The company is a new ecommerce venture of payment portals, and they work with SaaS and payment platform rentals along with existing companies and startup organizations. The client wants us to advise them on organizing a conference on a particular area- Neurotechnology and Brain-Computer Interfaces (BCI), and then coordinate the organization of the conference. Neurotechnology and BCI are cutting-edge fields that hold significant potential for transforming various industries, including ecommerce. A conference focused on this topic can provide a platform to explore the latest research, developments, and applications in this exciting area. The client, Safa Mohammad, has straightforward requirements for the conference, which will last 3 to 5 days and include both public and closed invited sessions. There will be a public exposition day for companies and organizations to showcase their technology and products, along with featured presentations on various topics, specialized workshops, and discussion panels. Keynote speakers are expected to have hour-long presentations, while other talks should ideally be around 30 minutes. The conference will offer social activities, refreshments, and tea/coffee breaks. The client aims to make the conference self-funded or profit-making through sponsorships. Additionally, there will be live streaming options for talks and workshops, and a contingency plan is in place to handle potential issues. My well-coordinated and efficient team has prepared well in advance to achieve all the highlevel requirements of the client as instructed and all precautionary measures are undertaken to ensure the smooth operation of the event. A proposal pack was prepared for the client: https://drive.google.com/file/d/1QqwGqA-52YsfL7dzoZK91ZDTa-4gp6I/view?usp=drive_link TEAM NAME: FANTASTIC 4 LEADER Fiza AG COORDINATORS Sumeyya Shaukath Madiha Arif MARKETING & SPONSORSHIP SPECIALIST Asma ul Husna LO1: DEMONSTRATE A RANGE OF INTERPERSONAL AND TRANSGEREABLE COMMUNICATION SKILLS TO A TARGET AUDIENCE [P 1] DEMONSTRATING EFFECTIVE DESIGN AND DELIVERY IN PLANNING THE EVENT Once the area of the conference was shared by the client, my team and I started discussing ways that we could do our best to deliver a success. We Scheduled regular meetings to discuss progress, roadblocks, and changes. These gatherings were either in-person or virtual, depending on the circumstances. We ensured that active listening was encouraged in the group, and simple and straightforward languages were used to convey ideas, goals, and tasks. The tool showcased timelines and had a dashboard which provided an overall insight. My primary role as a leader was to overlook everyone’s tasks. By assigning tasks based on individual capabilities, the group was able to capitalize on diverse talents and experiences, leading to improved outcomes of higher caliber. It also fostered a sense of empowerment and commitment among team members, elevating their drive and engagement in the project. -Setting clear objectives and deadlines -Creating a timeline This helped understand the tasks completed or pending by the members. This facilitated efficient task allocation and prevented overlapping or duplication of efforts. -Communication and collaboration All team members communicated through emails, video calls, WhatsApp group messages and meetings. Together, the group was able to make the most of each person's individual strengths, which lead to more thorough problem-solving and effective task distribution. -Planning Ahead An organized planner encourages time management, allowing the team to distribute resources judiciously and avoid last-minute hurries. This helped lessen the possibility of delays and interruptions by proactively addressing potential obstacles and bottlenecks. A weekly planner also fostered better communication and collaboration amongst us as they coordinated efforts, shared progress, and sought assistance when necessary. [M 1] DEISIGNING A PROFESSIONAL SCHEDULE TO SUPPORT THE PLANNING OF THE EVENT PUBLIC ATTENDEES TIMING 12 AUGUST, 2023 13 AUGUST, 2023 11am-12pm Welcoming Ceremony Conference 12pm-12:30pm Break Break 12:30pm-4pm Conference Workshops 4pm-7pm Public exposition Keynote speaker session 7pm-8pm Dinner Dinner PRIVATE ATTENDEES TIMING 14 AUGUST, 2023 15 AUGUST, 2023 11am-12pm Welcoming Ceremony Keynote speaker session 12pm-12:30pm Break Break 12:30pm-4pm Conference Public exposition 4pm-7pm Specialized Workshops Discussion Panel 7pm-8pm Dinner Dinner Here's the justification for each time slot: 1. 11am-12pm: Welcoming Ceremony - This hour-long time slot is allocated for the welcoming ceremony, which is a crucial part of any conference. During this time, attendees arrive, register, and settle into the event space. We use this time to welcome the participants, introduce the event's purpose, and provide any necessary logistical information. This hour allowed for a smooth start to the conference, giving attendees a chance to get oriented and prepared for the day's activities. 2. 