I) National President Baker called meeting to order at 1:05 PM
II) National Council Officer Reports
a) Secretary Cook:
i) No Report
ii) President Baker passed out copies of the minutes from 2001-2002 National
Convention at Ursinus College.
iii) The reading of the minutes was postponed.
b) Treasurer Housel:
i) He has made budget sheets from the past four years and said that this is something
that should be done every year.
ii) The tax forms were finished and copies of them have been made.
iii) The balance is low due to the $650 it cost to do the taxes and it is currently $160.
(1) National Council still owes Epsilon Chapter money for Convention.
(2) The Beta and Zeta Chapters owe $300 and $150 respectively to National Council
for last years dues. Beta said they would have the money in September.
iv) It was stated that the Zeta Chapter should get incorporated.
(1) Aleks said that they thought they already were.
c) Historian Santos
i) She talked about the work that Julie, the President of Zeta Chapter, has done in
finding information about people from the Alpha Chapter that could still be living.
They are currently working on letters to send out.
ii) Old information including the firebox is still needed from Wendy Staley, last year’s
National Historian.
iii) She was able to get more names of alumni from an open house; added addresses to
the database.
iv) Baker gave folder to Santos that included hazing forms and other information. He
also has a box of returned letters to give but did not bring them to the meeting.
d) Vice President Donson
i) No Report
ii) Hello and hope everyone’s summers are going well
e) President Baker
i) While online looking for expansion information other fraternities might have he
found the National Inter-fraternal Music Council.
(1) Ten fraternities belong to this organization, they meet once a year and he thinks it
would be nice to get in there.
III) Chapter Updates
a) Beta Chapter
i) Balance = approximately $1000
ii) 9 active members and 1 graduate member
iii) Service Projects: Renovating an organ
iv) Fundraisers:
(1) Car wash ($100)
(2) Flower sold at musical ($400)
(3) hoagie cards
(4) selling food at theater events
v) President Baker thanked them for the rooms and appreciated the good
communication
b) Zeta Chapter
i) Balance = approximately $200
ii) 8 active members; 5 inactive; 2 graduated in 2001 and 3 in 2002
iii) Fundraisers:
(1) Stress balls
(2) car wash; murder mystery might be adapted
(3) cook book (deadline is the end of September)
c) Delta Chapter
i) 2 hours late in arriving, gave Baker report prior to the meeting
ii) Balance = $301.89
iii) 12 active members; 1 inactive member; 4 graduated in 2002
iv) Service Projects: Trick of Treated collecting can goods and gave a thank you note to
the people that donated
v) Socials: Having annual Halloween party and alumni bash is around homecoming.
vi) Wants to increase the number of associates across all musical organizations
d) Epsilon Chapter
i) Not Present
IV) Committee Reports:
a) Expansion
i) St. Joes
(1) Still in contact
(2) Classes start in the beginning of September
(3) The expansion forms are currently in the Student Senate
(4) They are the guinea pig for us since we are going in blind
(5) If/when they become a new chapter we can sit down with them and polish our
expansion procedures
(6) Giving the manual to them after they get back from summer vacation
ii) In General
(1) Two new ceremonies have been adapted from ceremonies already in place for
new chapters (Initiation and Induction/Officer Instillation) by Todd from the Beta
Chapter. You can ask questions about them after they are emailed.
(2) All Chapters: look through any materials you have to see if there are any records
of expansion. Research within your chapter.
V) Old Business:
a) Manuals
i) They were distributed; One to each chapter and one to each National Officer
ii) Changes will be made, add and remove pages, at Mini and National Conventions
iii) It is easier to wait for a few changes
iv) President Baker will give a disc to Historian Santos with the manual on it
v) All chapters look through the manual and highlight changes that need to be made.
b) Bylaws
i) In the manual is the most current edition
ii) It will be ripped out and the new one put in probably by the end of the year
c) Database
i) Zeta made phone calls to update records and ended up with a high phone bill.
(1) Suggestions were made to go to the alumni houses and find more current
addresses. The school will cross-reference the information they have with the
information the chapter has and both can update their information
(2) Once the chapters get a list together, send in to National Council
(3) Once in contact with alumni ask if they have addresses for other alumni
(4) Beta is already working on updating their chapters database
(5) Epsilon has no information on past members
(6) Historian will put all information in at the end of the year
d) Website
i) Treasurer Housel has added a photo gallery
ii) Historian Santos has pictures from 75th National Convention to be put on the
website, will mail to Bryan
iii) Julie is getting Zeta’s website going. It used to play We Are Family, which got
President Baker in trouble at work; the song has been removed.
iv) It is not known if the Epsilon Chapter has a website
e) Membership-discussion limited
i) Steve, President of Beta Chapter, emailed President Baker with a compromise to the
situation of from what organizations can people be considered for membership.\
(1) The decision should be chapter based. Bringing it to the Council and explain the
music aspect of the organization (benefits) and the Council will make the
ultimate decision
(2) Bylaws are vague and only state that the organization is a University recognized
music program it does not draw a line
(3) Once Council makes a decision it stands if it decided against drawing
membership from a particular organization it can be brought to the next Council
(4) Beta Chapter was flooded at National Convention
ii) If an issue might be rough, bring up in a smaller setting such as a regular meeting
where the Chapter Representatives can bring the issue back to their chapter for
discussion
VI) New Business:
a) Academic Calendars
i) One Calendar given out to each chapter, which was provided from the College
websites. Fill in scheduled events, anything Pi Nu members are involved in, and
send it back by September 15 when most schools will be back in classes
b) Mini Convention
i) This Fall it is at Beta Chapter
ii) Will always try to have the last National Council Meeting before a Convention at the
location where it is to be held
iii) The two dates Beta Chapter is looking at are November 2nd or 23rd
iv) Chapters dates are due September 15th, if 2 people can make it, consider it an option
v) Invite St. Joes
vi) What is needed:
(1) 1 big room for the general meeting
(2) 1 smaller room for when convention splits into workshops
(3) Access to a computer
vii) Ideas for Workshops:
(1) Alumni Communication
(2) Officer Training
(3) First Session: President/Historian/Recruitment
(4) Second Session: Vice President/Treasurer/Alumni Communications

