Implementation of ORCID in Denmark - From pilot to national consortium Mikael K. Elbæk, Senior Project Officer Technical University of Denmark, DTU Library @melbaek Agenda • Background and motivation for establishing a national consortium • Pilot project in 2013 the preparation for a national consortium, considering aspects such as: – Organisational – getting support from decision makers – Financial – getting funding – Technical – readiness of ORCID and local infrastructures • The ORCID-implementation project in Denmark – Establishing the national consortium – Supporting the local implementation through communication – and tool kit – Monitoring the progress 2 Technical University of Denmark Presentation name 29/09/2014 Background and motivation Google Scholar Danish National Research Database Research Assessment Open Access Monitoring 3 Technical University of Denmark EU OpenAIRE Presentation name 29/09/2014 Background and motivation ORCID CrossRef, Scopus Web of Science ORCID Danish National Research Database ORCID ORCID Research Assessment ORCID Open Access Monitoring ORCID 4 Technical University of Denmark EU OpenAIRE Presentation name 29/09/2014 Elements of the Danish infrastructure • PURE – All universities, university colleges have Pure as their CRIS and institutional repository – Majority of other public research institutions have Pure • Danish National Research Database – www.forskningsdatabasen.dk • National Bibliometric Research Indicator – The Danish version of the “Norwegian model” – Called BFI and allocating basic research funds based on publications (articles leve 1 and 2, monographs, book chapters and proceedings) • Data transportation based on – OAI-PMH – And a national exchange format called DDF-MXD • National Open Access Strategy – 80 % in 2017 and 100 % in 2022 – An element of the strategy is a nationwide implementation of ORCID 5 Technical University of Denmark Presentation name 29/09/2014 The ORCID pilot project • Funded by DEFF.dk (Denmark’s Electronic Research Library) • Ended ultimo 2013 • Aim of the project was to: – examine options for a national implementation of ORCID focusing on both technical , organizational and economic aspects – provide a basis for a concrete project application for a national ORCID implementation project with at least three partner institutions • Project results available from: http://www.deff.dk/aktuelt/artikel/defforciddk-pilotprojekt/ 6 Technical University of Denmark Presentation name 29/09/2014 Concrete task of the pilot project A. Exploration of the interest to create a national ORCID implementation project J. Proposal for a national implementation project 8 Technical University of Denmark Presentation name 29/09/2014 Interest of Universities • A standard memorandum was made by the project – This memorandum was presented at three university boards - around medio 2013 – Including presentation in the boards by university library directors – ALL three universities gave support to ORCID • Opt-in strategy was preferred over an opt-out by all universities 1. because of the importance of giving researchers ownership of their ORCID 2. Bottom-up seems less intrusive and builds trust into something that is essential the researchers property. 9 Technical University of Denmark Presentation name 29/09/2014 Interest of ministry and research councils • Meetings with the relevant people representing – The Research Councils and the national Open Access policy – The National Bibliometric Research Indicator • Stakeholders invited to the national ORCID workshop – Follow-up meetings where held • Interest was sparked – and that the pilot project and possible implementation project would be followed closely. • However, no financial support could be found through these bodies. • Later the ORCID was mentioned in the National Open Access strategy 10 Technical University of Denmark Presentation name 29/09/2014 Readiness of the university infrastructure • Possible implementation scenarios was explored at the three pilot universities – Aalborg University – Roskilde University – Technical University of Denmark • Scenarios included: – Pure centralized implementation – Central person database (address book / LDAP) implementation • Process analysis was conducted – Which systems could benefit from ORCID – Where would the best entry point for an ORCID registration or claim be? – Ownership of systems at the university!? (Library drive projects) • Exploration of any legal obstacles 11 Technical University of Denmark Presentation name 29/09/2014 Result : specification of ORCID in Pure • Simple verification of an existing ORCID and linking that ORCID to a Pure profile • Claiming ORCID through the Pure user interface – Requires registration • The solution was funded by the project and was released with 4.18 • Further integration must be specified and introduced at a later stage. 12 Technical University of Denmark Presentation name 29/09/2014 ORCID implementation in the university person database • Central person database at DTU (DTUBasen) • All personal data is added into this system and imported and reused by other administrative systems at DTU • How could ORCID be utilized across systems!? • This includes Pure (DTU Orbit) 13 Technical University of Denmark Presentation name 29/09/2014 Claiming an existing ORCID 14 Technical University of Denmark Presentation name 29/09/2014 Creating an ORCID through DTUBasen 15 Technical University of Denmark Presentation name 29/09/2014 Examination of the ORCID membership model and economy • The paradox of critical mass • Not possible to get the majority of institutions aboard the ORCID consortium without external support • A reason for supporting a national ORCID implementation – to give ORCID traction • This is traditional a DEFF priority! 16 Technical University of Denmark Presentation name 29/09/2014 Exploration of the interest to create a national ORCID implementation project and preparation for an application to create a national ORCID consortium • A strong interest from stakeholders • Incentives from financial benefits – Paid membership by participation in the consortium for 1 ½ year • 8 partners entered the project and consortium – 6 out of 8 universities from the start – A consortium of all Danish university colleges – A consortium of research institutions under the Ministry of Culture • The 2 missing universities the main problem was political e.g. – Finding the right decision maker in the organisation. – Interest was within the organisation but the stakeholders could not get support to participate within the deadline of the application. 17 Technical University of Denmark Presentation name 29/09/2014 The national implementation of ORCID project ORCID.DK 18 Technical University of Denmark Presentation name 29/09/2014 Project description Duration: Participants: Start spring 2014 – ends summer 2016 AAU, AU, CBS, DTU, RUC, SDU UC Viden og Kulturministeriets sektorforskere Project objectives and deliverables: National consortium ORCID.org membership National participation in ORCID activities and development National implementation toolkit National support and help desk • 8 parallel implementations, and registration of ORCIDs in 8 research databases (CRIS) • National harvest af local ORCID registered to a Danish ORCID/researcher database 19 Technical University of Denmark Presentation name 29/09/2014 The National ORCID Consortium • Technical University of Denmark – is the Consortium Lead – Recruiting consortium partners – Checking legal aspects of the contract with legal advisors – Communication to consortium partners – Collecting signatures and send contracts to ORCID.org – Negotiating and paying the consortium membership fee – as part of the project – Through out the process ORCID.org has been very helpful and responsive 20 Technical University of Denmark Presentation name 29/09/2014 orcid.dk website -
