FOREX TRADING JOURNAL INSTRUCTIONS & RECOMMENDATIONS
Thank you for choosing to journal your trades with the Intravest Forex Trading Journal. If
you have any enquiries or need any assistance, do not hesitate to contact me! I will be
more than happy to assist. Any suggestions and feedback are also welcome.
This trade journal is designed to help you record and evaluate your trades to help you get
deeper insights into your trading patterns, identify areas of improvements, improve your
trading strategies, and make you an overall better trader!
This workbook has been designed on Excel Office 365, but is compatible with Office 2010
onwards.
Setting up the trade journal:
1. Download the excel sheet on your computer from the download link
2. Open the workbook and enable macros for full functionality. Workbook will
proceed to expand into a full-screen, software-like interface to use
3. Insert basic information in the “Account Details” section of the Dashboard (1st
Page)

Note: As an example, the first 3 entries in the workbook (as well as blanks in some other
sections) have been filled-up with “example data” to provide a gauge of what can be
entered. Feel free to replace the information with your own trade information.

Trades
The Trade section is a single-page summary of all your trades, both opening and closing
positions. The columns and layout of the “Trade” section is relatively similar to the
“entries” section except that this is an overview of each trade, whereas the “entries”
section is where you enter the trade details.

Note: As this is meant to be a single-page visual overview of all trades, editing/imputing
any trade details will result in the following pop-up box to appear to protect the journal
from accidental tampering/breaking formulas. No worries, all data is to be entered into the
“entries” section, and it will be reflected in the “trades” section subsequently.
Columns can be hidden and unhidden to show certain trade details as desired, but the
default layout will be as displayed. Sometimes, the “###” display error may occur in some
columns that are too narrow to fully show longer-string numbers. This can be mitigated by
following the steps below. However, unhiding columns will affect the layout of the page
so you would have to resize it as desired. Similar steps can be used for the “entries”
section. The following image explains the steps in greater detail.

Go out of “fullscreen mode” at the top-right hand corner of the dashboard section
Head over to the trade section and click on the “view” ribbon
Click on the “headings” checkbox to show column ranges (A,B,C etc)
Hover your mouse over the sections that you desire to expand and drag the
columns to the desired size (this helps in removing the “###” errors caused by the
columns being too narrow)
5. Hover your mouse over the “missing columns” and double click the “gap” between
the columns to show hidden columns. Hide and unhide columns as desired.
Entries
The entries section is where the bulk of the trade details are entered. The layout is similar
to the trades section except with more columns for additional details. The columns
highlighted in red are those needed to be manually entered, whereas those in blue
will be automatically generated (see example below).

Each trade is divided in to 2 corresponding sections: Open Position and Close Position.
All opening positions will be entered in the “Opening Trade Details” section, and the
corresponding closing trade will be entered in the “Closing Trade Details” section.

Description of Sections
Opening Trade Details
1. Trade no. – Trade Journal Number
2. Buy Date – Date of opening trade
a. A dropdown list displaying recent dates before and after today’s date can
be selected to make entry easier, but feel free to manually insert dates too
3. Day - Weekday/Weekend in “ddd” format
4. Buy Time – Time share was bought (in H:MM AM/PM format)
5. Trading Pair – Instrument/Forex Pair traded
6. Calculation Type – A helper row to determine computation of calculations for
different instruments/currency pairs
a. Different sets/types of instruments (forex pairs, indices, equities) will affect
how trade amounts and pip values are calculated
b. See Calculation Methodology section below for more details
7. Lots – Number of lots bought
8. Units – Number of units bought (based off lots bought)
9. Leverage –Leverage used in placing the trade
10. Margin Requirement % - Margin required to open and maintain the position,
displayed as a % of the total position size
11. Trading Session – Trading Session where trade was placed
a. This is affected by the time in the day the trade was placed, as well as the
time zone settings in the “Time Zone” section of the dashboard
12. Strategy - strategy used in buy decision
a. These are your custom strategies that were imputed in the “strategies”
section of the journal, and accessible here via a dropdown list
13. Position – Long (buy) or short (sell)
14. Buy Price – Price instrument/forex pair was traded at
Risk Management Details
1. Stop Loss – stop loss price
2. Price Target – Target price to sell
3. Risk-Reward Ratio – Ratio of risk to reward for trade
a. Green tick shows risk-reward ratio within benchmark
b. Yellow exclamation mark shows risk-reward ratio outside benchmark
4. Rate Conversion to Account Currency – For any instrument/forex pair traded that
is not in your base account currency, the conversion rate from that foreign currency
to account base currency at time of opening trade is needed to calculate
subsequent values (further explanation in Rate Conversion to Base Currency
section)
5. Required Margin – The amount of capital required to place the position, in the
base account currency
a. All amounts in the base account currency are in yellow font
6. Maintenance Margin – The minimum amount of equity needed to hold the trade
position to avoid a margin call, in the base account currency
a. The amount is based off the “margin call %” input in the dashboard
7. Opening Position Size – The total actual transacted value of the trade, in the base
account currency
8. Opening Spread & Commissions – Cost of placing the trade, be it through
spreads or commissions (in the base account currency)
9. Opening Position Size (inc. Fees) – The total capital value of the trade, less fees
from opening spreads and commissions (in the base account currency)
10. Equity Risk (Based on Stop Loss) – The total value of equity risked for the trade,
based off the stop loss
11. % of Equity/Position Size – The value of the total equity risked for the trade as a %
of the total account equity
a. Red flag indicates that the equity risked for the trade is within the
benchmarked equity risk limits (based off the “Equity Risk per Trade” in the
Account Details section of the Dashboard)
b. Vice versa for the green flag
12. TradingView Chart Entry – TradingView chart link for opening trade
13. Entry Notes – Any notes regarding opening trade (mistakes, learning points,
execution, etc)

