Collins Executive Board Meeting Sunday, September 28, 2008 7:00 PM Present: Aasiya Mirza, Ashley Carter, CJ Lotz, Christian Hines, Tim Gross (Proxy – Nicole Beckage and Madeline Wukusick), Taylor Smith, Josh Nosie, Daniel Oates, David Sledge, Emily Bloom-Carlin, Sarah Epplin, Lisa Runion, John Gillard, Daniel Herman, Sarah Fernandez, Katelin Nading, Elizabeth Danielson Aasiya calls us to order. “The [what Aasiya made] is delicious.” Aasiya’s mom is here, and she is a wonderful person. That’s not her actual announcement, but it is factual. Emily was unfortunately not at the Arts Council meeting today, but Arts Council did fund a lot of programs today, which is pretty exciting. David: The Rafting trip was cancelled because not enough people signed up. Dan – passed two bills. We have a new website! Check it out! Lisa: The first BOG meeting was two weeks ago. 7 proposals passed, and all of us are officially on Exec Board because the members approved us! Taylor: We had our first sports and rec trip; she spoke to Leah about the cancelled rafting trip. Perhaps we could get another one set up. Josh: GA Delegate: The alumni board wants us to promote homecoming. Discussed Muslim Student Association. Fast-A-Thon. Discussed bringing Mel Brooks’ Son here during Halloween Time. Should we promote/pay an activity fee for him? Days could be 23rd or 28th. There may be a joint project between RHA and Union Board. RHA budget will be sent around. Elizabeth: About 4 people showed up to the first E-Force meeting. Several people said that they had friends who were interested, but were unable to come. A Q Student is interested in doing her Q Project through E Force. We want to work with BOEP and have a fireside chat with a Prof. about sustainability. Another Call-Out meeting is this Tuesday. CJ: Go E-Force! because IU has the worst sustainability program out of all the Top 10 schools. We need to do our part! Lauren: is here for her Q Class. Madeline Wukusick is her Q Teacher! Ashley: BOP had their first official meeting on Wed. The Halloween Dance’s theme is The Grimm Fairytales and will be held on the October 25th. Tim wishes the Halloween Dance’s theme was the Seven Deadly Sins. Ashley: I am fully embracing the Grimm Fairytales. We will have Halloween candy and vegan options, water, and something orange. And that’s the plan. So far. Yep. Tim: Filling in for the BOEP Coordinators. Money was turned down last week for Nutella Fest because they didn’t think it was an educational program. Tim’s in charge of programming for BOEP. Next week: Sex Talk Q and A. Wed at 8 PM. Sarah: Continues to have office hours and keeping up with the Archive Room. Needs 3-4 freshman Q Students to help with organizing for their Q Project. Daniel Herman: Tries to think of things Elizabeth didn’t say. In regards to the recycling program, the EO staff has been taking out the recycling. Needs to figure out if students are supposed to be doing that. John Gillard: BOG: 7 proposals. We “saved” $750 because the rafting trip was cancelled. For tonight we have $2000 in proposals. RHA Funding Board: Money went to the fast-athon and arts magazine. Christian: IUSA: Finally got them to approve 100% rollover!!! WEE! A proposal was sent in to have cameras in the gyms, so that you can look and see how busy the gyms are before you come. The proposal was approved. Christian admits that it is slightly creepy. He was assigned to the finance committee for IUSA. CJ: Gnome News has been coming out. In the last one, there were 14 announcements, which means that a lot of programs are being done and that people are taking advantage of Gnome News. Weekend programming: will be starting up. The new website will be up tonight! A calendar will also be up on the new website, so everyone can see what the events are going on every day. Aasiya: Collins is also having a gmail account that allows us to look up events. Katelin: Got in touch with RISE for Halloween. 43 kids should be coming, ages range from 3-16. She is also putting together a blood drive. It will not be in the Coffeehouse; it will be in the courtyard in the blood mobile. Sarah F: Promotes What Not To Do On Facebook. She has a list of all the homecoming events, so we can share all the info with residents. Programs coming up: Leadership Retreat; Nov 14 & 16 GLACURN 2008 student conference for IU students for programming ideas; Emerging Leaders Program – second 8 weeks class; Lead IU Student Leader Retreat Oct 17-18 – second 8 week courses about leadership are listed on the back of the flyers. Aasiya: The last retreat: Hoosier Leader. The top 1% of students in Residents Halls can apply to be in it. Just the cool people can go. The retreat is actually…this Saturday 9 AM to 7 PM. It is for recent leaders, new to leadership position, learning how to program, etc. Sarah F: GLACURN…would like us to do it if we are interested in higher leadership positions. Aasiya: Reads letter from Chelsea Merta. They reviewed all applicants, and now have 15 FANTASTIC members of J Board. She hopes we’re doing well. Her two goals in next two weeks: 1) When we give reports, they will be in the Columns. 2) Publicizing Budgets. So if you are in charge of BOEP, Arts Council, etc. The proposals passed will be posted on the board by our office and in the Columns. She has also been talking to the new supervisor of the library; she would like to do programming in the library because it’s open from 5-midnight, and we should take advantage of the space. She is willing to work with us when it comes to programming, so we’re not the only ones coming up with ideas. Tim complains that it’s “all the way up there.” Ashley suggests providing food. We think that would work. Discussion Item: (Aasiya eats candy bar and drinks tea…this isn’t discussion, Aasiya.) The way we lock the doors came up in CC. An issue was that the administration thinks the Collins Cinema shouldn’t be open all the time, so that none-Collinsites shouldn’t be able to have access to it. The middle door of Cravens is open, and the argument is that there is a psychological thing when it comes to feeling safe because there are more people in the courtyard. They don’t want any Non-Collinsites in the Collins Cinema. Emily find it interesting because all the administration wants to have ALL film screenings in the Cinema, but finds in unreasonable that no one else could use the room. David: Wil McCall is even setting it up that the card swipers have a 20 minute window around the classes. Aasiya: So the concern is that if the door to the floor is open, then other students will have access to the other rooms in brown (Publications, Textiles). Outside door would be unlocked 20 minutes before/after classes. Sarah F: Last year the door to the first floor was unlocked. Emily: Both Doors were unlocked? Sarah F: Yes. Emily: Were there any issues? Sarah F: No. Aasiya: Well, there was one. A Briscoe student was able to get into Brown with his key, but the problem was fixed. Dan: One thing you can consider is that film screenings end at 7 or 8. Sarah F: The card readers may not work until second semester, so for now, if NonCollinsites come in, others may have to them in. Emily: It’s a policy change. If we change the policy so that Non-Collinsites are unable to go to the Collins Cinema Room, I think that’s overkill. Lisa: I have a problem with the door being unlocked; it’s unfortunate that Emily: We should compromise with the staff. If Non-Collinsites are in a Collins Seminar class, they should be allowed to be in the Collins Cinema Room to watch a film screening. I don’t think having a policy not allowing non-Collinsites would help us look better. Our appearance is already something we need to work on. Tim is slightly confused. Dan and Aasiya: So for classes and events, non-Collinsites should be allowed if they are with Collinsites. Aasiya: Staff: We won’t allow any classes to schedule anything in that space. But Exec Board: We’re fine with keeping doors locked. We would like to see classes/programs/film screenings happen in The Collins Cinema. Adjourn at 7:50ish.
