Notice to Explain - Lost Checks FAO Gordon Dear Miss, I am writing to inform you about a situation that has occurred recently, which I believe requires immediate attention and clarification. It has come to my attention that a series of checks have gone missing physically from Accounting Department custody and records. I would like to start by acknowledging the seriousness of this matter and express my sincerest apologies for any inconvenience this may have caused. I understand the importance of financial integrity and swift resolution. To provide further clarification, I would like to explain the circumstances surrounding the lost checks. Sometime in May 2023, during account updating of Sales Admin, it was discovered that a number of units of client Gordon were past due for 3 months, though he submitted PDCs until 2024. As a result, I, as someone who was from Finance Team before, immediately initiated an investigation to determine the cause of this no posting of payments. We have found out that the checks were not warehouse to the bank and is nowhere to be found. We have already done our utmost effort to search for the missing checks but we really couldn’t find. This incident was communicated already to the seller. We had the chance to meet the seller last October 3, 2023. During the viewing of client’s unit, Grace were also able to meet with Gordon regarding this matter. Grace and I were able to come up with the resolution and recommendation on this. We recommend to Restructure the affected units. Extending the equity term for 8 months and waiving the penalties considering the fact the Balai Project is still ongoing with the construction.
