Dear Parents and Lacrosse Supporters,
This is my first e-mail as the President of the Board of Directors (BOD). I have been remiss in getting the
BOD up and running and actively supporting Tim Gregory as the club founder. Lacrosse practices
commenced in September and we are a little over two weeks away from our first out-of-town
tournament that everybody is looking forward too.
The purpose of this note is to provide an update on the Club and to request additional engagement and
involvement in the club activities through an increased level of volunteering. The success or failure of
the club is very dependent on the level of parental involvement. Based on the current fee structure and
level of fund raising, we cannot afford to pay people to do what the current parent volunteers have
stepped up to do in the past.
The club is currently and will continue to go through some significant change
and transition over the short and medium term. The most significant and
potentially most impactful changes are:

This is the last year that Coach Tim Gregory will be actively involved in “on the field”
coaching. Tim, in addition to being the founder of the club, is it’s heart and soul and with the
graduation of Christie, will want to take a break and not be the driving force behind the
club. Nobody probably has the energy or commitment to lacrosse that Tim does, so we will
probably need several people to fill his big shoes unless somebody from either the Middle
School or a Freshman is willing to step up and take on either all or parts of what Tim does
now. It would be good to have this person identified so that they can shadow Tim in
preparation of the handover. We are very fortunate to have Scott Elmore, who we will be
looking to as our future Head Coach. Scott can take on this role, but parent volunteers need to
take on other aspects of what Tim does on a daily basis.

Both myself and Tim Holloway have juniors on the team, so we will have this year and next to be
able to provide our support and leadership, but will then be looking to transition our roles and
responsibilities to other parent volunteers.

A large majority of our senior girls have chosen to leave the club for a variety of reasons. We
wish these girls the best of luck in the future and appreciate what they have done for the club in
the past. The departure of this group of girls creates an excellent opportunity for some of our
younger girls to move up and play at a higher level, however it creates a void in our level of both
parent volunteers and financial support.

The club is now a 501(C3) non-profit organization and any donations are tax deductible and
eligible for company matching contributions. In order to maintain this status we must abide by
the rules and regulations that apply to charitable organizations. The players yearly dues are not
classified as a donation.
We are currently looking for PARENT VOLUNTEERS for the following positions:

Coaches for Middle School, JV and Varsity – no better time than now to learn the game while we
have our Consultant (Jamie Platt) helping out with coaching and development activities.

Board of Director Members – It would be good to have two members to help set up the club and
then take over when myself and others step down

FUND RAISING – this will be critical to the team’s success so that we can maintain club dues at a
reasonable level. The goal would be to raise minimum an additional $10,000 per year, with any
additional to be used to fund out of state trips – which the girls really enjoy. Now that we are a
501 (C3) Non Profit we can hold one major fund raiser, such as a raffle once per year. Anybody
who has experience with fund raising activities could lead this with some support of other
volunteers.

Tournament Organizers – to assist in the planning of and logistics for out of town tournaments.

Membership Recruitment – with the loss of our senior class, the club needs to recruit 7 to 8
additional girls to be able to field both a JV and Varsity squad. This would also organize
informational meetings at elementary and middle schools to make sure we capture girls early in
their athletic careers.

Overall volunteer coordinator (will become a BOD position). There is a need to provide overall
coordination of all of the volunteer coordinators. Positions that have been identified (some
already have been filled) include Coordinators for uniforms (Middle School and High School),
snacks, social activities, team dinners, senior night, tournaments, T-shirts / Merchandise and
parent activities.
