Scope of Project:
Since the beginning of the academic era, exams are being taken manually. The date
sheet is created by authorities and students are just informed about their dates of
examination. This method is not much flexible and creates lots of problems for both the
students and management. A reasonable number of students may face problems in
attending examination due to one or more of genuine reasons. This result fails, absents
etc. The management also suffers from many problems such as duplications, date, and
time conflicts etc. Further, this schedule does not contain flexibility and can never be
changed in any case. Keeping these issues in mind, a question arises that why not
students be involved in creating their date sheets depending upon their ease and
feasibility.
To overcome the up-mentioned issue, our group will develop an intelligent application
titled as “Artificial Intelligent Viva Exam Scheduler”. It is a web based application which
will facilitate the students to schedule their viva exam dates and time slots according
their convenience. The competent authority i.e. administrator will define the dates of
exam. Each day can be divided into different time slots which will be available to the
students upon selecting a specific date. The system will assist the student throughout
the date sheet creation process. When the date sheet is finished an SMS and an Email
will be sent to the student. It will be intelligent enough to automatically create the date
sheets of those students who did not create their date sheets before deadline. The
system can be implemented at school, college and also university level. Its functionality
can be further enhanced by implementing it into Annual Exams etc.
The users of the system can be of different types, i.e. it can either be a student who is
scheduling their exam or it can be an administrator who is controlling the exam such as
holidays, authentications.
Functional and non-Functional Requirements:
1. Functional Requirements:
The system will allow the administrator to:
a. Announce/launch and cancel any exam,
b. Define deadline of preparing viva exam date sheet which will only be
extended by the administrator.
c. Add/update/delete students’ record.
d. Manage Exam Centers, Projects and Supervisors.
e. Print the viva date sheets.
f. Define the period/days of viva exam and divide the days into slots and
also define the duration of each viva exam.
g. Define off-days in the date sheet period.
h. Print viva exam schedule Once the deadline for making date sheet is over.
i. Schedule quickly and easily with Auto-Scheduling functionality.
j. Reschedule the viva exam of any student upon explicit request by the
student.
The system will allow the student to:
a. Select the date, time slot and center for the viva exam.
b. Select the viva date if eligible.
c. Put up the reschedule request by providing the reason for reschedule and
upload the related document for rescheduling.
d. Students will be able to print only their own date sheet.
e. After successful creation of date sheet, an SMS and Email containing the
contents of date sheet will be sent to the student.

Schedule Viva Exam
After authentication, the user will define starting and ending dates of
viva exam.
Viva Exam will be scheduled.
User must have been logged in to system as an administrator.
System will be available to the students. Students will be able to make
their date sheets.
If user is not authenticated, then he will be redirected to login page.

If the schedule is not declared, system will not allow users to log in
except the Administrator.

User will select a file containing data of students.
User will upload all data of students in a format which is supported by
system. (Excel sheet)
User must have been logged in to system as an administrator.

Data will be available to supervisor for scrutiny.

Define holidays/off-days
User will choose whether to include off-days in the exam period or not.
User will select holidays in exam period.
User will give instructions to the system about holidays through a user
interface.

A Viva Exam must have been declared/defined.
The days marked as holidays will not be available to the students while
creating their date sheets.

Administrator will enter all projects and project supervisors.
Every project and its supervisor will be entered into system.

Supervisors will be able to logon to system and mark students

If user is authenticated but not have sufficient privileges then he will be
given appropriate message.

Administrator will enter Exam Stations/Centers.
Managing Exam Centers will allow Administrator to add/update/delete
Exam Centers.

Reschedule Date sheet
Date sheet will be rescheduled by the Administrator
Rescheduling date sheet will allow administrator to redefine date of
Viva for those students who have put request for the same.
User must have been logged in to system as an administrator.
A reschedule request must have been available in the system.
Viva date for that student will be updated and an automatic SMS and
Email will be sent to the student.
If user is not authenticated then he will be redirected to login page.
If user is authenticated but not have sufficient privileges then he will be

allow the user to schedule any viva in that specific date.

Print Viva Schedule
Administrator will print schedule of Viva.
Print Viva Schedule will allow administrator to print complete schedule
of viva exam. This schedule will contain, Roll No., Name of the student,
Project Title, Viva Date, Supervisor Name and Viva Station/Center.
User must have been logged in to system as an administrator.
Deadline of making date sheet must have been over.
Viva schedule will be printed.
If user is not authenticated then he will be redirected to login page.
If user is authenticated but not have sufficient privileges then he will be
given appropriate message.
If deadline for making date sheet is not yet over, user will be given
appropriate message.

Supervisor will be able to view a list of students giving project.
View Students will allow Supervisor to view those students who have
the project which is being supervised by the same supervisor.

Students will be marked as eligible or ineligible by the supervisor.
If user is not authenticated then he will be redirected to login page.

Place Reschedule Request
Student will Request Administrator to reschedule the date sheet for
him.
In case of any infeasibility, this functionality will allow students to place
a request to reschedule the date of Viva for that student. Student will
have to give proper reason for rescheduling. Student will have to
upload related document(s) supporting their reason for rescheduling.
This functionality will be provided by a user interface.
User must have been logged in to system as Student.
Date sheet must have been created first.
The request is placed and administrator is notified about this request.
If user is not authenticated then he will be redirected to login page.
If user is authenticated but not have sufficient privileges then he will be

Adopted Methodology
Keeping in mind the pros and cons of above mentioned methodologies, we would prefer using
Waterfall model.
Reasons for choosing the Methodology
The Waterfall model is a sequential development approach, in which development is seen as
flowing steadily downwards (like a waterfall) through the phases of requirements analysis,
design, implementation, testing (validation), integration, and maintenance.
The basic principles are:
 Project is divided into sequential phases, with some overlap and splash-back acceptable
between phases.
 Emphasis is on planning, time schedules, target dates, budgets and implementation of
an entire system at one time.
 Tight control is maintained over the life of the project via extensive written
documentation, formal reviews, and approval/signoff by the user and information
technology management occurring at the end of most phases before