9. Rollover/Swap Fees – Cost of rollover or swap fees from placing the trade
10. Rollover/Swap Gains – Any profits/benefits on interest rates when closing the
trade (in the base account currency)
a. Rollover/swap fees will be deducted from profits and returned capital, and
vice versa for the Rollover/Swap Gains
b. No need to insert -ve values for fees or gains, the formulas will deduct/add
fees/gains accordingly
11. Returned Capital – Total capital returned from closing the trade, including all fees
and gains
12. Position Status (Lots) – Status of trade
i. CLOSED – Position is closed and no remaining lots for that opening
trade
ii. “###” (Open) – If there is a number, it indicates remaining unsold lots
(see “functions to note” below)
Trade Outcome
1. Pips – Number of pips moved for each trade
a. Red arrow means a downward movement of pips, and vice versa
2. Pip Value – The value per pip, in account base currency
3. Trade Profit/Loss – Profit or loss for the trade based on pip movement and value
4. Profit/Loss (inc. Fees) – Total profit or loss for the trade, after accounting for any
fees and gains
5. Account Size aft Transaction – Current value of account size after trade
6. Capital Gain/Acc Size Growth - % increase/decrease in account size after trade
7. Current Drawdown – Current drawdown of the trade based off the historic highest
running value of the account size
8. Target – Win, loss or even, based on whether trade was profitable or not
9. Holding Time – Duration of trade (Read consecutively, eg. A trade opened for 25
hours and 15 minutes would read 1 Day, 1 hour and 15 minutes)
a. (Days) – number of days before trade was closed
b. (Hours:Mins) – number of hours and minutes before trade was closed (It will
never read 24:00 as a full 24 hours will be rolled-over into 1 day)
Note: For the 3 P/L editable columns above, there are formulas that can automatically
compute the required values. However, for ease of use and convenience, you can also
directly type over the formulas and insert the P/L values from your account if you desire to
do so (or are ignoring using the “Rate Conversion to Account Currency” feature for certain
trades). See Calculation Methodology section below for more details.
Post-Trade Evaluation
1. Closing Trade Notes – Notes on trade exit or closing
2. TradingView Chart Exit – links to any chart/diagram (insert hyperlink from
tradingview, charting website, etc)
3. Cash Withdrawal – Any cash withdrawal (or deposit) that affects account size (See
“functions to note” below)
Functions to Note
The Position/Remaining Shares Column (Recording Open Positions):
Under the Position Status section, there are 3 possible outcomes:
1. CLOSED – where the total number of lots sold is the same as the total number
bought for the trade
a. Trade 24, where 1 lot of EUR/USD were bought on 12/3 and the same
amount of 1 lot of EUR/USD were sold on 13/3
2. (Excess) – where the total number of lots sold is more than the number of lots
bought (because you are still holding the lots bought from a previous trade)
a. Trade 26 recorded the selling of 2 lots of USD/CHF at 0.96520, but Trade
26 opening position only recorded 1 lot of USD/CHF bought at 0.94560
b. In Trade 25, 1 lot of USD/CHF bought at 0.94320
c. Buying positions of USD/CHF lots for trade 26 (1 lot at 0.96560) and 25 (1
lot at 0.94320) were all sold, recorded in trade 31 (1 + 1 = 2 lots at 0.96520)
3. “### (Excess)” – A number shows the excess number of lots unsold and still being
held
a. Trade 27, where 1 lot of GBP/USD at 1.31750 were bought but only 0.5 lots
were sold at 1.3370
b. An excess of 0.5 lots remaining
Recording Excess Positions:
1. Divide the number of shares equally across the relevant open positions at the
selling price and date
a. 2 lots of USD/CHF sold at 0.96520 to be equally divided to 1 lot across the
2 trade entries of 1 lot of USD/CHF shares bought as such:
Trade 25 selling details empty, with 2 lots of USD/CHF at 0.96520 sold
for trade 26, but not shared across trade 25
Trade 25 now shows “CLOSED”, with 1 lot of USD/CHF at 0.96520 sold
for both trade 25 and 26
Recording Open Positions:
1. Macro button function “Duplicate Open Entry” will automatically duplicate details
of open position with remaining lots at buy price
2. Select the number of lots remaining (in this example 0.5) and click macro button
3. Macro will duplicate details in next available blank column as a new trade, and
additional details under risk management will remain blank (for re-adjustment as
desired)
i. Opening Position Size Column remain blank as equity has already
been spent to cover costs (Don’t have to do anything here)
ii. Risk Management columns remain open to edits to allow for readjustments
iii. Notes will put “Open Pos Trade”
Select cell in the “Position Status” column with excess unsold lot number (0.5), then click
the “Duplicate Open Entry” Button
Macro will automatically generate Buy details of 0.5 lots of GBP/USD at original buy price
of 1.31750 in the next row (row 28), highlighted as such
Cash Withdrawal:
Under both the Dashboard and “Post Trade Evaluation” of the Entry section, cash
withdrawal/deposits to the account can be recorded.
Note: Withdrawal is always written in a negative value (-$3,000) while deposits in a positive
value ($3000)
In the dashboard, for the date of 14/11/2021, $3,000 was withdrawn
The same value will have to be inserted in the “Cash Withdraw” section of the Entries
section, at the same corresponding date of a transaction (or the closest thereof). The
withdrawal will be reflected in the account balance and taken into account for the
subsequent trades.
Calculation Methodology
The journal has been designed to automatically calculate the profit, pip values, and
position sizes of at least 157 different trading pairs and instruments. Different calculation
types have to be taken into consideration to account for differences in measurement
across different currencies and instruments.
The following explains the computation in greater detail. For the sake of illustration, the
examples below assume USD as the base account currency where profits and settlements
are made.

