Breed Pavilion / Breed Demonstration Application Friday, April 1 – Sunday April 3, 2016 Application Deadline March 15, 2016 The Breed Pavilion will be located in a designated portion of the Southern States Legends Stable or in the First Bank & Trust Company Pavilion (Final location pending). This area will serve as the hub for breed promotions and education. Participants in this area will receive two permanent stalls (one for a horse and one for exhibit space). Additional stalls may be purchased. Participants in the Breed Pavilion have the opportunity to perform on Saturday and Sunday in the Breed Showcase. The Breed Showcase will allow participants a 3-5 minute presentation of the versatility of their breed. We have a limited # of stalls available so please make your reservations early. Parade of Breeds will serve as the closing event on Friday, April 1, opening night of the Virginia Horse Festival. This event will begin at 6:00pm in the First Bank & Trust Company Pavilion/Southern States Club Master Arena, a 125’ x 240’ covered arena with seating area for over 1,000 spectators. Your Breed Association or Farm must be participating in the Breed Pavilion to be considered for selection to perform during this event. Participants will have a total of 10-15 minutes (2 – 4 minutes/horse) to illustrate the versatility of their breed. We encourage the inclusion of multiple horses in each performance. Please be prepared to provide any music and/or narrative script to be included in the presentation. A narrator will be available or participants are welcome to provide their own. Proper planning and adherence to the deadlines below will ensure your participation and the quality of our events will be successful. The Parade of Breeds will be held Friday evening and is the featured event scheduled to provide entertainment as the closing activity of the horse festival’s opening day. Demonstrations scheduled for 10 – 12 minutes per breed. The Breed Showcase will be held Saturday and Sunday at various times, demonstrations restricted to 5 minutes per participant. Application Deadline March 15, 2016 Script Deadline March 20, 2016 A detailed narrative script for demonstration is required. Please include names of participants/horses and details explaining planned activities in the ring to ensure we provide quality education and entertainment for spectators. After receipt of all requested information, each organization will be informed of their designated times for demonstrations. Please be sure to indicate the amount of time you anticipate for your demonstration. Due to the large number of participants in the breed demos, it may not be possible to honor all requests during each demo/showcase; requests will be confirmed on a first come first served basis. The Parade of Breeds and Breed Showcase are intended to be educational demonstrations providing history of the breed and breed specific details that distinguish one from another. Demonstrations and scripts should not promote horses for sale, farms, stallions, training programs, etc. Promotion of participating organizations and their respective national breed organization is appropriate and permissible. A mandatory participant meeting will be held on opening day of the Festival at 1:00 pm. All organizations participating in the Parade of Breeds and/or Breed Showcase must have a representative present. Please bring final scripts and music saved to CD or DVD. Scripts must be typed (handwritten scripts will not be accepted), double spaced and no less than 12 pt. font. Unless Licensee, at its expense, provides Commonwealth Fairs & Events, Inc. with satisfactory alternate insurance at least five (5) business days prior to commencement of the Event listing CFE, Inc. as additional insured, CFE may obtain the following insurance covering the Event and Licensee’s activities in the Facility (the premium for which shall be included as part of the License Fee): (1) a commercial general liability insurance policy in the amount of $1,000,000.00 for bodily injury and $1,000,000.00 for property damage, including blanket contractual liability and independent contractors coverage’s; and (2) commercial automotive bodily injury and property damage insurance in the amount of $1,000,000.00 (including an extension of hired and non-owned coverage). No election by CFE not to obtain any or all such insurance policies shall give rise to any claim or liability against CFE related to any Loss that may have been covered by any such policy had such a policy been obtained. At its expense and to the extent required by law, Licensee shall provide applicable workers compensation insurance for Licensee’s employees. On each such required policy: (i) Licensee shall be the insured; (ii) CFE, Inc. shall be named as additional insured’s; and (iii) the insurer shall be required to waive subrogation claims. No such policy shall in any way limit the liabilities or obligations of Licensee under this Agreement, including, without limitation, Licensee’s indemnification obligations.
