We also hope to create trusting relationships, which will facilitate learning, mentorship and personal development, and help prepare us for collaborative nursing practice. SEMINAR Accountability How will the group keep on task during Seminar? How will the group ensure that all members actively collaborate and participate? What will the group do if a member isn’t being accountable (isn’t prepared, isn’t contributing, refuses to take on a leadership role etc.)? Be specific. Response: The group will keep on task during Seminar by arriving prepared, reviewing required materials in advance, and actively participating in discussions and activities. Each Seminar will begin with a brief review of the objectives and a discussion of tasks and/or responsibilities that must be addressed during the Seminar. Members will help to keep each other on track and to keep conversations on track to the content of the course. The group will make sure that everyone participates and collaborates by keeping opportunities for speaking, idea sharing, asking questions and contributing to discussions equal. Quieter members of the group will be invited to speak, with respect, to enable everyone to feel included and valued. If a member is not holding themselves to account (not showing up prepared, showing no interest in contributing, or not interested in taking on leadership roles), the group will first discuss the situation with the member in private and with respect. The group will address the concerns openly, and give the member the chance to rectify the situation. The group will continue to record concerns in a Mohawk supported communication and will report faculty early if required if the concern persists. The professional conduct and equal contribution of all group members are expected. Team Dynamics How will the group foster an environment that encourages inquiry, questioning and exchange of information? How will the group establish mentoring relationships with each other? How will the group demonstrate positive team communication and collaboration? Response: The group will be a safe space for exploring, asking questions and sharing information, where everyone feels safe to share ideas and ask questions, and where there is no judgement from others. Members will listen attentively, give feedback and assist each other in learning without criticism or disrespect. The group will create a mentoring system by sharing their strengths, resources and study strategies with each other. Confident members will help others who may need support or clarification in some concepts or skills. This will promote collaboration, confidence and common experiences in learning. The group will model proper team communication and collaboration by demonstrating professionalism in all communication, appropriate reactions to varying opinions, and open and honest communication. Group members will listen to one another effectively, keep challenges solution oriented and ensure all work is completed fairly and efficiently. Leadership in Seminar How will you determine who will be the lead each week? Outline a suggested schedule. What will the group do if the lead is absent from Seminar? What responsibilities might the leader have? How will the group select a leadership style that best suits the situation? Response: The group will rotate leadership for the Seminar each week, with each member of the group leading it one week during the term, to ensure that leadership is distributed fairly across the term. A recommended schedule will be developed at the outset of the semester and revised as appropriate for availability or conflicts. If the assigned lead doesn't attend Seminar, another member of the group will lead the session in their place until the next scheduled session. The absence will be made up for with review of omitted material and/or missed leadership tasks at a later time when appropriate. The leader's role is to assist in the organization of discussions, ensure everyone is included and that everyone is contributing, stay on task with the Seminar, communicate key points, and take care of minor issues during the Seminar activity. The leader can also help to organize group activities and help to summarize important discussion points. The group will be able to flex and collaborate accordingly and take up the appropriate leadership style for the occasion. When it is necessary to organize and manage time, the leader might be more structured. The group will employ a collaborative leadership style where both individuals and team members are involved and working together in discussions that involve creativity or team decision making. Conflict during Seminar What strategies will be used to encourage cooperation and positive interactions? What types of situations may cause group conflict? How will the group handle conflict or unprofessionalism? What conflict resolution strategies might be used? Response: The group will promote cooperation and positive interactions through respectful communication, active listening, and early resolution of concerns. Group members will support each other, be tolerant of differing views and opinions, and strive for common objectives and mutual success. Factors that can lead to conflict in a group are unequal participation, lack of communication, missed deadlines, lack of preparation, differing opinions and unprofessional behaviour. Workload and scheduling issues can also cause stress that can lead to misunderstandings in the group. In the event of conflict, or unprofessionalism, the group will address the issue in a direct and respectful manner in a professional and appropriate way. Those who have been engaged in the conflict will have an opportunity for a private discussion of concerns and will concentrate on finding solutions to the conflict rather than assigning blame. Conflict resolution techniques may be employed by the group, including: working on active listening, clarifying expectations, compromising, and collaborative problem-solving. If issues cannot be settled within the group, the group will consult faculty and assure adequate documentation if necessary. GROUP PROJECTS Accountability When will the group meet? How often will meetings occur? Be specific. How will the group keep on task? What are the expectations regarding attendance for meetings? What are the expectations regarding work and deadlines? Be specific. What will the group do if a member isn’t being accountable to the group (isn’t prepared, isn’t contributing etc.)