INDIAN INSTITUTE OF MANAGEMENT, KOZHIKODE (IIMK)
The Indian Institute of Management, Kozhikode (IIMK), is the fifth IIM
established by the govt. of India, to provide world class teaching and training programs along
with research and consulting facilities in management. In 2003, Former president Dr. APJ
Abdul Kalam and the Chief Minister of Kerala, Mr. A.K. Antony, inaugurated the campus.
The main campus is located in Kunnamangalam, Kozhikode. The campus is spread across
two hills which are part of the Western Ghats. IIM Kozhikode was the first institute in Asia to
offer a Distance Learning Programme in management for working executives. The major
programs offered by the institute are:

THE LIBRARY AND INFORMATION CENTRE
Library is an integral part of every institution. Library and information Centre in IIMK was
formed in 1996. The library here is named as 8NALANDA9.Appasaheb Naikkal is the chief
library and information officer. Along with books in printed form, the library collection
consists of printed journals, bound volumes of research journals, corporate annual reports, ebooks, e-journals, educational videos, CD-ROM publications and more. At present library is
run by the software 8KOHA9.

Library will be accessible 24 hours for reference and the business hour is limited to
9:00 am to 5:30 pm on all working days.
Membership
Membership to the library is offered to the Faculty, FPM Students, PGP Students and
staff. They are requested to submit an application to the librarian.

Loan Period
PGP students may borrow up to 5 books for a period of 15 days. FPM students may
borrow up to 10 books for a period of 15 days and the faculty entitled to borrow up to 25
books for a period of 90 days.
Overdue Charges
A fine of Rupees 1/- per day shall be levied for each document.

ACTIVITIES AND EXPERIENCE IN THE LIBRARY
As a student of MLISc in the Department of library and information science every
student has to conduct a one month internship programme. The main purpose of the
programme is to earn practical knowledge on different systems and services of the library.
In this regard I have an opportunity to make my internship in IIMK Library from April 18,
2022 to May 07, 2022. IIMK Library was the first who implemented the RFID in 2001 and
there are from the technical problems they stopped the service of RFID 2004 and in March
2022 they reimplement the RFID on contract with Rapid Radio. This report is a short,
section wise description of the activities that I have experienced during my training period.

Acquisition Section: Print&E-Resources
Acquisition section is situated in the first floor. Dr.Sreejaya Ma9m (Assistant
Librarian, Higher Grade) is in- charge of acquisition section. In nalanda most of the books are
acquired through purchase and rest of the books are procured by, reviews in books and
journals, exhibitions and gift. Checking titles for duplication, obtain approval for new titles,
placing orders, receiving supplies, invoicing and accessioning, payment etc. are the functions
of acquisition section.
In this section I came to know the processes like data entry, book ordering, billing.
Here the faculties and students can recommend books through an indent library system. Any
member of the library can request or recommend books by OPAC or sending an email to
library@iimk.ac.in with the following details about the author, title, year/edition, publisher,
and cost of the document. The library staff first checks the mails then search the book
whether is it available or not. The final list will be presented in the library committee with the
Dean of Administration as the Chairman and the Librarian as the Secretary. After discussing
the relevance of newly suggested titles and pricing, committee makes the final selection. The
books are acquired through different vendors. Some of the publishers are, amazon. in, Calicut
Book Distributers, Mathrubhumi, millennium enterprise, Flip kart, segment book publishers
etc. along with the institution itself IIMK supports other institutions like IIMK- EPGP, Kochi
Campus, and IIMA Amritsar.
Case purchasing
For them HBS cases are available as per license agreement and non HBS cases cost $
2.46.

E-Resources
The E-resources are handled by Dr.T.Sunitha (Assistant Librarian
Higher
Grade). The IIMK Library also concentrates to develop a good collection of e-resources to
serve the user in the best possible way in order to increase greater accessibility to information.
The users can access the e-resources through the library portal.
From Sunitha Mam I came to know about the management of e-resources In IIMK.
She have briefed the past of e-resources of 8Nalanda9. In IIMK procurement of e-resources
are mainly through E-Shodh Sindhu and the IIM Consortia. Initially e-resources are acquired
through IIM Consortia later in 2015 E-shodh sindhu has formed by merging three consortia
initiatives, namely UGC-INFONET Digital Library Consortium, NLIST and INDESTAICTE Consortium. About four crores from the total budget have been spent for subscription
of e-resources. The expenses are carried out by Ministry of Human Resource Department.
Subscription process begins in the month of January, prior to that user statistics should be
created. The publishers will give the institution a trial access of 30 days. This would give the
institution to study and evaluate its usability; cost etc. The list of e-resources that are selected
would submit before to the library committee. After signing the license agreement, in order to
access the resources the institution should give the campus IP address to the publisher. A user
name and password is given to the members who will be active till they belong to the
institution and the digital library is accessible to these members remotely.
IIMK Library provides a wide range of electronic resources. Use of these
resources is governed by copyright law and individual license agreements. E-resources are
mainly categorized into Academic Literature, Company and Financial Data, Newspapers and
Magazines, IPO/ Stock Market Data, Country Information and Data, Socio Economic
Indicators and Statistics, E-Books, Video Library, Market Research Reports, Legal
Information, Mergers and Acquisitions, Projects Information, and India Centric Content. The
interface of e-resources is as follows.

