This procedure applies to any election held as part of the Student Representation System in accordance with the ‘Code of Practice on the Student Representation System’ and the
‘Student Representation System Election Regulations’.
This procedure should be reviewed annually and made easily assessable to every registered student at the University of Birmingham, University staff members and the Guild of Students.
Anyone wishing to make an election complaint about any election held in the Student
Representation System should be directed to this procedure.
Advice for staff has been provided in the ‘Student Representation System Election
Guidance’ that can be found on the Student Representation intranet page (click here).
All questions or issues about this process must be directed to studentreps@guild.bham.ac.uk.
The following describes that process that all election complaints should be handled.

Anyone wishing to submit a complaint must do so using the ‘Election Complaint Form’
All complaints will be fully anonymised by the Guild of Students Student Voice department prior to being reviewed and a decision on what action to take is made
Election complaints will be reviewed by the Student Representation System Advisory
Board (SRSAB), or a nominee(s) of the board, which will decide the action that should be taken. The Guild of Students Education Officer should always be involved in the

complaint decision
Should SRSAB, or nominee(s) decide to take action, the following sanctions are available:
A.
Disqualification of a candidate
B.
C.
Re-opening of Nominations
Re-opening of the Ballot/vote
The Guild of Students Student Voice department will inform the individual that made the complaint of the decision and any action if taken.
The Guild of Students Student Voice department will inform the individual that the complaint has been made against of the decision and any action taken. They will also inform them of their right to appeal.
All election complaint decision made by SRSAB, or nominee(s), can be appealed by 7.

Appeals once received should be reviewed by a nominee(s) of the SRSAB, who has had no previous involvement in the original complaint decision. The Guild of Student
Representation and Resources Officer should always be involved in the appeals decision.
Should the nominee(s) decide to take action, the following actions are available: 9.

Uphold the original complaint decision
B.
Overturn the original complaint decision

Election Complaint Procedure’. This complaint procedure only applies to Student
Representation System elections and not any other elections held outside the system.
When completing the form you should aim to provide as much detail and, where possible, include evidence to support your complaint. This evidence can include, but is not limited to, video recordings, photographs, computer screen shots and emails.
Please Note: Printed versions of this form will not be accepted; however any evidence that cannot be emailed will be accepted and should be sent to the Student Voice office at the
Guild of Students (O1 on the Edgbaston Campus Map).
