoyable Faire for citizens attending as well as participants. 17. Alcoholic beverages, and smoking are prohibited within booths. Designated smoking areas are provided off the immediate premises. 18. A valid Seller’s Permit must be available on request. Failure to comply with these rules can result in closure and may exclude your participation in future Fairs.
