General
1. Please read the Regulations carefully before making an application to ensure your proposal fits with the strategic
priorities of the scheme.
2. By submitting an application, the Lead Applicant accepts the conditions set out in the Scheme Regulations.
3. The closing date for submitting applications is 31st January 2016, 5PM. Outcomes will be notified by email by end of
May 2016.
4. The Trust will not consider more than one application from the same lead applicant at any one time. Nor will it
consider more than two applications to this scheme from the same lead applicant over a period of five academic years.
5. The main description of the research project should be inserted in the relevant section of the form. Please do not
change the font size, margins or line spacing of the document. Your readers will also appreciate a few paragraph breaks!
Finance
6. The maximum award that can be applied for is £50,000.
7. Eligible costs are detailed in the Regulations and Appendix to this form. In providing details of estimated costs, please
note that:
a) Costs should be as accurate and detailed as possible. Amounts should be entered in Pound Sterling, rounded up
to the nearest pound.
b) When considering travel and accommodation expenses, advantage should be taken of any discounted or
concessionary fares and appropriate inexpensive accommodation.
c) A justification for resources must be given for each of the requested cost items.
8. Grants will be paid to the Scottish university to which the lead applicant is affiliated.
9. All costs must be incurred during the period of award.
Institutional approval
10. Before submission, the application form must be signed off by a) a Research/Finance officer in the lead applicant’s
University AND b) by the lead applicant’s Head or Deputy Head of Department/School, or Head of Research.
11. It is the lead applicant’s responsibility to ensure that all the approvals have been granted in advance of the
submission deadline.
12. Applications submitted to the Trust without institutional approval will not be considered.

13. An application form can be downloaded from the Trust’s website and completed electronically.
14. Two copies of the completed application form should be submitted:
a. a Word or Open Office version on which names of signatories are typed;
b. a PDF with scanned copies of the signatures of the lead applicant, research office and Head of Dept./School.
15. Enter your details on the online submission form on our website and upload the forms.
16. The maximum file size is 2MB. Online submissions will be automatically acknowledged.

7. Declaration and undertakings
Data Protection Act
The Carnegie Trust for the Universities of Scotland is registered under the Data Protection Act 1998 and complies
with the provisions of the Act. Applicants are reminded that, in order for the Carnegie Trust to assess applications, it
will be necessary to store and process the information sent, and to make it available to the Trust’s independent
assessors and Trustees. Data will be securely held and lawfully processed, it will be kept up-to-date, and not retained
for longer than necessary. Data may also be used to compile published lists of award holders or summaries of
funded projects, which may be available on the Internet and in the Trust’s Annual Report. The Trust may contact
applicants about its funding schemes, application processes and policies or to help evaluate these.

Appendix: Eligible cost items
Note: Dissemination costs should be a small proportion of the overall budget requested, a maximum of 10%. A full
justification for the resources requested must be provided in the application. All costs must be incurred during the
lifetime of the grant and cannot be included as anticipated expenditure after the award period has ended.

Salary costs (including National Insurance and Pension Contributions) for administrative,
research or technical support staff employed on the grant. This excludes the lead
applicant's, principal investigators' and other collaborators' own time.

associated with the production, reproduction and distribution of materials necessary to the
funded research activities among collaborators, or subjects, interviewees and volunteers

For the lead applicant, principal investigators and staff employed on the grant contributing
to the research project, to attend research meetings, visit collaborators and facilities,
undertake field work, visit libraries or archives. This excludes travel costs between the place
of residence and the location where the research is undertaken when the latter is the
recipient's or claimant's habitual place of work.

Accommodation and
subsistence
Computer hardware, software, software licenses for computing equipment dedicated to the
project, including VAT where applicable.
Costs for accommodation and meals (excluding alcoholic drinks) incurred while conducting
the funded research activities away from the habitual place of work and residence of the
lead applicant, principal investigators and staff employed on the grant.
Calculations for accommodation and subsistence may be made either by using the daily
subsistence rates of the applicant's university, or by itemising the estimated costs of
accommodation and meals. Applicants using their university's subsistence rates should note
that where these rates (per diem) cover accommodation as well as meals, the cost of
accommodation cannot be charged for separately in addition to the subsistence rate.
Collaborators'

May only include travel, subsistence and accommodations costs for collaborators from noneligible universities or organisations to take part in project meetings with the Lead
Applicants and co-investigators.
Catering
Lunches and meals for team meetings, research seminars or workshops essential to the
advancement of the research project.
Fieldwork
Survey costs (including charges for online surveys); data collection; access charges for
(digital) archive collections and databases, libraries, or research facilities; shipment fees for
collected samples and any other costs associated with sample or data collection.
Dissemination
activities
Costs arising from the dissemination, by the lead applicants and principal investigators, of
the results of the funded project at research conferences or seminars.
Publication costs
Printing, preparation of colour illustrations for publication, charges (including Open Access
costs) for publication of the research results in academic journals, monographs or edited
volumes.
Applicants may include additional cost items, giving a full description of, and justification for,
the items required.
