The SC&LTC Annual General Meeting will be held on Thursday 27 March 2014 at 1930 hrs in the Clubhouse. All members
of the SC&LTC are invited to attend – only those who are 18 years and over may vote. Where an agenda item is

Chairman’s Welcome and Introduction
The Seaton Cricket & Lawn Tennis Club continues to provide a fabulous opportunity for the local community to
participate in sport.
Our facilities are of a very high standard and the dedicated volunteers who give their time and experience to
run these facilities are to be commended and applauded.
The Clubhouse tennis extension is now complete and the new facilities enhance the members experience by
providing a large airy socialising space and modern shower facilities for both men and women.
However, there are still issues to be explored: for example, the possibility of purchasing the Club site land and
of maximising usage of the Bar by both sections of the Club. Discussions seeking to clarify the role of the
Trustees have also been started.
I have enjoyed my role as Chairman over the past year and would like to thank all the members of the
Management Committee and of the individual Cricket and Tennis Committees for their hard work and support.
Peter Anderson (Cricket) is now taking over the SC&LTC Chairman role and I wish him well in the coming
year.
In or out is a common sporting term used in both tennis and cricket and this analogy can be extended to the
running of the SC&LTC. I prefer in to out- and I believe we are in it together. Both the Tennis and Cricket
sections contribute to each other’s success and we are better when we work together!

Chairman’s welcome and introduction
As Andrew Carter had recently resigned as Chairman of the Management Committee due to work
commitments, Andy Butcher would be chairing the AGM in his place. Andy welcomed all members to
the meeting. He thanked the Trustees, Life Members, the members of the Management Committee,
and all the Club’s volunteers for their work and commitment to the Club in the past year. The deaths of
two Life Members – Barbara Evamy and Judith Watson – were noted with great regret. Between them
these two individuals had contributed to the life of the Club for some 50-60 years. Brian Rodgers had
conveyed the Club’s sympathies to their families.
2.
Minutes
The Minutes of the Annual General Meeting held on 15 March 2012 were approved.
3.
Matters arising
There were no matters arising from last year’s AGM Minutes.
4.
Cricket report
In spite of poor weather affecting many fixtures, attendance numbers for Colts remained high, with
some performances of note. Application for Chance to Shine funding was successful – this enabled
approaches to be made to primary schools culminating in a festival at the Club with 80 attending, and
allowed an extra training night for younger players to be started. An enthusiastic Second XI team won
the East Devon Division and were promoted – the side included the 4 top bowlers in League statistics
and James Thomas won the League award. The First XI marked their return to form by ending the
season in third place. A Third XI had been reintroduced and the Cricket Committee rejuvenated.
5.
Tennis report
The Tennis section had enjoyed a number of successes which included the Mens A team which won
Division 3 and were promoted. The Ladies A team, Mixed A, Mixed B, and Mixed C teams all ended up
respectably mid-table in their divisions. The Ladies B, Mens B, and Mens C teams, however, were
relegated and these groups would be the focus of support and training in the coming year led by Kevin
Davis (Club Captain). Three Seaton Tennis members received LTA awards this year: Emma Hurst (Junior
Player of the Year), Grayson Newton (Volunteer of the Year), and Ben Elliott (Coach of the Year). The
extension of the Clubhouse had got under way although the build schedule had been set back by poor
weather.
6.
Treasurer’s report
The Club’s accounts (Tennis and Cricket section balances combined) for the financial year ending
October 2012 showed an increase on the previous year of £4,000, with a final balance of £113,680.
Detailed accounts for the Cricket section were still being finalised but the end-of-year balance showed a
drop of £5,300 to £21,500. Poor weather and an associated increase in ground maintenance expenses
were contributing factors. A new Cricket fundraising committee was being set up to bring in new
funding. The Tennis section’s end of year balance showed an increase of £9,000 to £23,750. Income had
increased by £600, largely due to the introduction of coaching charges half-way through the year. Total
expenditure remained relatively low at £14,000 (including £3,500 for the extension build). The Tennis

section’s long-term budget plans allowed for completion of the Clubhouse extension (£29,500), court resurfacing, upgrading floodlighting, re-surfacing the approach road, and replacement of nets and posts.
The figures for the extension build included professional fees. The expected completion date of the new
extension was May 2013 – a delay mostly due to adverse weather conditions.
7.
Membership of Cricket and Tennis Committees
Membership of the Committees for 2013/14 was noted as follows:

Elliot (Coach/Tennis Programme Director). Andy Butcher reported that G. Elliott had now also
volunteered to join the Committee and take up the role of Social Secretary.
8.
Cricket and Tennis section subscriptions
Subscription rates for 2013/14 were approved. At Ben Elliott’s request it was agreed that the Tennis
coaches’ membership fee be reviewed by the Tennis Club Committee in the light of the income that the
new coaching charges brought into the Tennis section.
9.
Proposed amendment to Cl. 35 of the Constitution
The AGM unanimously approved changes to Cl. 35 (as previously circulated to the membership) which
clarified the Club’s registration as a Community Amateur Sports Club, rather than a registered charity.
10.
Management Committee
Membership of the joint Cricket/Tennis Management Committee for 2013/14 was noted and would be
posted on the noticeboard:
Cricket: John Wheeler, Stephen Pritchard, Peter Anderson and Roger Aplin.
Tennis: Andy Butcher, Richard Stubbs, Grayson Newton (and another member - to be discussed)
David Evans requested permission to attend the first meeting to discuss his role as Trustee vis-à-vis the
Committee, and to consider the possibility of the Club purchasing the site from the Council. If the
Management Committee view was positive, David would then have a mandate from the Club to
approach the Council with a formal expression of interest. Ultimately, when more detail was available,
the views of the whole Club membership would be canvassed.
11.
Clubmark
The implementation of Clubmark in the Cricket section was benefitting from the leadership of Richard
Honnor who had been appointed an inspector of cricket clubs with Clubmark status. Richard was happy
to share this expertise with the Tennis section.
12.
Clubhouse insurance/bar licence
Peter Anderson offered to check whether the current bar licence would require review in view of the
extension build and to locate the current bar licence and fire prevention certificate.

