ONLINE APPLICATION SYSTEM GUIDE Graduate program applications must be made online and submitted through the online system after all of the required steps have been completed. You do not need to complete the application process in one session. By creating a username and password, you can save the application file and log in again to modify the saved (but not yet submitted) information. The Online Application System will be opened on 17 April 2023 at 10.00, local time. It will be closed to the creation of new user accounts 5 June 2023 at 17.00, local time. The application system will be closed on 5 June 2023 at 17.30, local time. Once you enter the system, use the links at the top of the page to navigate through the application process. It is necessary to scan and upload supporting documents (transcript, score reports, etc.) to the system. Fully completed application forms must be sent to the Registrar’s Office through the online system by clicking on the “Submit Application” button. It is not possible to make changes to application forms after they have been submitted. Please be sure that you have all of the required information and documents before you submit your application. Please complete your application promptly, taking into account the application procedures and the submission deadline. Applicants who are admitted to a graduate program at Boğaziçi University must submit all official documents to the program at the time of registration, to verify the information declared during the application process. Some programs may require that you bring the official documents on the date of the oral/written exam. Boğaziçi University reserves the right to cancel an offer of admission if a fraudulent application was submitted. PREPARING TO APPLY It is recommended that you read carefully the list of application documents and the application terms of the programs to which you plan to apply and have all of the documents you need for the application ready before you log in to the Online Application System. APPLICATION STEP 0: DEFINING A NEW USER • Visit the Online Application System at http://adaylar.boun.edu.tr/en-EN/Page/ Admissions/Graduate/All and select “Click to Apply” • Click “New Applicant” to create your account in the system. • • • • • • • On the page that opens, enter your email address and create a password, then enter your profile information. Click “Create User.” The system will send a confirmation message and verification code to your email address. Return to https://registration.boun.edu.tr/BUIS/BUISAPPS/ GradApplication.aspx Choose the program type, enter your email address and password, and click “Login.” When prompted for your code verification, enter the verification code that was sent to your email account. Once the verification code is approved, you will gain access to the main menu. STEP 1: APPLICANT INFORMATION FORM In this section, you will be asked to enter the general information required for applying to all graduate programs (identity data, contact information, educational background, work experience, and English proficiency). • • • • • • • • Click “Fill the Applicant Information Form.” Sections marked with an (*) on the Applicant Information Form are required. You will need to upload a biometric photo of yourself in the identity data section. (If you receive admission, the photograph will appear in your student account and on your student ID card, so please make sure that it is front-facing, shows just your head and shoulders, and is taken against a light-colored background). In the Educational Background section, enter your high school, undergraduate, and graduate (if applicable) degrees. You must also scan and upload your transcripts, diploma(s) or other proof of graduation, and disciplinary record in PDF format. The section on Work Experience is required for some programs. Begin with the most recent and enter information on your full-time work experience. You may enter any noteworthy part-time work experiences as well. Except for those who are exempt from the language proficiency or are applying for preparatory class, all applicants must provide proof of English proficiency level. You need to provide your scores for only one English proficiency exam (BUEPT/ TOEFL®/IELTS). A scan of the scorecard must be uploaded and the scores must be entered into the relevant field. If you have not yet received your English proficiency exam score, enter the date of the exam. For BUEPT, only the examination date will be sufficient. If you need to log out of the system for any reason, click “Save Form” to save the entered information. You can log in later to make any changes or complete the application. If you have completed the form and uploaded all of the required documents, click “Submit Form” to proceed to Step 2. STEP 2: PROGRAM APPLICATION FORM In this section, you will be applying to the relevant program(s) and will need to upload a Statement of Purpose, standardized graduate exam scores (ALES/GRE/ GMAT), the contact information of recommenders, and other supporting documents for each program to which you are applying. In this section, the Application Fee transaction must be completed. • • • • • • • • To apply, click “Fill the Program Application Form” To select the program to which you are applying, click on “Add Program” From the drop-down list, select the program to which you are applying. Fill in the required fields. You need