INFORMATION FOR UNIVERSITY OF CENTRAL LANCASHIRE
STUDENTS GOING ABROAD UNDER THE ERASMUS PROGRAMME ON STUDY
PLACEMENT
1. ARRANGEMENTS FOR YOUR PROGRAMME OF STUDY ABROAD
When you have made preliminary arrangements with your course leader to spend a period of study abroad, and
following individual research into the Host Institution’s website, accessible via the following Study Abroad Web
Link: http://www.uclan.ac.uk/information/international/study_abroad/study_abroad.php Exchanges take place
during your 2nd year of study unless you are a MOLA student or are studying on a 4 year placement programme.
Acceptance for studying abroad is conditional and is dependent on successful progression from year 1 or previous
year of study even if you have been accepted by the Host Institution.
You must discuss in detail with the Exchange and Study Abroad Advisor and your course leader at UCLan your
choice of modules and exchange. This university uses the ECTS (European Credit Transfer System) in connection
with its student exchanges and you must complete the following documents before the application deadline and
before leaving at the end of the academic year prior to your placement abroad:
1. ERASMUS Outgoing Study Application Form
2. ERASMUS Learning Agreement.
3. ERASMUS Student Mobility Agreement – Study
4. Confidential Health Questionnaire
5. ERASMUS Proforma – Study Placement
6. Risk Assessment
Additional Compulsory documents:
7. Copy of Passport including Emergency Contact Page
8. Copy of European Health Insurance Card
You must comply with this to enable the credits gained on your period of study abroad to be transferred to your
record at UCLan. Please note that this rule applies to all outgoing exchange students including MOLA.
2. ERASMUS GRANTS AND HOW TO APPLY FOR ONE
ERASMUS student grants are administered through the International Office, Exchange and Study Abroad Team,
Student ‘i’, Foster Building. All students should attend one of the Study Abroad Workshops or call into the
Student ‘i’ for information about grants and if necessary further information on their period of study abroad.
The amount paid is calculated on a monthly rate according to the Euro Rate on the day UCLan receives the
funding from the British Council. You will be paid in Sterling in one lump sum. Funding will only be paid once we
receive the required documentation, ie completed learning agreement and certificate of arrival: these documents
must be returned no later than 2 months following the start of your placement otherwise you will no longer be
eligible for the funding. It is your responsibility to provide the Exchange and Study Abroad Advisor at UClan
with the correct bank details where you want the funding to be deposited. Once the funding has been received
from the British Council you will be informed via email from the Exchange and Study Abroad Advisor and you will
be provided with an ERASMUS Grant Receipt Acknowledgement Form which you need to sign and return to the
Exchange and Study Abroad Advisor at UCLan. Any discrepancies in the amount may be due to your bank charges
or the Euro or local exchange rate of the day you withdraw the money. It is your responsibility to check with
your bank about any international banking charges. If you open a local bank account then you will need to provide
an IBAN – International Bank Account Number.
For various reasons, it is not possible for us to be in a position to pay students going out in September prior to
their departure. Students should budget in advance of the period of study abroad as the ERASMUS Funding is
not intended to cover all costs; it is a contribution to support your choice to study abroad. The maximum amount
of funding a student can claim for is 12 months. Your eligibility to receive your ERASMUS Grant will not be
affected by you receiving a Student Grant or Loan, however you cannot receive both the University Bursary and
ERASMUS Funding.
Students must complete and return all forms as requested.
NB. Students returning to the University before their contracted period is completed, render themselves liable
to repay the entire ERASMUS grant. You should also be aware that the contract you sign is with the University
of Central Lancashire and not with the ERASMUS Student Grants Council. Failure to repay any money owed to
the University as a result of returning home before the end of your contracted period could have implications for
the subsequent award of your degree/diploma from UCLan.
ii). Student Grant Receipt Acknowledgement Form
This form must be returned to the International Office by all students immediately when they receive the
ERASMUS grant into their bank account. Unless you do so there is no possibility of your receiving any
supplementary grant should this become available. NB:A 2nd installment/supplementary grant is not guaranteed
and is different to all UK institutions; therefore you may be studying alongside a student from another UK
university at the Host Institution whose students have received a 2 nd installment but this will not necessarily
apply to UCLan students.

Students should complete this at the end of their stay abroad via the following on-line link:

iv). Certificate of Attendance
This should be signed by the responsible person at your host university and returned to the Exchange and Study
Abroad Advisor.
3. TRAVEL & INSURANCE
You must make your own travel arrangements for your visit abroad. Student travel agencies usually offer the
best value. The University’s insurance policy covers students going abroad under ERASMUS. A summary of the
cover provided is obtainable from the Exchange and Study Abroad Advisor and a copy is included in the
application pack. Students are covered only from the point of arrival and departure of their exchange period. If
the student decides to go early or stay on after the exchange then they will be responsible for taking adequate
insurance cover for these additional dates. Students are not insured to drive, so again will need to take out
separate insurance if they wish to hire a car.
Make sure you have a valid European Health Insurance Card (EHIC). Copies of the Application Form for the
EHIC card can be obtained from Post Offices or by calling 0845 606 2030. Alternatively you can apply online at

4. LANGUAGE TUITION
A sum of money may be available, as part of your student grant, for you to receive pre-course language tuition in
your host institution. Unfortunately this payment applies only to the less-widely spoken languages such as Finnish,
Portuguese, etc. Students interested in this should contact the Exchange and Study Abroad Advisor to see if
such tuition is possible in their host University.
5. ACCOMMODATION ABROAD
You should first approach the Exchange and Study Abroad Advisor at UCLan or the Host Institutional ERASMUS
Coordinator to ensure that accommodation has been arranged for you at your host University. Do not set out
for your placement abroad without first ensuring that your accommodation has been arranged. Costs of
accommodation vary from country to country and from university to university. It is your responsibility to apply
for accommodation at the Host Institution.
6. INFORMATION ON INDIVIDUAL UNIVERSITIES ABROAD
The International Office Exchange and Study Abroad Team has a small library of information on some of
University of Central Lancashire's partner universities abroad which students are free to consult if they wish. It
your responsibility as an Exchange Student to complete and return the Host Institutions application forms and
submit them prior to their deadlines.
7. FEES
Students spending a full academic year abroad under the ERASMUS Programme will not be liable to pay UK
tuition fees at the University of Central Lancashire for 201213; however this is subject to change in accordance
with the UK Government Fee Waiver Scheme and may not be applicable from 2013/14. Please check with the
Exchange and Study Abroad Advisor before completing your Student Loan/Tuition Fee application. No tuition
fees are payable to your host university. You may be required to pay a small fee to attend their orientation
programmes eg; 60€
