With the help of a word processor, you can create any type of document. Microsoft word is a very popular word processor software. Word processors software creates many types of word files extensions like - text files (.txt), rich text files (.rtf), HTML files (.htm & .html), and Word files (.doc & .docx). Word Processor – brief history In the 1960s, a word processor was a stand-alone office machine with a keyboard, printer, electric typewriter, and a recording unit. It used either a simple dedicated computer processor or a floppy disk. According to Harry Henderson, in his book titled ‘Encyclopedia of Computer Science and technology’, IBM is believed to have coined the term ‘word processor’ in the 1960s. It was used to refer to a system consisting of a Selectric typewriter with a magnetic tape storage. During the 1960s and 1970s, the features and designs gradually changed as technology advanced. They had a monochrome (black and white) display, and were able to save documents on diskettes or memory cards. The first ‘modern’ style word processor was brought to the market by Lexitron and Linolex. As well as a magnetic tape, it also had a video display screen, so that the typist could see and correct errors without having to print it first. By the late-1970s-early1980s several innovations were introduced, including improved formatting options and spellcheckers. In the late 1970s, word-processing systems developed by Wang, Data General, Digital Equipment Corporation, and others were essentially microcomputers with tiny monitors (screens), keyboards, printers and specialized software. At $8,000 to $20,000 each, and requiring specially-trained operators, very few companies had word-processing systems. With $20,000, an employer could pay the wages of 2.5 secretaries for a whole year in 1979. When personal computers, printers, and computer applications for word processing came onto the scene, sales of dedicated word processor machines plummeted. In 2009, there were just two American companies – AlphaSmart and Classic – which continued making them. Today, typical word processing software comprises more than one program and can produce a combination of graphics, images and text – with the text having type-setting capability. As of 2022, it is the most popular word processing application in the world, with over 240 million active users. Word is used for a variety of purposes, including composing text, creating documents, formatting text, and creating tables and diagrams. It also supports a wide range of fonts and colors, as well as advanced formatting features such as headings, subheadings, lists, and tables. Google Docs Picture: Google docs Google docs is a free online application that lets you create, edit, and share documents with others. Google Docs is a great tool for businesses of all sizes. It's perfect for creating and sharing documents with colleagues, clients, or customers. It also makes it easy to keep track of changes and updates to your documents. 3. It can be used to create and modify documents. Although slower to load than Notepad, it can handle graphics and rich formatting, unlike notepad, along with handling larger files. WordPad is well preferred for taking quick notes and text-based writing. Shortcut Keys in MS - Word A keyboard shortcut is a combination of keys that you press to give a command. For example, pressing Ctrl+P opens the Print window; pressing Ctrl+S gives the Save command. If you don't like a keyboard shortcut in Word, you can change it and invent a keyboard shortcut of your own. Frequently used shortcuts This table shows the most frequently used shortcuts in Microsoft Word. To do this Press Open a document. Ctrl+O Create a new document. Ctrl+N Save the document. Ctrl+S Close the document. Ctrl+W Cut the selected content to the Clipboard. Ctrl+X Copy the selected content to the Clipboard. Ctrl+C Paste the contents of the Clipboard. Insert: You can enter tables, shapes, images, charts, graphs, header, footer, page number, etc., in the document. These Features of MS word are available in the “Insert” category. Design: You can create or select the template or the design under the Design Tab in which you want your document to be by using this Features of MS word. Moreover, choosing an appropriate tab will enhance the appearance of your document on MS Word. Additionally, it benefits those who review their documents in Microsoft Word. Other features are: Auto-correct: Autocorrect is one of the best features of Microsoft Word. Typing errors has always been a major problem for writers. Detecting and correcting all the errors eventually takes a lot of time and effort. Microsoft has come up with the solution of built-in auto correct system within the word window. MS-Word automatically finds error words and underline them. By right click on the word, we are provided with the correct words to replace the wrong ones. Also, some errors or wrong words are automatically corrected. To link an external location into the document a user can add a hyperlink in it. The primary intention to use hyperlink is to send the user or reader of the document to a particular address. A hyperlink can easily be inserted in a text document or even in a picture. To use this feature, user have to just select the text or picture and right click on it, it brings a short menu which already has option named as hyperlink or else just simply select the text or picture and use shortcut key Ctrl + K to add hyperlink to document. Parts of MS – Word Picture: MS-Word parts Title Bar: Uppermost blue strip at the top of window. Displays the name of currently running application and the name of the active file. On the right-hand side, there is close button, maximize/restore button and minimize button. On the left-hand side, there is save button, redo and undo options. Rulers: Vertical and Horizontal on-screen rulers. They help the user to position text and objects at the correct position. Work Area: This is the place where texts and graphics are placed. This is where user type, edit documents as well as insert tables, graphics etc. Status Bar: An interactive strip at the bottom of the screen which displays pages, words typed, grammar and spelling error, zoom option and shortcuts to view document on different layouts. Application of MS – Word MS Word enables users to do write-ups, create documents, resumes, contracts, etc. This is one of the most commonly used programs under the Office suite. Given below are the different fields in which MS Word is used and simplifies the work of an individual: In Education: It is considered as one of the simplest tools which can be used by both teachers and students. Creating notes is easier using MS Word as they can be made more interactive by adding shapes and images. It is also convenient to make assignments on MS Word and submitting them online. In Workplace: Submitting letters, bills, creating reports, letterheads, sample documents, can all easily be done using MS - Word. Creating & Updating Resume: One of the best tools to create your resumes and is easy to edit and make changes in it as per your experience. For Authors: Since separate options are available for bibliography, table of contents, etc., it is the best tool which can be used by authors for writing books and adjusting it as per the layout and alignment of your choice.
