RATIONALE: To provide the University Community with an understanding of Classroom
Support & Instructional Technical Services’ chargeback/service fee structure.
POLICY: Charge-Back/Service Fees - Classroom Support and Instructional Technical
Services’ (CSITS) operating budget is supplemented with funds generated through a
chargeback process in which certain services are provided for a fee. CSITS service fees
are associated with the use of audio visual and instructional technology hardware and
software resources, supply items, staff labor, and the passing on of any outside service and
material fees incurred by CSITS in support of user activity. Charge-back and service fees
are determined according to user application as it relates to academic instruction and
special event activity.
SCOPE AND APPLICABILITY: Defining when a chargeback or service fee applies to a
user request
DEFINITIONS: Service units within Classroom Support and Instructional Technical
Services - CSITS is organized into four service units: Classroom Support Help Desk,
Multimedia & Presentation Services, Technical Services, and Video Services.
1. Classroom Support Help Desk is the primary contact point to place an initial call or
request for any CSITS service. Phone ( (248) 370-2461 or send an email to
csits@oakland.edu. Standard hours of operation and specific procedures for
requesting services are listed on the CSITS website: www2.oakland.edu/csits.
Special event activity is supported as needed outside CSITS’ posted hours of
operation.
2. Multimedia and Presentation Services is available to provide a wide range of
multimedia and presentation production support services. Located in room 207

Varner Hall, it is best to schedule an appointment by calling (248) 370-2130 or email
csits@oakland.edu.
3. CSITS Technical Services provides a wide range of engineering and maintenance
service related to the utilization and integration of AV/IT components and systems
located throughout the University. Technical Services staff will provide assistance
and/or guidance on maintenance matters associated with any University owned audio
visual component or system. Requests for service are made through the Classroom
Support Help Desk.
4. Video Services provides television production and video creation support services to
the University community. Located in room 111 Varner Hall, it is best to schedule an
appointment by calling (248) 370-2460 or email csits@oakland.edu.
Classroom Support and Instructional Technical Services (CSITS) is charged with developing
and maintaining audio visual and instructional technology resources and services in support
of the University Community with a primary focus on “Academic Instruction (AI)” taking place
within the University’s general purpose classrooms. CSITS’ secondary focus is to provide
support services to the University’s special event activity.
5. Academic Instruction is defined as the face-to-face meetings between faculty and
students in direct support of credit course offerings listed within the official course
schedule as maintained by the Office of the Registrar.
6. Special Event activity is defined as all other “non-Academic Instruction” activity in
which a CSITS service is requested.
PROCEDURES:
1. Charges will be processed by Interdepartmental Charge on a monthly basis. For
detailed information regarding charges, refer to the CSITS website:
www2.oakland.edu/csits.
2. There are no fees assessed to support “Academic Instruction (AI)” activity taking
place within any instructional space in which audio visual and instructional technology
resources are requested and utilized. CSITS will provide portable supplemental AV
and IT resources to instructional space as needed to support AI activity. A complete
listing of AV and IT resources can be found on the CSITS web site. There are limits
to the availability of AV/IT resources.
3. There are no fees assessed to any official OU non-AI activity taking place within
general purpose classroom space in which existing AV and IT resources are being
utilized. There will be service fees assessed in support of OU non-AI activity taking
place in any space in which supplemental services and resources are requested.
This typically involves the scheduling, delivery, setup and operation of various AV/IT
resources throughout campus. A listing of AV and IT resources and services and
associated fees can be found on the CSITS web site. Official OU non-AI activity is
defined as any program activity that directly supports the mission of the University

and is approved by the highest level administrator within a Division, School, College,
or Department and is managed and attended by current OU employees.
4. CSITS service fees apply to all non-AI activity taking place outside of general
purpose classroom space requiring supplemental support. This typically involves the
entire service process including but not limited to: the scheduling, delivery, set up,
and operation of various AV/IT resources and systems that can be used anywhere on
or off campus.
5. Grant funded programs and events are subject to CSITS service fees.
6. Event activity in which a participation or admission fee is charged is subject to CSITS
service fees.
7. Outside groups and organizations are subject to CSITS service fees.
8. CSITS service fees apply to all user groups for the following: expendable supply
items, all requests for operator (labor) support, and all requests for staff support of
multimedia or video production activity. Whenever possible, CSITS staff will provide
no cost options for users to gain access to resources and knowledge to be able to
generate their own productions.
Charge-Back and Service Fee Exemptions – There may be a special time when a chargeback or service fee exemption is necessary for a CSITS service in support of a non-AI
activity or event. Requests for service fee exemptions must be made in writing and
submitted to the Assistant Vice President for Classroom Support and Instructional Technical
Services four weeks prior to the date in which a service is to be rendered. The requestor
must make a case and provide justification as to why their event or activity should receive a
special service fee exemption. The AVP for CSITS will consult with the office of the Vice
President for Academic Affairs to resolve any disagreements.