Upcoming Projects in IIMK Library
IIMK library brings together a range of technologies from different sources together in the
context of a working library and also to begin to explore integrated systems and services in
both the electronic and print environment. Changes are inevitable in every field. IIMK
Library always accepts new innovations and tries to implement the best of them. Sreejaya

Technical Section
The technical section in IIMK is handled by Mr.Biju.R (Library and Information
Assistant) who is responsible for the technical services; print journals & newspapers, IIMK in
media documents. In IIMK library the technical section carryout some of the function of
acquisition section like budget preparation of printed books. And also we learned about
budget preparation and fund allocation in technical section. After accessioning if it is a new
book, the book is transferred to the technical assistant who classifies it according to the
classification scheme adopted by the library. IIMK library follows UDC pattern. After that it
is catalogued as per the cataloguing code. Here it is AACR –II. The details are entered in
Koha. IIMK library is updated with Koha9s latest edition 16.05.Then spine label and barcode
are created. After completing these functions the books are placed in the new arrivals section
and then it is released for use. So I came to know the main functions of technical section are
classification, cataloguing, entry of book information in Koha finally placing of books in the
stack room.

Circulation Section & Stack
Circulation section is located at the ground floor of the main building. Here
the circulation section is headed by Dr. Joshy Kuriakose (Assistant Librarian, IIMK).
Circulation section involved in the activities such as check in, check out of books, renewal,
and reservation etc. circulation section works on 9.00 am to 5.30 pm on working days.
In the circulation section we created Member ID; with that mock id we
done checkout, check in, renewal etc. The activities were done both in Koha. For issuing of
books the staff first enters the details of the book in KOHA, and then the users are given a
permission slip which they should give to the security in order to prevent the loss of books. In
front of the circulation section, there are four computers for the users where they can search
the OPAC to know whether the required books are available or not. Reading section is also
situated in the ground floor. Besides issue and return the circulation section also performs the
following functions such as renew, reservation, user status, book status, fine, circulation
report etc.
Stack
The stack area is situated in the first floor. The book stack area consists of books in
ten important disciplines. Reading area is also provided in this section. Since it is a special
library, 8Nalanda9 follows Universal Decimal Classification pattern. The books are arranged
on the shelves according to their call number. This section includes:

General collections

Gift books,

Asian collection,

European collection

Literature collections

Hindi books

Children9s Library
The first work I done in the stack is stock rectification. We arranged the misplaced
books in the proper place, removed the torn and damaged books for binding. Books without
clear labels are collected and made new labels for it. As per the rule IIMK Library conducts
stock verification once in every three year. It is conducted by the stock taking committee.
This year we also participated in stock verification. Here we entered the accession numbers in
excel. Re- checking of the details was also done. These details are further checked in Koha.
Issued books are also considered in stock verification and a list of missing books created. Re

checking in the shelves continued for three or four times to finalize the number of missing
books. In stack area the RFID tagging and removing of old tags from books are done.

Serial Section
Serial section is also managed by Biju Sir. Journals provide blossoming information
than book. Library is subscribing to both online and printed forms. There are 167 print
journals and 22000 E-journals and 6119 bound volumes. Serials are not issued for users. The
collection contains magazines; management journals of subjects related to economics, social,
finance etc. Faculties can recommend serials by giving necessary details of the required
material. The list is later sent for approval. The main vendors of serials are Allied Publishers
Subscription Agency (Bangalore), Informatics (Bangalore) and Total I.T.Solutions
(Mumbai). The new editions are put in the new arrivals section for a week and after that it is
placed in the shelves, and here serials are arranged in the alphabetical order. Serials are
controlled by Libsys and Koha. After the approval details related to the particular serials is
entered in LibSys and Koha. Here I got an opportunity to enter the details like title, volume,
issue number, date of publishing, edition etc. We created new labels for subscribed journals
and placed it in alphabetical order. Unsubscribed Periodicals are arranged in another section.
Older volumes are placed in the pigeon holes of each shelf. If the serials arrived in bulk, the
checking of bills is important. So that we can check the details, the correct amount paid for
each journal or magazine. Reports about the list of journals are made so as to renew the
subscription or to stop subscription. Today most of the periodicals are available via online so
the purchase of journals or magazines in both printed form and digital form is no longer
necessary. In such case some journals are replaced with its electronic versions.

