Functionality Statement M-FILES AND CONTENT REDACTION VERSION 1.1 | LAST UPDATED 27 OCTOBER 2023 M-Files does not currently offer built-in content redaction tools. You can use compatible third party tools to redact files. 1. Client-Side Redaction Client-side redaction refers to a process where users manually redact areas in individual documents. There are many tools available for this use and we have tested and found compatible these solutions: • Foxit PhantomPDF Business 8 • Adobe Acrobat Pro DC These are client-side tools that can be purchased for each end-user. It is fairly simple to use these tools: Check out the file in M-Files and open it to the editor. Then use the redaction tools in the editor to redact content and finally save the changes and check in the file. Image 1: Redaction tools in Adobe Acrobat Pro DC. Notice that when you use these tools, the text underneath the redacted area is unindexed. If you redacted every occurrence of "John Smith" in the document and saved the new version to M-Files, you can no longer find the document with the search term "John Smith". Additionally, if you share the redacted file electronically, the recipient cannot find out what was redacted by opening the file in another application. 2. Server-Side Redaction Server-side redaction refers to a process where many documents are redacted based on specific logic. With these tools you can set, for example, all social security numbers to be hidden from all documents in a specific location.
