NSI WEB UI QUICK REFERENCE GUIDE
Basic Search









Select “Search” tab
A minimum of two names are needed (Given Name and Family Name) OR a single name and birth date
Entering the student’s full name and birth date will return more accurate match results
Records where name and birth date match will show as a Definite matches and will be highlighted in the
search results
Definite matches are where the search result score is greater than 92
Possible matches are where the search results score is between 70 and 92 (parameters)
Scroll down to see all possible results and ensure you check all pages of results
Use column headings to sort results (automatically sorted by score in descending order)
To view details of a student, click on “View” icon or the NSN
Students with Single Name
 For all functions (Search, Add, Modify), when dealing with a student who has only one name please enter
the name in the Family name field, and use the ‘~’ symbol for Given name1
Add Student





First “Search” for student - a record may already exist - if not, click on “Add student” button
Enter all available student details
Ideally have documentation you need to validate a student (passport, birth certificate etc)
If data is unknown, “unknown” / “unverified”
A warning message will show if there are possible matches to your student (check to confirm that none of
these are your student). Proceed with the “Add student” if you have a new student
 A warning message will show if there are definite matches to your student (check to confirm this record is
not your student):
o If a definite match is found but your student is actually a different student and needs to be added
into the system, scan and send validating information to nsi.unit@education.govt.nz with the NSI
number as a reference
o After confirming that there are two different people they will add your new student
Viewing Master and Slave records and Viewing History






“Search” for student (slave records will not be returned on a name search)
Records that have been merged have a merged symbol (Master with slaves) in the search results
When viewing a Master record, click on the “Associated slave record(s)” NSN to view details of the
Slave record
When viewing a Slave record, click on the Master record NSN to view details of the Master record
Select the “History” button to view the update history for a student. History is available on both Master
and Slave records
The history information will display to the right or below the student details (dependant on screen
resolution)
Modifying – Adding Alternate Names



Select student
Click on the “Modify” button
Use the + symbol to add alternate name/s

Modifying – Student Data






Select student
Click on the “Modify” button
Make the changes needed, click “save”
If required, confirm record is to be updated with unverified details
If you want to update information that is already verified raise a “Challenge”
Scan and send validating information to nsi.unit@education.govt.nz reference NSI number:
o The MOE NSI team will assess the Challenge
Raising a Challenge





Note: if student name or birth date details have been verified, you can’t change them
However, if you believe the data is incorrect, use the “Challenge”
Click on the “Challenge” button on the Student Details screen
Enter details of the Challenge
Scan and send validating information to nsi.unit@education.govt.nz with the NSI number as a reference:
o The MOE NSI team will assess the Challenge
Merging Student Records

If you know the student names:
o “Search” for student by name/birth date, click on the “Request merge” button
o Merge icons will appear next to records that can be selected for merging
o Select the relevant students by clicking on the “Merge” icons (the icon will disappear once the
student is selected)
o Scroll to the bottom of the page to view the “Records to merge” list (remove any not required by
clicking on the – icon)
o Click on “Merge Entry” button
o Remove any students not required to be merged using the – icon
o Records can also be unselected by deselecting the “Select” tick box icon
o Click on “Request merge” button
o A message will advise you if the merge has been successful, or has been sent to the MOE
Service Desk for confirmation

If you know the NSN’s:
o From Merge Entry screen, Enter first NSN of the student record and click on “Retrieve student
record”
o Enter second NSN and click on “Retrieve student record”
o Repeat if required for more students
o Select the NSNs you wish merge by selecting the select box
o Click on “Request merge” button
o A message will advise you if the Merge has been successful, or has been sent to the MOE
Service Desk for confirmation
Reports – Merge Status and Transaction Activity Report

To Check the status of a Merge request within the last 6 months, select “Status” option under Merge tab:
o Enter NSN or fill in fields
o Click on “Generate” button
o Merge Request Status results will display below input selection
o The Merge Request Status report can be run for any period up to a maximum of 6 months

To view Transaction Activity report, select “Reports” tab:
o Select fields required
o The Transaction Activity report can be run for any period up to a maximum of 6 months
o Click on “Generate” button
o PDF report is generated, showing details you requested.
o You may be requested to open or download the PDF report
