1. Have you ever had to juggle multiple tasks at once? How did you prioritize them?
Absolutely. Yes, I frequently juggle multiple tasks. To prioritize effectively, I start by assessing
the urgency and impact of each task. I typically focus on high – impact tasks that align with
strategic objectives and deadlines. Once I identify the priorities, I break larger tasks into
manageable steps and allocate time blocks for focused work. I also communicate with my
team to ensure alignment on priorities, which helps in managing expectations.
In my current role, about 2 months ago, apart from performing daily operational tasks, we were
conducting a project to enhance our internal system. At that time, we received an announcement
that the State Bank of Vietnam is going to issue a new Circular that directly impacts our
company’s operation process. So after assessment, I and my team decided to focus on developing
our system to meet the requirements of regulatory.
2. What motivates you to work in operations, and what do you find most rewarding about
this role?
I’m motivated by the opportunities to analyze processes and identifying areas for
enhancement which ultimately impacts the organization’s success.
What I find most rewarding is the ability to make a direct impact on the organization’s
performance. Seeing the results of my efforts – whether it’s increased productivity, reduced
costs, or improved team collaboration is both fulfilling and inspiring.
3. How do you handle stress and pressure, especially when facing tight deadlines?
I handle stress and pressure by focusing on prioritization. When facing tight deadlines, I break
down tasks into smaller, which helps prevent me from feeling overwhelmed. I also practice
effective time management by setting clear goals and to – do list for each day. Additionally, I
make it a point to take short breaks to recharge and maintain clarity.
Open communication is a key as well. I ensured to keep my team informed and seek for
support when needed. By fostering a collaborative environment, we can tackle challenges
together.
4. What’s your approach to resolving conflicts within a team setting?
I first focus on remaining calm, which helps prevent the situation from escalating. I listen to my
colleagues ’ perspectives without interrupting. This demonstrates respect and helps me
understand their concerns. Once I have listened, I share my viewpoint and look for areas of
agreement or shared goals. I suggest brainstorming solutions with the team, rather than
focusing on who is right or wrong. By approaching conflict this way, I aim to contribute to a
team while fostering effective communication and collaboration.
5. can you share an experience where you successfully improved team collaboration?
I was part of a project that faced challenges due to differing communication styles and
unclear roles. To foster better collaboration, I suggested a weekly meeting where we can share
updates, discuss challenges and collaborate on solutions. As a result, we saw improved
communication and a more cohesive team atmosphere. Ultimately, we completed the project
ahead of schedule.
6. What strategies do you use to ensure effective communications across departments?
To ensure effective communication across departments, I employ several strategies:
The first one is regular cross functional meetings where representatives from each department
discuss ongoing projects, share updates and address any concerns. Secondly is clear
documentation. I think project documents that outline project goals, timelines and
responsibilities need to be shared so that everyone is on the same page and can easily reference
important information.
7. Can you describe an example of a time when you had to implement a new process or
system? How did you manage the changes?
Absolutely. I have implemented new processes and systems many times. But I think the most
significant is when I worked in Public bank Vietnam. That time, we ran new system to centralize
payment at HO. As I participated in the very early stage and also conduct UAT test so it was not
difficult to catch up with the new system. One thing I found more difficult was instructing
branches with the new system. To help them feel familiar with the new system, our department
issued detailed guidelines for branches together with training and pilot run. Moreover, I also
shown them the advantages of the new process and system as it helped reduce workload and
improve customer satisfaction by real time credited into their accounts. And finally, we ran the
new system smoothly and received appreciation from branches and customers.
8. How do you ensure compliance with organizational standards and regulatory
requirements in your operations?
I believe that a proactive approach is essential for compliance. I regularly conduct audits and
reviews of our processes to ensure they align with the latest regulations. Additionally, I promote
a culture of compliance within the team by providing ongoing training and clear
communication about policies. By staying informed about regulatory changes and fostering
an environment of accountability, I help minimize risks.
9. Where do you see your career in five years as Operations officer?
In five years, I envision myself advancing within the operations domain, ideally in a
leadership role where I can drive strategic initiatives and mentor others. I aim to deepen my
expertise in areas like process optimization and risk management, while also staying current
with emerging technologies in the banking sector.
I hope to contribute to the development of innovative operational strategies that enhance
efficiency and customer satisfaction. Additionally, I would like to take on projects that focus
on sustainability and digital transformation, aligning with the evolving needs of the industry.
Ultimately, my goal is to be a key player in shaping operational excellence within the
organization and contributing to its long-term success."
10. Explain what are your weaknesses as Operation officers?
One weakness I’ve been addressing is my discomfort with public speaking. while I
communicate well in smaller team settings, I can be hesitant to voice my ideas in larger group
settings. I recognize that collaboration is essential for innovation, so I've been actively pushing
myself to share my thoughts more readily. I've been participating in team meetings more
assertively and seeking feedback from colleagues to build my confidence.
11. give me some reasons why you want to apply for a new jobs

believe that this position aligns well with my skills and offers the potential for professional
development.
I’m seeking a work environment that aligns more closely with my values and work style. I’ve
heard great things about your company culture and am excited about the possibility of being
part of such a dynamic team. I’m also looking for a role that supports a healthy work-life