c) PR Campaign
i) We currently have nothing to give schools interested in having a chapter
ii) We have a manual but it is too large and complicated to give schools right off the bat
iii) Suggestions
(1) Brochure that states Pi Nus goals and purpose, make it general
(2) Video of Pi Nus highlights. Beta Chapter has film video majors. Will talk to
members for willingness to help with video. Further discussion at mini minimal
expense
(3) PowerPoint Presentation of our highlights
iv) Becky Kauffman, an alumnus from the Delta Chapter, offered to help with PR and
the brochure.
v) Expand gallery with pictures from chapter events and concerts
vi) Put an expansion page onto the website
vii) Brochure first video second
d) Service Projects
i) Idea of having one service project that every chapter participates in and is submitted
at a National level.
(1) Possibly the Sunday after Mini or National Convention
ii) Give money to the Kimmel Center and get our name in the window
iii) All four chapters putting together a benefit concert
iv) VH1 Save the Music
v) Catholic Schools Music Program
vi) Scholarship program in the future
vii) Beta has donated to local radio stations
e) Fall Events
i) Other than meetings/Conventions the chapters never meet
ii) Get together and or to a show in New York (bus/train); Renaissance Fair; Ski/snow
tubing in January; Shore House; Camping; Paintball; Whitewater Rafting; Picnic
iii) Fall has marching band conflicts
iv) This is a good way to keep up with the chapters
v) Want to have at least two a year
vi) Have some that cost money and some that do not
vii) Chapter Representatives check with the chapter members and email the Council

(1) Sent in on time (in a reasonable amount of time)

VII)
Open Floor:
a) Aleks Judovics:
i) Made trip to Alpha Chapter
ii) Been in contact with University Archivist
iii) Spent 5 hours looking through yearbooks (1927-1960s) and viewing videos
iv) Archivist will assign a student the job of pulling the yearbooks and copying photos of
members, will then send to Aleks
v) Will compile list of most current information and send it to us.
vi) Cross-link websites
b) Balloon for Thanksgiving day parade
c) Founders day picnic: come up with a ceremony