Cricket Report 2013/14
The Club fielded three teams in the Devon Cricket League. The 1st Xl came third in their league but won the 20
over knock out Corinthian Cup which is the second senior trophy in the whole of the Devon league. The 2nd Xl
came second in their league but were not promoted because only one team goes up in that particular league.
The 3rd Xl was mainly an U15 side playing in an adult league. This was a development side aimed at preparing
young players to migrate from colts’ cricket to adult cricket. Several of those players will in 2014 play in the 2 nd
Xl.
The Club played regular Sunday friendly matches with a team comprising the young, not so young and the
very old. These matches are important from a revenue earning point of view particularly when touring teams
are hosted.
The Free Foresters CC hired the ground for their usual three day Cricket Festival with the Club providing all
the catering and other facilities. In addition several Devon youth matches were staged at the ground plus
matches played by Colyton Grammar school in the East Devon Schools competition.
It was a fine summer weather wise and therefore most matches were played. This accounts for the profit
margin arising from cricket activities compared to the previous year when wet weather restricted the number of
matches played.
The Colts played in the East Devon youth league entering teams at U11, U13 and U15 levels. Several players
represented East Devon and two went on to play for Devon.
As always, the Club is indebted to the volunteers who give their time to keep the Club running, ( ground,
upkeep, bar, cleaning, rubbish disposal, tea/lunch ladies, administration, meetings ,pavilion repairs,
attendance at courses ) a number of whom are very generous in providing food at no cost to the Club.
The Club participated in the Chance to Shine scheme with coaches going into local schools. This had a knock
on effect in U10 players coming to the Club which then increased youth participation in cricket. All relevant
child protection procedures are in place with a dedicated Child Welfare Officer appointed.

Honours
One of our talented juniors, Emma Hurst, is now ranked No. 2 in the UK (Under 18s) and has been awarded
County Colours.
Coach Derek Blackmore was nominated for the LTA Coach of the Year Award.
Tennis programme for juniors
In the summer of 2103 there were over 125 mini and junior players attending the half-termly coaching
programmes. Key in this success has been good quality coaching and organisation under the leadership of
Coaching Team Leader Ben Elliott and the development of a strong local schools programme. In spite of poor
weather, the junior attendance number remained respectably high at 70 throughout the winter.
Adult tennis
Our Club sessions, which provide an opportunity for gaining experience in match play and for social
interaction, continue to be well-supported. The coach-led Pay & Play sessions are also thriving and a new Pay
& Play session has been introduced by the coaches on Wednesday evenings. This is focussed on raising the
standard of play amongst our League Players – and on encouraging other players who do not yet play for a
team but would like to do so.
Leagues
The Tennis Club continues to punch above its weight in the in the Exeter and District Leagues. In the summer
both the Mens A and Ladies A teams were promoted to their respective top divisions. The Ladies B Team was
also promoted, and the Mixed A and B teams performed well in its Division. Seaton entered 2 additional
Ladies Teams in the Winter League – both of which won their Divisions by a country mile. 9 Seaton teams will
be entered in the 2014 Summer League.
Coaching Team
Ben Elliott leads our skilled and highly-qualified team of coaches. Jason Martin (L4 Club Coach) is newlyarrived in the Seaton Team having come to us from Exeter University. Jason is trialling a new tennis cardio
session which, it is hoped, will attract into the Club those members of the local community who would not
otherwise see themselves as natural tennis players or sportsmen.
Social events
A good number and variety of social events, some organised by Club members and some by the new Social
Committee, were staged in 2013/14, including: a golf tournament, rackets tournament, themed Club tennis
sessions, the Christmas Party, an American tournament, a Curry &Quiz night and weekend breaks. Through
its events the Social Committee managed to raise over £600 for the Tennis Club.
The Tennis Club Open Day is on 5 April 2014 from 1000 – 1600 hrs for the enjoyment of existing members
and to attract new members. The local MP, the Seaton Mayor, and representatives of Devon LTA are
expected to attend.
Communicating with members
Jeremy Warner (Membership Secretary) has picked up the baton from Grayson Newton of continuing to
develop the Tennis Club website (www.seatontennis.net). Club members, and members of the public, may

now access information online re facilities, coaches, sessions, subscription levels etc. The Club also now has
a Media/Facebook presence.
Volunteers
The Tennis Club is grateful to all the volunteers for the work they do. A special tribute, and thanks, are given
to Grayson Newton, Sandra and Dennis Rose, and Brian Rodgers who are taking a step back after years of
service on a voluntary basis.
Looking forward
The Tennis Club Committee has set up a Capital Expenditure Subcommittee which will produce a plan for
forthcoming spends on facilities e.g. court surface maintenance/renewal. In-put and suggestions from Tennis
members are invited – and the membership will be consulted on any proposal coming forward from the
Subcommittee.

1. Re changes relating to equality – the current wording of the Constitution relating to equality and open access is
outdated and sits uneasily with the equity policy which was adopted later.

serve on the Committee. The Tennis section membership will be informed of these late nominations and given the
opportunity to comment. These nominations may be confirmed at the next ATM meeting. All Committee members
will have the same voting rights irrespective of when they joined the Committee.”