Digital Section
Digital section is situated in the ground floor of the IIMK library. This section is controlled
by Sudheesh sir. In IIMK Library, digital section possesses utmost importance. Here the
functions are server maintenance, backups, installation of software etc. The digital library is
designed with the Greenstone digital library software. It contains almost 200000 E-Books,
25000 E-Journals and 65 Databases. The contents are distributed to the members by remote
access. A user name and password is given to the members who will be active till they belong
to the institution and the digital library is accessible to these members remotely.
From sudheesh sir I came to know the routine activities in the digital section. They are
digital archive of news related to IIMK. Here the news reports of IIMK that has been
published in various Medias are displayed. Here the particular news were scanned and printed
after that it is presented in the display board of the library. Users can also browse newspapers
for IIMK news via a database named IIMK in Media. This was started on 2009.
Other works include ID card registration to the members of IIMK, archiving of snaps
or videos of the programs conducted here, giving technical support to the upcoming projects,
up gradation of software like DSpace, Greenstone etc.
Nalanda is a fully automated library. From sudheesh sir I came to know about
greenstone and D-space. As far as I am concerned these were new terms.in technical section
the First two days we spent to learn Greenstone and Koha. He explained about the installation
and collection building in greenstone. Though it is a simple process it felt quite difficult for
me. This need much care, because even a simple mistake will not give the intended output.
However we practiced collection building, user groups9 creation, customization etc. We
added a small collection of html file and PDF files. The main advantage of Greenstone is it9s
easy to customize as our preference. Sudheesh sir helped us in clarifying our doubts. After
practicing greenstone, we learned about DSpace. DSpace is an open source repository
software package typically used for creating open access repositories for scholarly or
published digital contents. I learned installation process and collection building. Here the

Indian Business Museum
IIM, Kozhikode, during the end of 2010 launched an ambitious project to
create a museum of Indian Business History which is the first of its kind,
unique,
monumental and a significant sign in acknowledging the contributions of Indian business
leaders. The museum functions with the vision of creating a world class museum which shall
shape the aspiration of young entrepreneurs and propel business entrepreneurship in the
country. The mission of the museum is to collect, display and preserve an outstanding
collection of artifacts, objects, sculptures, photographs, historical documents, letters,
miniature models, audios, videos, digital objects, books etc., showcasing the wealth of Indian
Business History.
In July, 2012, the Hon9ble Governor of the RBI inaugurated the RBI gallery at
the museum which speaks of the evolution of the Reserve Bank as well as the origin and
history of the financial system in India.
The major attraction of the museum is the ISRO Pavilion that was inaugurated
in February 2016, by Dr.Sivan, Director of ISRO. The pavilion exhibits the models of all
India9s remarkable achievements in the sphere of space research. With the addition of the
ISRO section, the museum receives a considerable amount of visitors of all ages, especially
children aspiring towards a space career.
In May 2018, Mr. A.H.Nanda IAS dedicated the India Posts Pavilion to the
Indian Business Museum.
The museum can be considered as the unique feature of the IIMK Library or
institution as it is one of its kind and of undeniable significance among the growing
generation of the nation.

Conclusion
This internship has provided me an excellent opportunity as well as a
great experience to my limited knowledge in library and information science.
IIMK library was an experience for me. Apart from the theoretical knowledge
8Nalanda9 had given huge exposure and I came to know more on library
sections and services. I should highlight that the cooperation among the staffs.
Moreover I should say that I got a chance to explore this beautiful campus and
for a month I was a part of IIMK library. I can9t conclude without thanking
Appasaheb Naikkal sir for such a great opportunity.

Conclusion
This internship has provided me an excellent opportunity as well as a
great experience to my limited knowledge in library and information science.
IIMK library was an experience for me. Apart from the theoretical knowledge
8Nalanda9 had given huge exposure and I came to know more on library
sections and services. I should highlight that the cooperation among the staffs.
Moreover I should say that I got a chance to explore this beautiful campus and
for a month I was a part of IIMK library. I can9t conclude without thanking MG
Sreekumar sir for such a great opportunity.
