Duties and Tasks

 Keep front office and lobby clean throughout the day, as a highly visible area to our families and public.

 Analyze data to determine answers to questions from families or members of the public.

 Collect, sort, distribute, or prepare mail, messages, or courier deliveries.

 File and maintain records.

 Greet persons and families determine nature and purpose of visit, and direct or escort them to proper person(s).

 Make daily deposits

 Keep a current record of staff members' whereabouts and availability.

 Operate telephone, answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.

 Perform administrative support tasks, such as proofreading, operating calculators or computers.

 Perform duties, such as taking care of plants or straightening magazines to maintain lobby, library, break rooms, arrangement rooms or reception areas throughout the day.

 Process and prepare memos, correspondence, emails, obituaries, or other documents accurately and affectively, with review and approvals as required.

 Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.

 Receive payment and record receipts for services. If for cemetery, forward to cemetery contact with proper information and notification.

 Scanning photos

 Printing stationary items

 Entering obituaries online

 Give assistance to Directors as needed.

 Receive and inventory clothing taken into our care from families.

 Transmit information or documents, using computer, mail, or facsimile machine, ensuring all Directors are receiving all faxes.

 All other duties as assigned

Job Specific Duties

Starting your day:

 Make sure coffee is made and kitchen is clean (glasses etc.)

 Check obituaries in newspapers, remove newspapers from front office and place in the kitchen/break room.

 LOBBY: o o

Be sure business cards & pamphlets are full and tidy.

The front doors and windows are free of fingerprints o The floors are free of debris.

o Water the plants as needed in lobby area.

 Monitory the arrangement rooms, making sure that the rooms are clean and organized throughout the day, being sure that after every family has left, that the room is brought back to the way it should be. Clean, free of empty glasses and clutter free, chairs pushed in, lights turned off. (The lights should not be on in the arrangement offices or library, if know one is using them.

 Making sure there are plentiful amounts of folders and forms made, which the directors use on a daily basis.

End of the day responsibilities:

 Turn off all air conditioners/heaters, unless we have any services or families in the buildings at the time or otherwise instructed.

 Check the chapel doors to make sure they are secured and locked/library door to the outside and side doors going out to the parking lot, front doors and be sure the arrangement doors are closed along with the front office doors, unless instructed otherwise.

 Always be sure the coffee maker is turned off prior to leaving the building.

 Ask the directors if they want you to transfer the phones for the evening.

 Other related duties as assigned; computer, filing etc.

Be sure office is straightened up prior to leaving for the day, clutter free and tidy.

Knowledge:

Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.

English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Spanish Language: Knowledge of the structure and content of the Spanish language preferred, including the meaning and spelling of words, rules of composition, and grammar.

Computers and Programs. Strong familiarity with computers and general office equipment such multifunction printer/copier/fax machines (the operating systems, software, and both digital and hardware interface). Competent within the basic of the Windows operating system and Microsoft Office suite of programs including basic working knowledge of Publisher, data entry, basic desktop publishing, and file management.

Familiarity with using and saving documents as Adobe PDF file formats. Ability to save, navigate, and explore digital computer files and recognize various file formats, extensions, and the appropriate programs used to recognize, open, and edit these files.

Ability to explore, navigate, and learn web based applications and basic content management systems. Comfortable with using additional media devices such as hardware storage, scanners, and optical disc burners. Ability to explore and learn and troubleshoot as the technology updates and changes.

Work Environment

While performing the responsibilities of the Receptionist's job, the employee is required to talk and hear.

The employee is often required to stand and use their hands and fingers, to handle or feel, and to manipulate keys on a keyboard. The employee is occasionally required to sit, walk, and reach with arms and hands.

Vision abilities required by this job include close vision.

The noise level in the work environment is usually quiet.

Positions available in Moreno Valley and Perris. Hours are part time and evenings and weekend availability is mandatory.