12pm-12:30pm: Break - This 30-minute break comes right after the welcoming ceremony, giving attendees a short period to refresh themselves. People may need to use the restroom, grab a drink, or have a quick snack before they move on to the next session. 3. 12:30pm-4pm: Conference Workshops - This is a substantial block of time, lasting three and a half hours, allocated for the conference workshops. Workshops were typically more intensive and interactive sessions where participants engage in hands-on activities, group discussions, and skill-building exercises. Allowing for a few hours of workshops gives presenters enough time to delve into their topics and ensures attendees get meaningful learning experiences. 4. 4pm-7pm: Public Exposition & Keynote Speaker Session - This is another substantial block of time, allocated for both the public exposition and the keynote speaker session. The public exposition showcased companies that presented their technology. Following that, the keynote speaker session featured Aaron Loeb, a prominent industry expert who delivered an inspiring and insightful talk. Three hours for this part of the event provided ample time for a diverse range of presentations and allowed the keynote speaker to engage the audience effectively. 5. 7pm-8pm: Dinner - After a long day of activities, providing attendees with an hour for dinner is a considerate gesture. It allows participants to relax, network, and socialize with others while enjoying a meal. The following is the contingency plan prepared for the event- MEASURES RISK CONTINGENCY HEALTH & SAFETY CONCERNS Severe weather events (hurricanes, floods, etc.) that may disrupt travel and cause safety hazards. Monitor weather forecasts and have a clear evacuation plan in place. Have alternative venues and transportation ready if venue is to be changed. TECHNICAL FAILURES Equipment malfunction, power outage, or internet connectivity issues. Have backup power sources, redundant internet connections, and technical support on standby. Test all equipment before the event. SPEAKER CANCELLATIONS Keynote speakers or panelists may cancel at the last minute. Maintain a list of backup speakers and inform attendees about any changes. Offer virtual options for speakers who cannot attend in person. LOGISTICS ISSUES Transportation delays, catering problems, or venue-related challenges. Work closely with transportation and catering vendors to ensure timely services. Have alternative catering options and transportation arrangements ready. SECURITY THREATS Potential security breaches or threats during the event. Engage professional security services to monitor the venue and implement access control measures. Train staff to identify and respond to security concerns. PUBLIC RELATIONS Negative media coverage or misinformation about the event. Designate a PR representative to handle media inquiries and disseminate accurate information. Be proactive in addressing any issues and maintain transparency with stakeholders. [D 1] EVALUATING THE EFFECTIVENESS AND APPLICATION OF INTERPERSONAL SKILLS IN THE DELIVERY OF THE EVENT Interpersonal skills play a crucial role in the design and delivery of an event. The skills portrayed by my team in different phases of the event are the follows: (cvent, 2021) Planning and designing phaseCommunication: For the planning team to comprehend the conference's goals, objectives, and requirements, effective communication skills were essential. All team members were able to contribute their ideas and expertise where there was open and clear communication amongst us. Collaboration: My Team worked cooperatively together thanks to their interpersonal abilities, combining their various talents and viewpoints to produce a conference program that is wellrounded. Better speaker choices, topic selection, and event logistics were the results of collaborative efforts. Empathy: It is necessary to comprehend the wants and preferences of the target audience. In order to make sure the conference was pertinent and lived up to clients’ expectations, interpersonal skills enabled us to put ourselves in the attendees' shoes. Event promotion & marketingActive listening: To properly market and promote the conference, it was important to comprehend the interests and worries of the attendees. The marketing team used active listening techniques to get feedback and modify their strategy as necessary. Persuasion: Effective communication relies on strong interpersonal skills to persuade potential attendees and sponsors to take part in the conference. Event delivery & executionLeadership: As the leader of my team, I made sure to inspire and direct the team to keep everyone on task and committed to the goals of the conference. Flexibility: Unexpected problems were a possibility throughout the event, I trained my team members to quickly react to those problems by being flexible in their interpersonal relationships. Patience: It was vital to be patient and deal with all problems realistically. In conclusion, interpersonal skills are paramount in all aspects of the design and delivery of a conference event. LO2: APPLYING