Overview
The ScanNet® Lot Count Archive program monitors Lot/Group counts set-up in ScanNet®. The actual lot counts are
maintained by ScanNet. See the ScanNet users guide for setup of the lot counts. Program can be run on any
workstation that has ODBC access to the ScanNet® database.
Installation is simple. Run the SETUP
program on the provided CD. On first run of
the program, the necessary set-up will
automatically take place in the ScanNet®
database.
Operations are simple as well. After
launching the program, you simply click the
‘START’ button. The program will ask you if
you want to do an immediate archive. It is
up to the operator if they want to perform
that archive.
On a selected interval (15 minutes, 30
minutes or 1 hour) the counts are archived
to a specific table defined in the ScanNet®
database. The current count along with the
minimum and the maximum count archived
in the archive period are captured.
There are two options on the screen that
the operator can adjust. ‘Timer Interval’ is
the number of seconds between checks of
the lot counts. ‘Archive Interval’ set the
frequency of archiving the counts.
Another feature is the ability to ‘watch’ which credentials are currently considered ‘IN’ for a select Lot/Group. If the
operator clicks on a lot/group in the ‘Lot counts Being Watched’ grid, then the grid ‘Credentials Associated With
Lot/Group Currently In Facility’ will be updated and will be continuously upgraded each time the ‘Timer Interval’ is
reached.
The ‘Print Report’ button in the upper left hand corner will allow the operator to print one of three reports of the
archive counts or credential violators over a select time period.
The reports can be exported to Excel for further analysis.

Prerequisites
The system requires that ScanNet has been purchased and is installed. All Lot/Groups have been defined and
credentials associated with the Lot/Group desired.
Installation
Double click the setup.exe file. The following screen will appear:
Click ‘Next’. The following screen will appear:
The user can determine where the Lot Count
Archive will install by clicking ‘Browse’, then
selecting a folder. The user can also specify who
can use this specific interface by clicking one of the
two options, ‘everyone’ or ‘just me’. After the
necessary changes are made, click ‘next’.

The following screen will appear:
To continue with the installation, click ‘next’. (If
changes need to be made for the installation
destination or who can use the interface, press the
‘back’ button.)
Click ‘Next’. The following screen will appear:
The Lot Count Archive will take a few moments to
install. Progress of the installation will be shown in
the rectangular bar under ‘please wait’.
Once the installation is complete a new screen will be
displayed confirming installation is complete. Click
‘close’ to exit the installation program.
The GA State ScanNet Lot Count Archive is now installed. An icon will appear on the desktop.

Setup Parameters
All setup parameters are contained on the monitoring form.
Timer Interval - Interval for program to check for changes in the lot counts. Value is in seconds with a maximum of
60 seconds. This relates to the frequency that activity occurs and the ‘Last Checked’ Date and time are updated.
Archive Credentials – If checked, whenever the lot counts are archived, also archive all credentials currently ‘IN’ the
facility that are assigned to a group.
Archive Interval – Frequency to store the Lot counts. This should be matched with the interval defined for archiving
the gate and lane counts in ScanNet. Depending on the selection, the archive will take place on the interval. For
instance, if 1 hour is selected, then the archive will occur on the hour, regardless when the monitor was initially
started
Start/Stop Button – Used to start the monitoring program or stop it from monitoring.

Assign Lots/Group Codes to Devices
The user must manually assign groups to specific lots. The user selects the lot name & group name for the drop
down list, as shown above. The available devices for the lot will be displayed below. Once the desired device(s)
have been selected, it will be displayed underneath the title “devices currently assigned to this lot”. The user also
has the option to print a report for the specified lot. This process need to be repeated for all available lots.
This feature triggers the ScanNet application when an entry or exit transaction occurs for a credential. The
application looks up the device in the supplementary table (table_srp_lots_devices) and finds the group code that
has been assigned by the maintenance program. It then increments the lot count if it is an entry device or
decrements the lot count if it is an exit device.

Set Program to Start Monitoring Automatically
When the program is opened manually, the operator needs to specifically
click the ‘start’ button. When the button is clicked, the program will ask
the user if they want to archive the counts (and optionally the credentials)
immediately. If the operator selects ‘Yes’ then lot counts are archived.
Operator will generally select ‘No’.
It is generally desired to have the application automatically start
monitoring and not archive counts immediately. To implement this
feature, you need to create a shortcut to the Lot Count Archive
program ‘LotCountArchive.exe’ and add a command line value of
‘AUTO’ and add to the Startup folder of the operating system.
The shortcut would look something like the following (depending
on the operating system). Note the green highlighted area showing
the command line parameter.

Operations
The Lot Count Archive program must be running at all times in order to be able to archive the lot counts. It can be
minimized. Program should be setup such that it will restart anytime the ScanNet server is restarted.
Note: The first time the application is run, it will perform the necessary database setup required for operations.
When the archive program is active, the operational form will look as shown below:
When the program is active, it will:

Look at the time clock, if the specified time interval had been reached
o Archive all lot counts
o If ‘Archive Credentials’ is checked, then record all credentials ‘IN’ the facility for all of the
lot/groups
o Look at the current counts for each lot/group
o All other normal operations of ScanNet related to Lot counts by Lot will also occur

Reporting
There are 8 different reports that can be generated from the captured data. Reports can be generated while the
monitor is running. To get to the report menu, click the ‘Print Report’ button, located in the upper left corner of the
monitor form. The ‘Select Report to Print’ form will be displayed, shown below.
Before a report is printed, the operator should select the lot/group range. It defaults to all groups.
Next the operator should select the date range for the archive data.
Remember, all of these reports will only report on data archived by the program. If the program is not running, then
no data will be found for that period.

Maximum Lot counts Report with Times
This report will be summarize by hour, regardless of the archive interval selected in setup, the count for each group
on the hour and the time when the maximum count occurred.
One row per hour showing lot counts on the hour for each group and when, in the previous hour, the maximum
count occurred.

This report will be summarize by hour, regardless of the archive interval selected in setup, the count for each group
on the hour and the time when the maximum count occurred.
One row per hour showing the lot counts on the hour for each group. A total for each day is also printed showing
the maximum count for the group.

Standard Lot count Archive Report
This report will display daily count archives for each group. Under each group name & Lot/Groups is the archive
time, lot count, group limit, minimum value, date, & time, as well as the maximum value, date, & time is displayed.
Grand totals for each day are also displayed.

Count of Active Parkers During Each Hour
If the ‘Archive Credentials’ box is checked on the main form this report will generate. For each group, it displays the
number of active parkers per hour with the maximum count.

Active Hours User Is In Garage
If the ‘Archive Credentials’ box is checked on the main form this report will generate. This report will show, for each
hour in a given day, a listing of each credential and an indicator as to the hours when the user was in the garage.
This report is useful for documenting overuse by the organization responsible for the group.

Active Users During Each Hour
If the ‘Archive Credentials’ box is checked on the main form this report will generate. This report shows, for a
specific archive time as list of the credentials that were in the facility.

Process and Print Inactive Cards
Using this option is actually a process followed by a report. The process will examine all credentials for the specified
groups and determine which credentials were not used during the time period specified. The report will be
generated after processing the data.
