Department of Human Resources OPSEU Job Description Job Title: Job Number: NOC: Band: Department: Supervisor Title: Pub Services Coordinator A-259 0631 6 Conferences & Hospitality Services Director, Conferences & Hospitality Services Last Reviewed: January 31, 2014 Job Purpose Under the supervision of the Director of Conference and Hospitality Services, the Pub Supervisor bears primary responsibility for all general pub service operations, including food and beverage provisions as well as providing on site supervision and support for student staff. Ensures adherence to Liquor License Act (LLA), Alcohol and Gaming Commission of Ontario (AGCO) guidelines, Campus Alcohol Policy and health and safety requirements as they pertain to pub service operations. Key Activities Finance/Administration: 1. Generates sales reports from Aloha POS system on daily/weekly/monthly basis. 2. Ensures data from weekly sales reports has been input into tracking sheets on a weekly basis to ensure proper sales tracking and budget management. 3. Reviews each shift deposit promptly and follows up on any inaccuracies with student staff. 4. Checks pub cash float on a daily basis to ensure accuracy of funds. 5. Prepares weekly and monthly pub deposits and submits in advance of monthly deadline to Administrative Assistant for completion. 6. Obtains Director approval and ensures all purchase expenses are in line with annual pub budget prior to placing orders. 7. Responsible for ensuring that any purchases on department credit card are allocated to proper accounts prior to submitting to Administrative Assistant for processing and signature of Director. Has signing authority for Pub accounts. 8. Advises Administrative Assistant if money is required for Ceilie cash floats on a regular basis. 9. Reviews and updates selling prices and product costs for pub food and beverage items on a regular basis. 10. Investigates and reviews with Director opportunities to reduce costs in relation to proper budget management. 12. Responsible for Safe operation of University vehicles including conference van or golf cart. 13. Responsible for any and all keys/access cards assigned or used in the conduct of job duties 14. Regularly checks all related pub storage areas to ensure that they are safe and well maintained. 15. Tracks and reports all health and safety incidents. 16. Communicates with the Central, College Cabinets, student clubs and groups, Student Housing, Health Services, and Security on a regular basis to maintain relationships and a knowledge and understanding of campus pub operations. 17. Ensures compliance with campus policies, including Fair Trade and Water Bottle Free. 18. Actively participates in departmental meetings. 19. Other administrative duties as may be required. Student Staff/Human Resources: 1. Assists in recruiting and hiring of student pub staff, including reviewing and updating job descriptions, setting deadlines for hiring, training and interviewing, and ensuring employment contracts are completed. 2. Assists with updating and implementing training materials and programming for student staff regarding liquor license and alcohol service. 3. Trains pub staff on kitchen operations, menu preparation and general service guidelines. 4. Ensures staff have completed Smart Serve and Safe Food Handlers training, as required. 5. Conducts performance reviews and disciplines student pub staff, as required. 6. Generates and maintains weekly work schedules for student pub staff in a timely manner to ensure appropriate staffing levels and availability during regular operating hours. 7. Supervises student employees in their duties related to the Ceilie daily operations and Ceilie event bookings and Thursday pub nights to ensure pub security, orderly pub operations, and customer satisfaction. 8. Reports employee progress and any discipline issues to Director on regular basis 9. Ensures student staff are aware of and follow health and safety standards. 10. Ensures staff are aware of, and follow, all communication and incident reporting procedures. 11. Reports bi-weekly labour to Administrative Assistant for student staff payroll processing. 12. Assumes on call availability during operating hours and during special pub events. 20% Sales and Marketing: 1. Assists with ongoing development of additional ways to promote the Ceilie as an event venue and restaurant to increase revenues and maintain customer satisfaction. 2. Responsible for confirming weekly pub themes per semester with input from staff, students and student groups and cabinets. 5. Provides Administrative Assistant with information to keep Ceilie social media links active and website updated. 6. Communicates with The Central and College Cabinets at the beginning of each semester to determine possible special event bookings in the Ceilie or at alternate campus pub locations, taking into consideration event calendar. 7. Assists with follow up and liaises with Director and Event Coordinator (Liquor License) regarding pub and special event booking inquiries. Food /Kitchen: 1. Inventories food on a weekly basis in order to track food usage and compare to food sales. 2. Ensures food inventory data is entered into tracking system. 3. Places orders for all food items on a regular basis based on weekly consumption and inventory counts. 4. Reviews par level inventories of food items based on menu requirements and average sales each semester. 5. Reviews and updates menu item specifications and batch recipes at least annually to ensure they are complete and accurate. 6. Maintains relationships with product vendors and updates any changes to contacts, delivery or ordering details. 7. Makes changes to improve menu and menu items, as needed. 8. Establishes kitchen and food preparation, presentation and cleaning procedures, and ensures staff adherence. 9. Responsible for receiving and signing for all food delivers. 10. Establishes proper storage and labelling of prepared food guidelines and ensures staff are adhering. 11. Establishes regular schedule for checking and cleaning kitchen equipment, and ensuring regular maintenance is carried out. 12. Ensures staff are completing food preparation on a daily and weekly basis, and assists as needed. 13. Meets with health inspector, as needed. 25% Liquor License/Alcohol: 1. Maintains an ongoing and up-to-date knowledge of LLA, AGCO Guidelines and Campus Alcohol Policy as they relate to campus pub services. Ensures that staff and clients are aware to ensure compliance. 2. Reviews with Director and Event Coordinator (Liquor License) which vendor products will be available for sale. 3. Reports, by semester, alcohol transfer amounts to bar services. 4. Responsible for ensuring sufficient alcohol and supplies are available in the Ceilie on daily and weekly basis. 5. Conducts weekly alcohol inventory. 6. Ensures data entry of weekly alcohol inventory is complete. 7. Ensures all appropriate liquor license signage is posted. 9. Meets with liquor inspector, as needed. 10. Generates and tracks incident reports and advises Director or Event Coordinator (Liquor License) on a regular basis or as needed. 11. Consults with Director and Event Coordinator (Liquor License) to establish appropriate and consistent alcohol selling prices. Three years’ experience working in a licensed food service establishment, including 2 years of kitchen/food preparation experience and 1 year supervisory experience. 2. Smart Serve Certification required. 3. Must hold a valid Ontario Driver’s License – Class ‘G’ minimum. 4. Experience in creating and working with food menus. 5. Experience managing food and beverage product inventories. 6. Experience working in university/college pub operation definite asset. 7. Ability to communicate information in a clear, consistent and courteous manner. 8. Intermediate level computer skills. 9. Demonstrated knowledge of Liquor License Act and its application. 10. Experience with webpage development and maintenance is an asset. 11. Demonstrated commitment to customer service and continuous improvement. 12. Must be able to lift and carry up to 50 lbs. 13.