CRITICAL RESONING AND THINKING TO A RANGE OF PROBLEM SOLVING SCENERIOS [P 3] [M 2] REASEARCHING AND DEMONSTRATING THE USE OF DIFFERENT PROBLEM-SOLVING TECHNIQUES IN THE DESIGN AND DELIVERY OF THE EVENT My team was working diligently to plan and execute a prestigious industry conference. As the event date was approaching, we realized that we had underestimated the number of attendees, and the conference venue might not have enough seating capacity to accommodate everyone comfortably. This oversight could have led to attendee dissatisfaction and a negative impact on the event's reputation. My team then acted on the PDCA (Plan-Do-Check-Act) solution technique: The PDCA (Plan-Do-Check-Act) cycle is a problem-solving technique that involves a continuous four-step process to achieve continuous improvement. This is how my team used the PDCA cycle to address the seating capacity issue: 1. Plan: - My team gathered data and information about the expected number of attendees and the current seating capacity of the venue. - Then we Analyzed the data to identify the gap between the expected attendees and the available seating capacity. - and finally, Determined the optimal number of seats required to accommodate all attendees comfortably. 2. Do: - To address the seating capacity issue, my team explored temporary solutions such as renting additional chairs or rearranging the seating layout to maximize space utilization. - We then Communicated with the venue management to discuss the situation and explore possibilities for increasing the seating capacity. 3. Check: - Before implementing any changes, we conducted a trial run or simulation to test the proposed solutions and assess their effectiveness. - Then we Collected feedback from a subset of attendees gauge their comfort level and identify any potential challenges with the temporary seating arrangements. 4. Act: - Based on the feedback and results of the trial run, we made necessary adjustments and finalized the best solution to address the seating capacity issue. - We Communicated the revised seating arrangements and the changes to attendees to manage their expectations and ensure a smooth experience during the conference. By following the PDCA cycle, my team was able to proactively address the seating capacity problem and find an effective solution. (mindtools, n.d.) Another problem we were tackling was the registration issues. Many potential attendees were reporting issues when trying to register, leading to a decrease in the number of confirmed participants. To address this critical matter, my team decided to employ the 5-Why analysis method to identify and resolve the root cause of the registration issues. 1. Why were the attendees’ experiencing difficulties during the registration process? - Analysis: My team found that the online registration form was taking longer to load than expected, causing potential attendees to abandon the process out of frustration. 2. Why was the registration form taking longer to load? - Analysis: After further investigation, my team realized that the server hosting the registration platform was not equipped to handle the high volume of simultaneous visitors, leading to slow loading times. 3. Why is the server struggling with the high volume of visitors? - Analysis: My team discovered that the server's capacity was based on the attendance projections from previous conferences, but this year's event has garnered more interest, exceeding the server's capabilities. 4. Why were the attendance projections miscalculated? - Analysis: Upon reviewing our planning process, my team realized that they relied on outdated marketing data and failed to consider recent advancements in sustainable technology that sparked a surge in interest in the conference. 5. Why was the marketing data outdated and not updated regularly? - Analysis: My team identified that there was a lack of communication between the marketing team and the conference organizing team, leading to outdated data being used for the projections. After finding out the root cause of the problem, we allocated additional server resources to accommodate the increased traffic, update the registration form to make it more user-friendly, and establish better communication channels between the marketing and organizing teams to prevent future discrepancies. (Mobley, n.d.) Realizing that the team lacked collaboration, a team building activity was organized to foster team bonding and camaraderie among the members, breaking down barriers and building rapport in a relaxed and enjoyable setting. These activities helped relieve stress and boost team morale, ensuring that team members re-enter the project with renewed enthusiasm and motivation. A personal questioning activity was held first as when team members learn about each other's interests, experiences, and personalities, they gain a better understanding of their colleagues' strengths and weaknesses. This made team members feel comfortable in sharing ideas and opinions, leading to a more inclusive and creative problem-solving