PROBLEM STATEMENT
Durban Surgical & Medical Supplies is a
privately held business based in Durban
KwaZulu-Natal SOUTH AFRICA.
The business is dedicated to making sure that
necessary medical supplies are delivered in a
timely and accurate manner to assist patient
care in KwaZulu-Natal.
DSMS experienced an increase in both orders
and customer expectations due to the growing
need for healthcare items.
the company continues to rely significantly on
manual, traditional methods of operation,
including spreadsheets for inventory and sales
tracking, phone and email orders, and paperbased records.
Current challenges
Manual and Time-Consuming Operations: Most fundamental
tasks, including communication, order input, stock updates, and
invoicing, are carried out by hand.
Ineffective Inventory Management: Spreadsheets are used to
manually track inventory. This frequently leads to circumstances
where products are either understocked, which causes delays in
order fulfillment, or overstocked, which ties up capital.
Insufficient Customer Relationship Management: No
centralized system exists to maintain track of clients' past
purchases, preferences, or unpaid invoices.
Interaction Delays: Most orders and inquiries are handled by
phone or email, which may be overlooked or delayed. Orders,
deliveries, and payments are not automatically confirmed.

Automated Inventory Tracking:
Inventory levels will be tracked in

or fresh stock arrives, the system
will automatically update the stock
quantities.

and preferences of customers are
stored in an integrated CRM
module.
Billing & Invoicing: Using client
orders, create expert invoices
automatically. Keep track of
payments and mark past-due
accounts for further action.
Analytics and Reporting: Realtime reports on sales, inventory,
expenses, and customer activity
will be produced by the system.
Internal User Access Control:
Only pertinent functions will be
accessible to various user roles,
such as administrator, warehouse
manager, and sales assistant.
Better Communication: Order
updates, delivery tracking, and low
stock levels are automatically sent
by email or SMS.
