Donation of ETO Hours
The purpose of this policy is to allow employees to donate earned time off hours to a coworker to
use for a serious illness or personal emergency.
Guidelines:
1. Employees may donate hours from their ETO bank to a coworker’s ETO bank for use in the
case of a serious illness or personal emergency. Employees who donate time must leave at least
a 40 hour balance remaining in their ETO bank after their donation.
2. Your Administrative Director will consider what is a serious illness or personal emergency,
on an individual basis.
3. Only employees currently eligible to use ETO may receive donations.
4. Solicitation or pressuring of others to donate ETO hours is prohibited.
5. Once ETO is donated, it cannot be reinstated.
Procedure:
1. Donor completes the “ETO Donation Request Form.” Forward to the department’s
Administrative Director for approval or disapproval. Submit document to Human Resources.
2. Human Resources will ensure that the donating employee has sufficient hours in their ETO
bank.
3. Human Resources will approve or deny the request based on the employee meeting all
guidelines above. If approved, HR will convert the donated hours to the appropriate number of
hours based on recipient’s current hourly rate. For example, if an employee earns $8.00 per hour
and donates 4 hours to an employee earning $12.00 per hour, the recipient would receive 2.67
hours of ETO contributed to their bank. HR will notify the recipient of the donated hours.
Donor may choose to keep their contribution to recipient anonymous.