process. https://drive.google.com/file/d/1n9ZbzID_Hk4Zn4mhhheDZByAjJtrVQ2W/view?usp=drive_link Another activity organized was the game of charades. During charades, participants must communicate without words, relying on gestures and non-verbal cues to convey messages. This enhances their ability to understand and interpret non-verbal communication, a crucial skill in effective teamwork. Not just that, charades also require creativity and quick thinking, encouraging participants to come up with innovative ways to convey ideas, which can be transferred to problem-solving situations in the workplace. https://drive.google.com/file/d/1z2xS7OfQWtwIBM8wQQwqFsREmXZn2tQe/view?usp=drive_link [P 4] [M 3] DEMONSTRATING THAT CRITICAL REASONING HAS BEEN APPLIED AND JUSTIFYING THE USE AND APPLICATION OF METHODOLOGIES IN THE DESIGN AND DELIVERY OF THE EVENT PROPOSED BUDGETS GIVEN TO THE CLIENT- The budget plan recommended to the client was budget 1 because of its cost effectiveness and overall feasibility. In an extra 4,000 dirhams, Budget 1 offered continental food for the attendees that come from different countries. It also includes a complimentary stay for the keynote speaker. Plus, all equipment rentals for the event are included in the budget too. However, budget 2 offered only Asian food and provided space rent for only 10 stalls against the invited 18 companies for the public exposition. PROPOSED LOCATIONS GIVEN TO THE CLIENTHYATT CENTRIC, DUBAI Premium venue & facilities along with Networking opportunities: The Hyatt Centric offers a premium venue for various events, boasting modern and wellequipped facilities that cater to the needs of conference organizers and attendees alike. With state-of-the-art technology, spacious meeting rooms, and luxurious amenities, this venue provides a sophisticated and professional setting for gatherings, ensuring a seamless event experience. Limited flexibility and lack of local flair: Despite its upscale offerings, the Hyatt Centric may have limited flexibility in customizing event arrangements to suit specific preferences or themes. Standardized packages and protocols could limit our ability to tailor the event to our exact needs and it may lack the unique local charm and cultural touches that some attendees may seek. MARINA BAY SANDS, DUBAI Word class facilities and convenient location: Marina Bay Sands offers world-class facilities and a convenient location, making it an ideal venue for various events and activities. The venue boasts state-of-the-art amenities, including modern conference rooms, exhibition halls, and luxurious accommodations, providing a sophisticated and professional setting for gatherings. Crowded public spaces and Limited flexibility in catering: However, Marina Bay Sands' popularity can lead to crowded public spaces and no availability of dates, especially during peak seasons or major events, potentially impacting the overall experience for attendees and organizers alike. The limited flexibility in catering options is another drawback, as events at the venue may be restricted to certain in-house catering services, which might not fully cater to specific dietary requirements or preferences. ANANTARA HOTEL, DOWNTOWN DUBAI State-of-the-art facilities, professional support, and catering services: This place offers state-of-the-art facilities, providing a conducive environment for various events and gatherings. With modern amenities and well-equipped spaces, it ensures that conferences, meetings, and other activities are conducted efficiently and smoothly. Additionally, the hotel offers professional support, including event planning and management services, to assist us in executing successful events. They also ensure that we are provided with quality food and beverages during our time at the venue. Travel logistics: One of the drawbacks of Anantara Hotel is related to travel logistics. This could be due to traffic congestion or distance from airports or major transportation hubs. I recommended Stripe Financials to choose Anantara Hotel as their venue for the event. One of the prime reasons we recommended them this venue was because of the hotel's positive reviews and reputation for hosting successful events and conferences which inspired confidence in us, knowing that we are partnering with a reliable and reputable venue. Anantara Hotel's unique ambiance and design offered a distinctive and memorable backdrop for the conference event, creating a positive impression on attendees. Not just that, but also because the conference extends over multiple days and could require overnight stays for some attendees and Anantara Hotel offers comfortable and luxurious accommodation options, providing convenience and a seamless experience. [D 2] EVALUATING THE OVERALL SUCCESS OF THE EVENT DELIVERED A form will be sent out to all the attendees of the event to analyze and gather data and feedback of the event. These are the questions that will be sent out: The social media accounts of Stripe financials saw a follower’s growth after the marketing strategies we applied. LO3: DISCUSSING THE