to provide score(s) of standardized graduate exam(s) required by the program to which you are applying. Scanned scorecards must be uploaded as PDF documents and in addition, the scores must be entered manually. If you have not yet received your exam score(s), enter the date of the exam(s) and forward your scorecard to the program to which you are applying as soon as you receive it. At least two reference letters are required for application to all graduate programs. On the Application Form, the first names, last names, and email addresses of at least two people who will be asked for a reference letter must be provided. Once your application has been submitted, an email will be sent to the contact information provided with an explanation of how to submit the reference letter. When a reference letter has been submitted, you will receive a notification by email. If the program requires a specific form of recommendation to be provided, it is the applicant's responsibility to provide the form to the referee. If you have not completed the form, click on “Save Application” If you plan to apply to more than one program, click “Add Program” again for each one. If you want to delete a program application form you have filled out, select the application you wish to delete and click on “Remove Program” If you are applying to more than one program, you must rank them in order of preference, using the “Preference Order” field. Be sure to click on “Save Preference Order” Once Steps 1 and 2 have been completed, the application fee must be paid before proceeding to Step 3. The program application fee from within Türkiye is TRY 200. For payments from abroad, the fee is EUR 50.00 or USD 50.00. A separate application fee must be paid for each program to which you apply. You may check your payment status in the Program List section. If you are exempt from paying the application fee, then your Payment Status will show as “Exempt from Payment” Applicants must pay the application fee via one of the two methods described below. If the application fee is to be paid via domestic payment channels, you may proceed to Step 3. 1. a) Online payment for applicants with access to domestic payment channels. To pay using Garanti BBVA ATMs or branches, follow: "Payments -> University / ÖSYM -> Boğaziçi Üniversitesi -> Lisansüstü/ Yatay" To pay using Garanti BBVA Internet Banking, follow: "Payments -> Institution -> University -> Boğaziçi Üniversitesi -> Lisansüstü/Yatay" • • • • Once on the relevant screen, enter the same ID or passport number you used on the application form in the field "Student No.". The fee amount will show up. After the payment has been made, it can be verified in the application system online. Once the payment is verified, your Payment Status will show as “Online Payment Verified" If the application fee has not been paid or your payment has not been approved yet, the Payment Status will appear as "Incomplete" b) Payment by EFT for domestic applicants. The required fee amount can be transferred via EFT to the account numbers provided below. • You will need to then upload the transfer receipt to the Application System by clicking "Program Application Fee" and submitting the program application. • It is not possible to verify EFT payments online. • After the program application has been submitted, the Registrar's Office will check the uploaded receipt within three business days. If payment is confirmed, the application will be forwarded to the respective program. • Applicants who pay by EFT are advised to make payment early, taking into consideration the time that will be needed to check the payment during the time specified for the online application • Once the payment has been verified by the Registrar's Office, your Payment Status will be shown as "Receipt Verified” • If the application fee has not been paid or payment has not been approved yet, the Payment Status will appear as "Incomplete" 2. Payment from abroad via SWIFT. The application fee can be transferred via SWIFT to the account numbers provided below. • You will need to then upload the transfer receipt to the Application System by clicking on "Program Application Fee" and submit the program application. • It is not possible to verify such payments online. • After the program application has been submitted, the Registrar's Office will check the uploaded receipt within three business days and if payment is confirmed, the application will be forwarded to the respective program. • Applicants who make use of this method are advised to pay the fee early, taking into consideration the time that will be needed to check the payment during the time specified for online application. • Once the Registrar’s Office has verified your payment, your Payment Status will appear as "Receipt Verified" • If the application fee has not been paid or payment has not been approved yet, your Payment Status will appear as "Incomplete" Applications submitted with invalid payment transactions will not be processed. The application fee must be paid only if the relevant program has an opening and applicants fulfill the necessary requirements. Otherwise, the application fee is non-refundable. STEP 4: APPLICATION STATUS You can check the status of your application in this section. You may also view your Application Folder and print out your Application Document. EXITING THE SYSTEM You exit the system by clicking on “Logout”
