Program Director Girls on the Run® of Bluff Country Job Description Position Reports to: Board of Directors Hours: 800 hours over 12 months; approximately 16 hours per week Position Overview This position is responsible for managing the day-to-day operations of the program at all sites and within the designated Girls on the Run® of Bluff Country territory. In general, the Program Director is responsible for the actual work of the organization, delegating to volunteer site liaisons where appropriate. This position requires accurate and timely reporting of information to the Program Administrator and to the Board. He or she must also be able to carry out directives from the Board of Directors. The Program Director serves as a link between the Board of Directors and the coaches, girls and families we serve. The Program Director is responsible for supporting volunteer liaison staff as well as managing large numbers of volunteers. He or she plays a critical role in new site evaluation and development. By definition, non-profit organizations serve the public. The Program Director promotes the program by living the GOTR values, and working to recruit dedicated volunteers to create a safe and high quality program within the designated territory. Responsibilities Program Site Responsibilities Responsible for solidifying program site agreements, coordinating logistics including insurance and any applicable fees. Responsible for working with site liaisons to ensure program logistics are confirmed such as: program dates an times, program location, rainy day arrangements, school district’s calendar for minimum days and vacation days and child care arrangements post program. Responsible for the creation and distribution of program and 5k registration materials and for providing content of said materials to web site manager and/or Administrative Director; Responsible for providing coaches with equipment, curriculum and support necessary to facilitate program. Responsible for making roster assignments for Red Wing Sites and providing mentorship to site liaison’s assignment of this task. Responsible for communication with GOTR families by providing a registration packet that includes health forms, releases and an uplifting Opening Letter as well as all necessary communication to families during the season (ie: transportation waivers for community service project). Volunteer Coach Recruitment: Responsible for posting and maintaining volunteer postings with volunteer organizations and websites (YMCA, schools, United Way). Responsible for recruitment and screening of all volunteer coach applications and processing all steps including reference checks, CPR certification, and criminal background checks. (Coach recruitment can be delegated to the site liaison but all screenings must be completed by the Program Director.) Responsible for assigning coaches to program sites and coordinating the volunteer’s request for a specific location or time, and creating a telephone tree for coaches and substitute coaches. Responsible for organizing and delivering the coach training, CPR training, and ongoing seasons communication. Responsible for completing tasks within the constraints of the budget and communicating to the Executive Director any significant discrepancies between anticipated expense vs. actual expense. Program Enrollment Responsible for working with the Executive Director to determine methods for marketing the program and assisting in the execution of the marketing plan. Responsible for achieving an average of 12 girls per program with a maximum of 15. Responsible for handling individual hardship cases that do not qualify for the sliding fee scale rate reduction. Responsible for the collection and reconciliation of all program fees, including requesting unpaid fees if the situation arises. Program Site Management Responsible for a minimum of two site visits per program per season, providing evaluation for Safety and Quality programming and providing coaching support and encouragement. Responsible for substituting at the Red Wing program sites when a coach is unable to make practice and no substitute coaches are available. Responsible for ensuring the community service component is executed and supporting the coaches as needed throughout the season. Ensuring all coaches and girls attend the end of season celebration banquet. Provide 5K Event flyers to the sites and ensuring they are distributed to schools, YMCA, funders and program supporters. Facilitate evaluation process for girls in program, families and coaches and report these results to Executive Director for data management. Be available to problem solve and support GOTR families with concerns or questions and coaches with concerns and questions Organizational Support: Responsible for helping support the organization in areas outside of programming when needed in the areas of administration (ie: getting data to Administrative Director for grant writing purposes), volunteerism (ie: Brave New Girls Workshop), fundraising and marketing. Administrative responsibilities include collaboration with Administrative Director in re development of procedures pertaining to program delivery. Volunteer responsibilities include helping out at community events to help raise awareness about our organization, or in support of a partnership we have established. Marketing responsibilities include but are not limited to providing input on the content of and assistance with distribution of flyers at community races, in local businesses, YMCA’s, schools. Presenting to organizations and individuals for financial and in-kind support of the GOTR program Manage a large pool of volunteers for GOTR season, Awards Banquet and Girls on the Run 5K. Fundraising responsibilities include identifying fundraising projects within a community and mentoring site liaisons to do same. Also includes recruiting and or encouraging GOTR families to work or attend fundraising events. Communication with GOTRI Responsible for application submission to GOTRI for National Race Series series, race t-shirts, medals, and all 5K supplies. Responsible for ordering program, t-shirts, water bottles, Kellogg’s snacks, New Balance Running Shoe Certificates for girls in financial need, Secret, and Goody’s Team Stay Put incentives. Ordering curriculum and ensuring that we maintain up to date and complete copies of reusable curriculums. Communication with Administrative Director and Board of Directors Attending Board meetings as needed. Presenting to the Board updated news, reports and needs of the program. Participate in scheduled staff meetings with Administrative Director and Board chair. Assumptions Demonstrates passion and enthusiasm for the mission.