IMPORTANCE AND DYNAMICS OF WORKING WITHIN A TEAM [P 5] DISCUSSING THE IMPORTANCE OF TEAM DYNAMICS IN THE SUCCESS OF A GROUP WORK Team dynamics refers to the interplay and connections among team members that impact the team's overall performance and efficiency. This encompasses all aspects of teamwork, including communication, collaboration, and coordination to achieve shared goals. Several factors influence team dynamics, such as individual personalities, work styles, attitudes, as well as external elements like organizational culture and structure. When team dynamics are positive, they foster swift and effective accomplishment of objectives, while also boosting employee satisfaction and engagement. Teams with strong synergy are over 50% more successful in achieving their goals and completing tasks compared to teams lacking harmonious dynamics. Importance of team dynamics: - Commitment: It refers to the loyalty and dedication that team members have towards their colleagues and the organization they work for. Building trust and commitment is crucial for a team to function cohesively and work towards shared goals. - Motivation: When team members work together towards a common goal, it creates a sense of belonging and purpose. This feeling of being part of a team with shared objectives motivates individuals to contribute their best efforts and work collaboratively to achieve success. - Communication: In a team, members need to communicate clearly and openly to understand each other's perspectives, share ideas, and coordinate their efforts. Removing communication barriers is essential to ensure that information flows smoothly within the team and prevents misunderstandings or conflicts that can hinder progress. - Productivity: When team dynamics are favorable, team members develop a deeper understanding of each other's strengths and weaknesses, leading to more effective task allocation and coordination. This understanding fosters a supportive environment where team members help and complement each other, resulting in higher productivity and efficiency. - Creativity: Positive team dynamics foster an environment where creativity is encouraged and embraced. When team members feel comfortable sharing ideas and thinking outside the box, it can lead to innovative solutions and approaches to challenges. - Bonding: A cohesive team with good dynamics develops strong interpersonal relationships, which contribute to team members' emotional connection and commitment to one another. This bonding enhances trust, collaboration, and mutual support, ultimately leading to higher performance and effectiveness over the long term. (thekeepitsimple, 2021) Two main phases where I felt that team dynamics were particularly important were in the Idea generation and task allocation phase. The planning phase requires the team to come up with original and creative suggestions for the conference's schedule, subject, speakers, and activities. Open communication is encouraged by strong team dynamics, which gives team members the freedom to freely express their ideas. An atmosphere of trust and respect encourages the sharing of different viewpoints, which results in a wider range of ideas. As for the task allocation phase, organizing a conference involves multiple tasks, such as booking venues, inviting speakers, arranging logistics, marketing the event, and managing registrations. Team dynamics aid in identifying individual strengths and expertise, making it easier to assign roles and responsibilities according to each team member's abilities. Every month there is a peer review session when team members give feedback to one another on their cooperation and collaboration to gauge team dynamics. It is handled in an anonymous fashion to promote open and constructive criticism. This guarantees that team members can offer feedback without worrying about facing reprisal or having their relationships harmed. To foster a climate where people may express their opinions freely, confidentiality is essential. (ESTAFANOUS, 2023) Below is a swot analysis of the team: (Lile, 2021) (Momin, 2021) [M 4] ANALYZE TEAM DYNAMICS IN TERMS OF THE ROLES GROUP MEMBERS PLAY IN A TEAM My team has 4 members. Her responsibilities include developing marketing strategies, creating promotional materials, reaching out to potential sponsors, and negotiating sponsorship deals. Her work is essential for attracting attendees, creating a positive brand image for the event, and securing financial support to make the conference successful. In terms of minor roles, while each team member has their primary responsibilities, they also contribute to other aspects of the conference planning. Team dynamics encourage flexibility and collaboration, allowing team members to support each other when needed, even if it falls outside their main roles. For example, I sometimes must step in to assist with marketing decisions or provide input on sponsorship opportunities. My coordinators offer ideas for enhancing the conference program or participate in marketing efforts. The Marketing & Sponsorship