Rate Conversion to Base Currency
To calculate the values of foreign currency pairs/trading pairs that is not in the base
account currency (USD for this illustration), the conversion rate to the base account
currency at the time of opening position and closing position have to be manually
inserted to get the base currency values.
Explanation:
For trade 5, as EUR/GBP consists of currencies that are not in the base currency, the
conversion rate from EUR/USD will be needed at the point of position opening (16/2/2022,
4:15pm) to calculate the required margin and opening position size total in USD. The
“EUR/USD” currency pair in the rate conversion to account currency column will
automatically appear and you only have to insert the EUR/USD rate (in this case 1.11591)
accordingly.
For the closing trade, there is a need to convert it from GBP to USD to calculate the closing
position size, pip value in USD, etc. Similarly, the “GBP/USD” currency pair will
automatically appear, and you can proceed to insert the GBP/USD rate at the point of
position closing (16/2/2022, 5:30pm), which is 1.35900.
For trades that have the base account currency, such as trades 3, 7, 9, etc, there is no need
to do so. The rate conversion to account currency column will be marked with a “-“,
indicating that there is no need for any additional values.
Note: If using the Rate Conversion feature is too hasslesome for certain trades/currency
pairs, you can directly type in the P/L values into the P/L cells, overwriting the formula. To
restore the formula, just undo or drag-copy down the cells with formulas over the cells that
have been written over.
The P/L dashboard values are mainly reliant on the P/L columns in the entries sheet, so to
make it easier to record trades and view your performance, you can just fill in those P/L
values directly.
This is an unfortunate limitation of excel to generate base-currency values from a trading
pair without the base currency. A conversion rate at the point of trade has to be inserted for
the sheet to calculate such values.

The Trading Pair section is where you can input the trading pair/instrument (indices, stock)
and its descriptions in the corresponding columns. This will be auto populated in the
Trading Pair’s column’s drop-down list in the “Entries” section for you.
1. Trading Pair Number – will be automatically generated, no need for edits
2. Currency Pair – The trading pair/instrument you will be trading. This will be shown
in the Strategy column drop-down list in the “Entries” section
3. Notes – Any relevant notes regarding the trading pair/instrument
Note: Do type in the exact format for the trading pairs as those listed below (e.g EUR/USD and not
eurusd, etc) for the forex pairs, commodities, or indices below. The journal references a
predetermined set of instruments to determine the calculation type and formulas. If the trading pairs
are typed in a different format (missing a “/”, small caps, etc), the journal will calculate it as if it were
“Equities”.

Strategy

The strategy section is where you can input the names of your strategy and its
descriptions in the corresponding columns. This will be auto populated in the Strategy
column’s drop-down list of the “Entries” section for you to record which strategy was used
to execute the trade.

5. Name of Strategy – Any desired name for your strategy. This will be shown in the
Strategy column drop-down list in the “Entries” section
6. Description of Strategy – Description of your personal trading strategy
Calculator
The calculator is designed to help traders in calculating the margin requirements, position
size, pip values and risk positions for each trade. Blanks highlighted in yellow should be
