TIBURON PENINSULA CLUB Board of Governors Meeting Minutes Monday, May 20, 2013 I. Call to order – 6:30 pm Present: Cris Schonefeld, Paul Bressie, Chip Moreland, Park Allen, Malcolm Lacey, Matthew Chatham, Michael Seifer, and Michael Tierney Absent: Courtney Finnegan, John Hoffman, Tammy Lee, Brian Bank. II. Approval of minutes from April 22, 2013 Meeting: Minutes unavailable, plan to approve via email once they are available. III. Members Present: Valerie Behrendt – House & Grounds presentation IV. General Club Report: 1. Migration from Northstar to ClubSoft in process. V. President’s Report: Midway Review 1. Updated everyone on Jerry’s condition 2. Tierney reviewed mid-year progress of club and committee goals and accomplishments. VI. Treasurer’s Report: Tierney submitted a written report and discussed the following: 1. Revenues are good, despite the ($26,276) in April. Number reflects quarterly tax payent of $40k+. Café lost $20k+ in April. Cost of goods still high due to start up costs. Staffing costs too high – half of staff required to clean up after member. Will review with Mark. 2. Migration to ClubSoft has impacted the accuracy of some of the numbers. 3. Wait list: In town, 49. Out-of-town, 59. No senior resignations. VII. Lower Court Project: Tierney led a discussion regarding the timing of the ballot process. 1. BOG agreed to postpone the meeting notice and meeting schedule for 5.31.13 2. BOG agreed that it may not be in the club’s or project’s best interest to proceed with the Lower Court Project without a GM in place. 3. BOG agreed to delay for one month and discuss at next BOG meeting. 4. Discussion re: the marketing of the project. Should it be more aptly named to communicate the utilities and infrastructure included in the project? VIII. BOG Liaisons to Committees 1. Tennis: Liaison Paul Bressie reported. 1. Calcutta event to be postponed. 2. Junior Tennis Scholarship awarded – see appendix. IX. Committee Reports 1. Café: Mike Seifer reported on the status of the café. 1. New Third Thursdays adult event. Underground chef, wine tastings, etc. 2. Discussion regarding member behavior in and around the café & patio. Park Allen/Paul Bressie to compose Code of Conduct and Enforement Policies. 2. House & Grounds: Cris Schonefeld reported on the status of H&G projects 1. Kitchen and Café Bar and Pool Service Window: The determination was made that all need significant upgrade to operate to code and accommodate café service to membership. Bids and designs will be received next week. 2. Café and Patio Furnishings: Will receive budget and furniture selections in the next week. 3. Short term clean up: Power wash café patio furniture, fill in umbrellas, replace pool area cushions, and general clean up of premises. 3. Grievance: Park to lead BOG in creating a member code of conduct and its rules of enforcement. X. Old Business – None. XI. New Business – via email vote. 1. Team USA45’s: The Town of Tiburon has been designated as the home of Team USA45, a junior America’s Cup team and has asked the TPC to open its fitness center to the team for their daily workouts this summer - approved. 2. Accelerated Membership: Per the 3 accelerated membership slots available each year, the Tennis Committee recommended that the daughter of a long standing member, a high caliber tennis player, a woman who grew up at the TPC and wants to raise her own family here, fill one of those slots effective immediately – approved. 8:30 PM MEETING ADJOURNED Appendix: Policy for Junior Tennis Scholarship Program TPC Junior Tennis Scholarship Guidelines Congratulations on qualifying for TPC’s Junior Tennis Scholarship program. By qualifying, you’ve shown yourself to be an elite athlete who is dedicated to tennis and to the tennis programs at TPC. We hope these privileges will help provide you with more opportunities to train and excel in your sport as well as enhance the TPC Junior Tennis Program in the process. Your status is reviewed annually and each recipient must keep the following guidelines current: 1. The annual scholarship membership fee is $500, paid prospectively and covering the ensuing 12 months. Non -member lesson surcharges are waived for scholarship members. 2. Recipients are strongly encouraged to hit with other junior members to practice/play without a guest fee charge or monthly appearance limitations, however, they are not permitted to invite outside guests themselves. During peak court occupancy periods when courts are fully occupied, scholarship members will have to defer their court usage to a regular member if regular members are waiting unless they are playing with another member. 3. An account will be created in the recipient’s name allowing TPC Bar & Grill charge privileges when the player is at the TPC for tennis. Only the recipient is permitted to use the TPC Bar & Grill and must maintain their charge account in good standing. 4. It’s expected that all recipients abide by club rules, etiquettes and demonstrate good sportsmanship. Failure to do so can result in loss of scholarship. 5. All recipients are expected to treat the members, the staff, and the facility with respect and should expect the same in return.