Specialist sometimes also provides input on logistical arrangements or assists in coordinating aspects beyond their main area of expertise. The success of planning the conference event can be attributed to the clear and distinct roles and responsibilities of the team members. Each team member's expertise and specialization contribute to efficient decision-making and a focused approach, resulting in significant achievements. The team's cohesion and shared sense of purpose are strengthened by the clear hierarchy and roles, motivating them to accomplish the conference objectives. ANALYZING THE TEAM BASED ON TUCKMANS STAGES- (wcupa, n.d.) FORMING In this initial stage, team members came together, and roles and responsibilities were defined. The team members were polite and reserved as they got to know each other. I, as the leader, played a crucial role in setting the direction, defining goals, and establishing clear expectations. Team members were enthusiastic about the team's purpose, but there was some uncertainty and anxiety about how the team would work together. STORMING During this stage, conflicts and differences of opinion emerged as team members started to collaborate and work together closely. Me, the coordinators, and marketing & sponsorship specialist had different ideas and approaches, leading to some friction. Storming is a critical stage for resolving conflicts and establishing a foundation for effective collaboration. NORMING As the team moved past the storming stage, we started to develop norms, shared values, and a sense of cohesion. we began to understand each other's working styles, strengths, and weaknesses, which helps to foster collaboration. PERFORMING In the performing stage, the team operated at its highest level of efficiency and effectiveness. I successfully empowered the coordinators and the marketing & sponsorship specialist to handle their responsibilities autonomously. The team members worked together cohesively, leveraging their individual skills to achieve common goals. LO4: EXAMINING THE NEED FOR CPD AND ITS ROLE WITHIN THE WORKPLACE AND FOR HIGHER LEVEL LEARNING [P 7] [M 5] DISCUSSING THE IMPORTANCE OF CPD & JUSTIFYING ITS ROLE & ITS CONTRIBUTION TO OWN LEARNING & MOTIVATION Continuous Professional Development is referred to as CPD. To increase professional competence and effectiveness, it refers to the ongoing process of learning, acquiring new abilities, and refining existing ones. CPD is essential for people in a variety of professions and businesses since it provides several significant advantages: (Williams, 2022) Stay up to date with changing trendsCPD is of paramount importance as it allows individuals to stay up to date with changing trends in their respective industries. In today's fast-paced and dynamic world, industries are constantly evolving, driven by advancements in technology, new research, and shifting market demands. Without regular learning and skill development, I would risk falling behind and becoming outdated. Become more effective in your workplaceMy team and I can stay up to date on market innovations and best practices by routinely updating their skills, knowledge, and competences. We acquire the skills and knowledge necessary to take on new tasks and adapt to shifting work settings because of this constant learning process. This greater effectiveness affects not only the people but also the projects we work on and the success of the entire organization. Increase your interest in your professionParticipating in CPD activities, such as workshops, seminars, webinars, or obtaining additional certifications, exposes us to fresh concepts, inventive approaches, and the latest developments in their industry. This exposure fosters curiosity and enthusiasm, rekindling our passion and interest in work. CPD helped me become a better leader by advancing my knowledge and abilities, encouraging self-reflection, and giving me the flexibility to adjust with the times. It offered a variety of problem-solving techniques while encouraging self-assurance and proactive leadership. To sum it up, it resulted in my own contentment and happiness, which inspired me to keep getting better and succeeding. I took a time management course, and it helped me become more productive and organized. The seminar covered methods for setting priorities, establishing realistic goals, and utilizing time efficiently. I gained knowledge on how to handle deadlines, cut down on distractions, and organize their workdays. This CPD course gave me the tools I needed to improve their output and all-around performance in my role, which helped them advance their careers. Below is my certificate that I earned for time management: [P 8] REVIEW DIFFERENT MOTIVATIONAL THEORIES AND THE IMPACT THEY CAN HAVE ON PERFORMANCE IN THE WORKPLACE Motivation is an energizing mental state that propels people to work for their objectives with dedication and focus. It is important in both personal and professional situations and has a significant impact in human behavior. Knowing the many theories of motivation