PACKING MATERIAL & PROCUREMENT Akila Karunaratne Ordering System Quotations & Product Ordering Packing Material The Procurement Department is in charge of acquiring all the materials needed for fulfilling packaging requirements for the exports of the company. The materials include everything from office supplies to product and packing materials. Ordering System Office supplies, equipment and services are ordered by requisition forms. The requisitions forms have to be approved by the sectional executives. A requisition form has to have the following: Contract Number Date Item Code Description Contract Quantity Quantity in Hand Balance to Request Once the requisition form has been approved, an item purchase order is made. The item purchase order sheet has the following: Company Name and Address Supplier Name and Address Date Item Code Item Description Quantity Unit Description Price in Suppliers Currency VAT Number NBT Number The Purchase Order is created by adding the necessary information into the ERP system. Through the system, a purchase order can be raised. The time taken for each product to be delivered depends on the type of product, the vendor and the quantity. The ERP system acts as a total solution provider for internal documentation. When purchase orders are raised through the system it will generate the Goods Received Note (GRN) on delivery of the ordered products by the vendor. Once the GRN is raised, the Stock Control System is automatically updated. Quotations & Product Ordering When trying to get a quotation for a new product or an existing product, requests are sent to several vendors. Afterwards, a suitable vendor is selected. Selecting a Vendor When selecting a vendor, certain requirements have to be fulfilled. Paper Sacks Master Cartons Inner Cartons Inner Bags Pouches Tins Porcelain Items Filter Paper Tags Threads Paper Sacks Paper Sacks are used to pack bulk tea. There are three types of Paper Sacks. Valve Type Open Top Container Sacks The cost of the paper sacks vary due to the amount of colours used and whether its printed or unprinted. Master Carton A Master Carton is a box which Inner Carton are packed onto. There are three main kinds of Master Cartons. White Liner Brown Liner High Gramage Carton The Master Cartons are made in two different ways. Stitched Cartons Glued Carton The Master Cartons also differ by its strength. 3 ply 5 ply 7 ply Inner Carton An Inner Carton is the box where the tea is packed into. The Inner Carton has four different outer covers: Overprinted Matte Laminated UV The two kinds of Inner Cartons are: White back Grey back The white back Inner Carton is divided into two categories Ivory Triple X Inner Carton gauge can vary according to the requirements. However, the commonly used gauge of an Inner Carton is 310 GSM. However Inner Cartons over 1kg has a gauge of 340 to 360 GSM. The cost of the Inner Carton varies according to the amount of colour used. A maximum number of seven colours can be used for an Inner Carton. Inner Bags The Inner Bags hold the tea, which is packed into the Inner Carton. There are two kinds if Inner Bags. High Density Poly Ethylene Low Density Poly Ethylene Flavoured tea is not packed into printed Inner Bags. The gauge of an Inner Bag is 80 GSM. Flavoured tea is usually packed into Aluminium pouches which is heat sealed to ensure the flavour added is retained in the pack. Pouches The purpose of a Pouch is similar to an Inner Bag. There are many kinds of Pouches. Unprinted or Printed Pouch One or Multiple Colour Pouch Metalized Pouch Cloth Pouch Paper Pouch The gauge of a Pouch varies from 12 to 35 GSM. Tins Tins are value added items that mostly contain flavoured tea. Tins can be ordered in different shapes and sizes as per market requirements. Round Slip-On Lid Tin Round Plastic Lid Tin Square Slip-On Tin Porcelain Items Porcelain Items are value added items as well. The costs of these items are usually high. Three variations of the item exist. Porcelain Dollermite Earthern Ware Tea Bags The Bags consists of the Filter Paper, Tag and String. In some tea bags, an aluminium wire is used to connect the String and Tag to the Filter Paper. The Filter Paper comes in two types.
