How to build a List/Query 1. 3. If you are a faculty reviewer you are not expected to build your own list. Please open and read the first training document called “Faculty and Staff Instructions” If you are a staff person supporting the faculty review process, and need to create a list for your faculty reviewers to please begin by choosing Web Center Administration → Manage Queries From the top of that page see the “Add” button. 4. Next, click on “Graduate Application” 2. Page 1 of 4 5. 6. We recommend at least three fields (rows) for any given query, as you see in the screenshot below: a. Program Code should be your first Field choice. You can choose one program (MS) or two (MS and PhD together). If choosing two change the Operator to “In this List.” b. Add a Row (+). c. Internal Term should be your second Field choice. You can choose one term (Fall 2013) or two (Summer 2013 and Fall 2013). If choosing two change the Operator to “In this List.” d. Add a Row (+). e. Decision should be your third Field choice. (The decision code(s) you choose have many meanings. Please see the screenshot on page 3 of this document so you know what you are pulling) When you are done building your query choose Save and Run Page 2 of 4 DECISION CODES LEADING TO MATRICULATION Program Action Action Reason (code) (description) (code) (description) ADMT Admit GREG ADMT - No funding COND Conditional Admit GPRV COND - No funding DEIN Conditional Admit Intention to Matriculate MATR Matriculation COND * GPD COND - English Proficiency Required DEIN - Grad Accepted GRAD MATR - Matriculated UELI OTHER TYPES OF DECISION CODING Decision Decision Reason (code) (description) (code) (description) ADRV DENY DEFR Admission Revocation Deny WAPP Defer Enrollment Administrative Withdrawal Applicant Withdrawal WAPP Applicant Withdrawal WADM NOSH DENY GCLO GWAD GWBD ADRV - No Show; Did Not Register DENY - Grad Reject DEFR - Defer Enrollment WADM - Grad Closeout WAPP - Grad Declined Offer WAPP - Grad Withdrawn Before Offer What does it mean? Admitted with no conditions, but applicant has not yet accepted the offer Admitted with conditions involving the finalization of earned transcripts and test scores. As with the ADMT code, this applicant has not yet accepted the offer Admitted with conditions involving the finalization of earned transcripts and test scores; also dept agrees to substitute ELI achivement of Level VI B+ or better (whenever it is finally achieved) in place of TOEFL/IELTS. As with the ADMT code, this applicant has not yet accepted the offer Applicant has accepted offer of admission Student can now register in the correct program of study What does it mean? Was MATR, but did not register Grad dept. denied admission Deferred offer of admission to a future term with approval from grad dept. There was a problem not defined via other coding Offer was declined by applicant Applicant withdrew application before grad dept made a decision *Int'l students can go no further than this code until they either clear ELI conditions or, more often, until OGPE receives clearance from UD's OISS. OISS is supposed to receive proof of funding (personal or other) from the incoming student. By the time there are only a few weeks to go before the start of classes, it is usually clear that the Int'l student will not be providing the needed financial proof. Therefore, (1) graduate departments should interpret any Intl student with the DEIN code as not committed to coming in and (2) if no additional information comes from the graduate department by drop/add of their start term, these will be changed to applicant declined offer (WAPP / GWAD). Page 3 of 4 7. Next, save your query and give it a name and a description. 8. Also, save the query in your program’s “Folder.” 9. Click save. 10. Because you clicked “Save and Run” the next thing you will see will be the list you created. However, because it is saved, you can go to the main Search for Applicants page and find it in your User Query lists. 11.