makes it easier to maintain team motivation and ensure organizational success. Motivated workers typically produce more, making motivation an important aspect in management and business. The study of motivation is very extensive. Psychologists have put out a wide range of motivational ideas. The following are some of the most well-known motivational theories: -MASLOWS MOTIVATIONAL THEORY Maslow's motivational theory, also known as Maslow's Hierarchy of Needs, is a psychological theory that explains human motivation and behavior based on a hierarchy of needs. According to Maslow, individuals are motivated by fulfilling a series of needs, arranged in a pyramid structure, where each level must be satisfied before progressing to the next. Maslow's theory can help understand my team's motivation and needs: 1. Physiological Needs: At the base of the hierarchy are basic physiological needs, such as food, water, and rest. As a team leader, ensuring that team members have access to these necessities during the event planning process is crucial to maintaining their well-being and focus. 2. Safety Needs: The safety needs include job security, a safe working environment, and financial stability. As a leader, I must address any concerns related to safety and provide a stable work environment to foster a sense of security among the team members. 3. Social Needs: Once physiological and safety needs are met, individuals seek social connections and a sense of belonging. Encouraging team bonding and creating a supportive work culture can enhance team morale and cooperation during the conference event. 4. Esteem Needs: Esteem needs involve recognition, respect, and a sense of achievement. As a leader, acknowledging and appreciating team members' efforts and contributions can boost their self-esteem and motivation to excel in their roles. 5. Self-Actualization: At the top of the hierarchy is self-actualization, where individuals strive to fulfill their highest potential and achieve personal growth. Encourage team members to take on challenging tasks, provide opportunities for professional development, and empower them to make decisions that align with their strengths and aspirations. (Mcleod, 2023) -HERTBERGS 2 FACTOR THEORY Herzberg's theory, also known as the Motivation-Hygiene Theory, identifies two sets of factors that influence job satisfaction and dissatisfaction. 1. Motivators (Satisfiers): These elements are inherent to the work and have a direct impact on motivation and job satisfaction. When planning the conference event, motivators may include chances for professional development, praise for a job well done, difficult duties, and a sense of accomplishment following the event's successful conclusion. As the team's leader, I should concentrate on giving each team member a relevant and rewarding role, giving them the freedom to make decisions, and praising their efforts and successes. 2. Hygiene Factors (Dissatisfiers): If not sufficiently addressed, these external variables are linked to job discontent. Fair compensation, a positive work environment, effective communication, and access to necessary resources and tools are just a few of the hygienic aspects that may come into play when planning the conference event. As the team's leader, it is imperative to address these hygiene-related issues to prevent demotivation and guarantee a positive working atmosphere. To apply Herzberg's theory effectively, we strive to create a work atmosphere that incorporates motivators to inspire the team members' intrinsic motivation while also addressing hygiene factors to minimize dissatisfaction. By recognizing and rewarding their efforts, offering growth opportunities, providing the necessary resources, and ensuring clear communication, we can foster a motivated and satisfied team, leading to a successful and well-organized conference event. (Nickerson, 2023) -MCCLELLAND’S THEORY OF NEEDS McClelland's Theory of Needs, developed by psychologist David McClelland, focuses on three fundamental needs that drive human behavior: the need for achievement, the need for affiliation, and the need for power. 1. Need for Achievement (nAch): The desire for success is important for team members to have when planning a conference event because they want to succeed. These people are driven by difficult activities and take satisfaction in accomplishing their goals. I may meet this desire as a leader by giving my team members ambitious but reachable goals and by praising their success so that they feel more motivated. 2. Need for Affiliation (nAff): The desire for satisfying interpersonal connections and a sense of belonging is referred to as the urge for affiliation. High demand for affiliation team members value cooperation and teamwork, which makes them ideal team members. As a team leader, I can promote a welcoming and inclusive work environment, promote open communication, and offer chances for team-building exercises. 