PRIMARY OBJECTIVE OF POSITION:
The Manager, MSc Recruitment will work with the Executive Director, Admissions & Recruitment (Masters
Programs) to develop and manage relationships with MSc applicants at all stages of the application process to
ultimately increase the number of high-quality students in the Ivey MSc program streams. The incumbent will
represent Ivey at graduate fairs, make recruiting presentations to groups and assist candidates through their
application to the MSc program.
KEY RESULTS AREAS:


Responsible for the design and execution of recruitment strategies and activities that will attract high quality
MSc Students on dimensions of both leadership and academics while building a strong pool of applicants
from which to build a quality MSc class

Manage the MSc Admission process – Responsible for establishing decision-making process for MSc
applicants ensuring effectiveness in the review of applicants and timeliness in decisions, and in conjunction
with the MSc Admissions Committee provide input into admission decisions

Build and maintain a contact list of high-quality candidates from recruiting events and program inquiries –
Using Salesforce customer relationship software, maintain contact database to ensure a constant flow of
communications to applicants and incoming students

Work closely with staff from Student Services, Career Management, Advancement, IT, other administrations,
and faculty to provide contacts and information to applicants

Promptly answer inquiries by phone, email and in-person regarding the Ivey MSc program

Conduct various presentations to promote Ivey and attract prospective students to apply

Conduct admissions and informational interviews with prospective students
QUANTITATIVE AREAS OF IMPACT:

Manage the MSc recruitment budget in conjunction with the Executive Director, Admissions and Recruitment
(Masters Programs). Provide regular reports on the overall status of the applicant and prospect database, the
admissions pool, and incoming class.
STAFF SUPERVISED:
Occasionally, a Western University work-study student may be hired as a Program Assistant to assist with
Program Operations and Admissions activities. The Manager, MSc Recruitment will distribute and verify work to
the Program Assistant and will provide input into their performance appraisal.
RELATIONSHIPS:
INTERNAL:

Faculty: MSc Program Director and MSc Faculty – this position will work very closely with these individuals to
coordinate candidate-to-faculty interactions

Staff Departments: Recruitment & Admissions (Masters Programs); Program Services, MSc and CEMS
Programs; Career Management; Marketing and Communications – success in this role will require strong
collaboration with all staff noted above to ensure strong processes

Students: Current and Incoming MSc Students; Incoming CEMS Exchange Students – this position will work
very closely with these individuals via the management of the MSc Communications Specialists Team and in
coordinating candidate-to-student interactions

Ivey Departments: Certain recruitment activities require smooth coordination with a number of Ivey
departments that operate outside of student recruitment: Advancement and Alumni Relations, Facilities,
Information Technology, Faculty Administrative Assistants, the Deans’ Office, HBA Program, MBA Program,
PhD Program etc.

Western Departments: Adherence to UWO policies and procedures is an important component of successful
execution of program – works occasionally with the School of Graduate and Post-Doctoral Studies and
Western Recruitment, including several other Western departments to assist with certain administrative tasks
EXTERNAL:

Alumni: Interacting with candidates is a critical contribution that alumni can make to the program – this role
can facilitate and encourage this contribution while the students are in the program, and continue the
association after graduation

CEMS: As part of being full members of CEMS regular contact will take place with Academic Member
Recruitment Offices, CEMS Head Office (Marketing & Communications), and CEMS Corporate Partners –
maintaining a strong and positive relationship with key stakeholders is important to the promotion of CEMS
within Canada and of Ivey within CEMS

Prospects: A large component of the role requires an extensive Fall recruitment campaign and soft Spring
recruiting period for the MSc Program – visiting targeted universities and faculties, graduate fairs and staying
in touch with strong prospects that make inquiry through the MSc Program Services office

External Partners: Recruitment efforts may necessitate partnership with external student-run groups and
organizations and maintenance/creation of key sponsorship relationships
MAIN ACTIVITIES:

ACTIVITIES WITH PRIMARY DECISION-MAKING RESPONSIBILITY:

Implementation of MSc Recruitment strategy, communication tools, and other recruitment initiatives with
travel to Graduate Recruitment Fairs and other targeted recruitment events and activities; conduct
presentations at various events to promote Ivey and attract prospective students to apply; conduct admission
and information interviews with prospective students before and after events

Maintain an awareness of marketing and recruitment strategies at other leading business schools and
continually benchmark Ivey activities; build recommendations on strategy in partnership with MSc Faculty
Director and Executive Director, Recruitment and Admissions (Masters Programs)

Implementation of MSc Admissions policy, including development and maintenance of applicant score card,
online application, and admissions process

Assist with the development and management of the MSc recruitment budget that incorporates strategies and
objectives to achieve the year’s targets

Provide weekly reports and other reporting as required on recruitment and admission metrics that summarize
overall status of recruitment and admission strategy

Liaising with Faculty and Ivey Community about MSc and CEMS program activities via internal
announcements and social media

Prioritizing competing demands and effectively delegating workload to the team in order to deliver expected
service levels in a timely manner