? Be specific. Response: The group will meet at least once a week outside class during the project time, either virtually or in person based on the availability of group members. Further meetings may be held prior to significant deadlines or presentations. All members will agree on dates and times for meetings. The group will be on track by establishing timelines, clarifying tasks, and checking in regularly at meetings. Document sharing will be used to help to organise tasks and maintain accountability, and meeting agendas will be shared. Members are expected to attend meetings, unless a member gives advance notice for illness or emergency or circumstances of an unavoidables nature. Members not able to attend should read the minutes, do assignments, and keep in touch with the group quickly. Everyone in a group should be responsible for doing their own work on time and share equally in projects. Drafts and portions of work assigned should be submitted in advance of internal deadlines and a final draft should be revised as a group to ensure all members are satisfied with the product. Members should let the Board know in advance of any problems that might prevent them from meeting deadlines. Before a member becomes irresponsible, the group will have a respectful conversation about concerns and discuss their expectations. If it persists, the group will record the responsibilities that were not completed, communication attempts, and work that was incomplete on Mohawksupported platforms. If concerns are not addressed or if the progress of any group is hindered, faculty will be informed early on. Communication What is the preferred method of communication? What is the expected response time? How will meetings be conducted? (ie: Zoom, facetime, in person, etc) What will the group do if a member is being unprofessional with their communication? Response: The group’s preferred method of communication will be Mohawk email and Microsoft Teams to ensure communication remains professional and properly documented. Also, scheduled Teams meetings can be used by members of the group for discussions and collaboration. Communications are expected to be within 24 hours by day, Monday through Friday, if at all possible. Members are encouraged to communicate quickly about scheduling conflicts, concern and/or delays concerning tasks assigned. Meetings will take place in person or remotely in Microsoft Teams as appropriate and preferred based on schedules and group preference. Collaboratively discussions will take place regarding the time of the meetings to ensure fairness and accessibility for all members. A member who communicates in an unprofessional manner will be addressed by the group with respect and will be reminded of the expectations of the group in terms of professionalism, respect and appropriate communication. If there are continued concerns, it may be documented and discussed with faculty, if needed. Conflict What strategies will be used to encourage cooperation and positive interactions? What types of situations may cause group conflict? How will the group handle conflict? What conflict resolution strategies might be used? Describe consequences for failing to align with the agreed group contract Response: The group will foster cooperation and positive interactions through demonstrating inclusiveness, respect, honesty and teamwork in all group interactions. Members will recognize the contributions of others, be receptive to feedback and work on a solution-oriented approach when encountering challenges. Unequal workloads, missed deadlines, communication problems, personality differences, lack of participation and differences in project direction or decision-making are situations that may arise that can cause conflict. The group will deal with conflict by discussing concerns respectfully, listening actively to each other's perspectives and providing solutions. Any members caught up in the conflict will cooperate together to find a solution and make clear their expectation in the future. Compromise, intra-group mediation, role clarification, and restating a group contract for accountability are some conflict resolution tactics that can be used. Responses to non-conformity to the group contract might include a change in roles, formal records of concerns, lower peer assessment ratings (if applicable), and faculty intervention if concerns continue. Unprofessionalities or lack of contribution on a regular basis may lead to evidence being submitted to faculty for faculty consideration regarding participation and grade. Roles What group roles will be implemented? (lead/facilitator, editor, notetaker, timekeeper, proofreader etc.) What is each roles responsibilities and expectations? How will each portion of the assignment be divided between group members? Be specific and detailed. Who will be in what role for each portion of the assignment? Response: The group will implement several roles throughout projects, including facilitator/lead, editor, note-taker, timekeeper, researcher, and proof-reader. It is important to have roles changed over to provide equal participation and leadership opportunities for all. The facilitator or lead will agree the meetings, facilitate the discussions and ensure deadlines are being met. All parts of the assignment will be edited, combined and formatted for uniformity and professionalism by the editor. The note taker will take minutes of the meeting, decisions made, and/or action items assigned. The timekeeper will keep watch of the timelines and assist the group to stay on schedule. Researchers will gather reliable evidence and resources of the assignment topic and proof-readers will check for grammar, clarity, APA formatting and accuracy. Each portion of the assignment will be divided equally among group members based on the project requirements, individual strengths, and workload balance. Pupil responsibilities will be discussed and agreed upon collaboratively in advance of any work. Before submission, all members should review the final assignment as a group to ensure that they are all familiar with it and are accountable for it. Specific roles will be assigned per project in the first planning meeting of each project. Wherever possible, a rotation schedule will be implemented to ensure that opportunities for all members to develop leadership and organizational skills are given.