3. Need for Power (nPow): People who desire control, influence, and the ability to have an impact on others are said to have a need for power. Team members with a high craving for power may be drawn to leadership and decision-making positions when planning a conference event. As the event's leader, I can assign tasks and give these people the authority they need to manage areas of it, satiating their desire for power in a positive way. Applying McClelland's Theory of Needs involves understanding the unique motivational drivers of team members and aligning their roles and tasks accordingly. By recognizing and catering to the different needs for achievement, affiliation, and power, we can create a highly motivated and cohesive team that works collaboratively to organize a successful conference event. (mindmanager, 2022) [D 4] EVALUATING A RANGE OF EVIDENCE CRITERIA THAT IS USED AS A MEASURE FOR EFFECTIVE CPD -RANKING METHOD The ranking method in CPD involves prioritizing and ordering CPD activities based on their perceived importance or relevance. Team members assess various CPD options and rank them from most to least valuable in achieving their goals. This method helps in resource allocation and decision-making. (Anon., 2010) For example: Under the context of organizing an event, my team members would have identified several CPD activities to improve their skills in event management. They would rank these activities to decide which ones to focus on before the conference: 1. Workshop on event planning and logistics 2. Online course on effective marketing and promotion for events 3. Seminar on engaging attendees and handling Q&A sessions 4. Webinar on using technology for virtual conference setups 5. Team-building activity for enhancing collaboration among organizers These are the strengths and weaknesses of using the ranking method: STRENGTHS WEAKNESSES Simplicity Subjectivity Prioritization Lack of Granularity Efficiency Limited Range Inclusivity No Absolute Value -PAIRED COMPARISON The paired comparison method is a technique used in CPD to compare and prioritize different options by considering their relative importance or effectiveness. It involves systematically comparing each option with every other option and assigning scores based on their perceived value or performance. (Anon., n.d.) (mindtools, n.d.) For example: Under the context of organizing an event, suppose my team is deciding on the best keynote speaker for our conference event. They would have shortlisted three potential speakers: Speaker A, Speaker B, and Speaker C. To apply the paired comparison method, each team member individually would have ranked the speakers based on their preference. The team would then aggregate the rankings and identify the speaker with the highest overall score as the preferred choice. These are the strengths and weaknesses of using the paired comparison method: STRENGTHS WEAKNESSES Systematic and Fair Time-Consuming Relative Prioritization Difficulty in Ties Effective for Small Sets Limited Range -MANAGEMENT BY OBJECTIVES Management by Objectives (MBO) is a method used in CPD to set specific, measurable objectives for individuals or teams. It involves collaboratively defining goals, periodically reviewing progress, and providing feedback to ensure alignment with overall organizational objectives. For example: Under the context of organizing an event, as part of my teams CPD, they would use the MBO method to set objectives for the event, such as increasing attendee satisfaction, securing a certain number of sponsors, and achieving a specific revenue target. Throughout the planning process, they would regularly assess their progress toward these objectives, make necessary adjustments, and receive feedback from stakeholders. (forma, 2022) These are the strengths and weaknesses of using the Management by objectives method: STRENGTHS WEAKNESSES Clear differentiation Short-term Focus Alignment with Organizational Objectives Potential for Goal Conflicts Measurable Performance CONCLUSION To answer the question- What could I do to improve my contribution & team participation, as the leader of the conference event organizing team, my primary focus would be on enhancing my contribution and team participation by creating a collaborative and inclusive environment. The first step would involve actively seeking feedback and ideas from team members, valuing their expertise and contributions. By promoting open communication, I aim to ensure that every team member feels heard and involved in the decision-making process. Secondly, I would assign tasks based on individual strengths and interests, empowering team members to take ownership and excel in their respective areas. Additionally, I would hold regular progress meetings not only to assess achievements but also to collectively address challenges and brainstorm solutions. Lastly, acknowledging and appreciating the efforts of each team member would foster a positive and motivated atmosphere, encouraging everyone to give their best. I strongly believe that by implementing these measures, we can significantly improve our overall efficiency, creativity, and success in organizing the conference event.