The nature of this role requires strict adherence with FIPPA legislation and Western confidentiality guidelines
– the incumbent will be required to handle difficult phone calls and inquiries from third parties i.e. parents,
other departments/external sources requesting confidential information
ACTIVITIES REQUIRING CONSULTATION AND/OR COOPERATION:
 Recruitment Strategy: Development of MSc Recruitment Strategy with Executive Director Recruiting and
Admissions (Masters Programs) and MSc Program Director; provide feedback on the activities of competitor
schools and develop strategies that align the program competitively and strategically. Marketing activities
planned in conjunction with key marketing stakeholders around improvements and new idea development in
areas of web site, pod casts, videos, brochure planning and other external communications
 Admission Decisions: Input to the MSc Program in consultation and partnership with MSc Admission
Committee
 Academic Policies and Application: Ivey’s MSc program is a graduate program of Western University, as such
it falls under the academic policies and procedures of the School of Graduate and Post-Doctoral Studies
(SGPS) and the Senate, and operates within the infrastructure of the Office of the Registrar in consultation
with the Academic Director, MSc Program
 Financial Decisions: Decisions and problems that result in financial impact beyond the scope of assigned
project budgets are referred to the MSc Program Director
SKILLS AND KNOWLEDGE REQUIRED:

Confidentiality and Privacy Legislation: Maintain security and confidentiality of collection, use and disclosure
of student records, files and documents, etc. in all formats in accordance with Western’s policies on Official
Student Record Information Privacy Policy and FIPPA.

Judgment: This position entails significant discretionary decision making, particularly with respect to
recruiting and admissions processes. The incumbent must be able to consider multiple, and at times,
conflicting criteria and to explain his/her decisions in a clear, concise and consistent manner.

Interpersonal and Communication Skills: Consistently able to deal knowledgeably, effectively and efficiently
with all stakeholders, particularly people and institutions from different cultures. Exhibit a pleasant and
professional manner, patience, maturity, tact and diplomacy in all internal and external contacts. The role
also requires exceptional interpersonal skills since the incumbent needs to make recommendation for
workload management within the MSc Program Services team to accomplish his/her goals and meet
deadlines. This role also requires exceptional interpersonal skills and strong understanding, knowledge and
sensitivity to various cultures, as this person is the most frequent representative of Ivey to all international
partners.

Time Management Skills: Be consistently dependable and extremely well organized to anticipate, plan and
balance multiple priorities; able to meet and to cope with the stress of deadlines. Timelines in completing all
activities is also critical to maintaining superior customer service.

High Quality Service Skills: The student experience in the MSc program and visiting CEMS students with Ivey
is determined in part by the quality of service he/she receives from the MSc Program Services team. The
incumbent must be committed to and excel in quality and customer service. The MSc Program Services team
works cooperatively by coordinating activities according to deadlines and priorities. The team atmosphere is
developed by each staff member: understanding the deadlines of all activities, assisting each other to meet
those deadlines and by developing the skills and knowledge to competently handle all activities.

Planning and Problem-Solving Skills: Be results-oriented; plan and implement all of the programs’ activities
and procedures; predict, outline and articulate needs and details of processes and activities and pro-act on
them; anticipate potential problems and take appropriate measures to solve them; assess accurately and
effectively projects and tasks that need delegation to the Program Assistant level and supervise these
accordingly

Strong Analytic Skills: The complexity of the interlinked IT systems in MSc Program for both admissions and
in-program requires a methodical approach to data planning and report development. Ability to be creative in
establishing appropriate system procedures and web based applications is critical

Computer Skills: The incumbent must demonstrate an ability to adapt to and embrace new technologies.
He/she must have extensive experience and skill using the Microsoft Office suite including web-based
applications (Word, Excel, PowerPoint, Outlook, etc.) Database management experience is essential –
Maximizer or Salesforce database preferred.

Project Management Skills: The size of the projects in this role requires strong planning and problem solving
skills. The incumbent must be able to manage shifting and competing priorities on a day-to-day basis
including accountability of these projects and tasks to complete.

Adaptability: Exhibit flexibility to adapt to new approaches and to take on new assignments as they relate to
program operational processes. This openness to change is critical as the MSc programming continues to
expand.

Attention to Accuracy and Detail: Accurate and consistent attention to detail are critical in all communications,
activities and processes to ensure that the correct information is provided and conveyed to all stakeholders
and that this information is consistent with Business School, Senate and University policies.

Senate, Western and SGPS Regulations: Be knowledgeable of Senate, UWO and SGPS regulations and
guidelines as they pertain to degree programs.
MINIMUM REQUIREMENTS
This position requires a university degree and directly related experience in a service and team-oriented
environment. Recruitment or business development experience in a knowledge industry is preferred. Knowledge
of international business education with strong relationship management skills and student advising experience is
critical. The role is large in scope and requires collaboration with multiple stakeholders both internal and external
to the Richard Ivey School of Business. Different times of the academic year will require different priorities and
projects to undertake on a variety of unique dimensions – recruitment and selection student advising.
The candidate must be prepared to work additional hours during peak periods and with restrictions to vacations at
certain times of the year. Extensive travel during the Fall is critical to the Programs success. A valid driver’s
licence is required. Other international travel required at varied times of year for recruitment events.
