 B. Tech 2021 batch students - From 6th April, 2023, 2.30 PM onward students can
view their allotted room type, select the required mess and pay the fee through the
VTOP student login and generate their fee receipt. Students should pay the fees on or
before April 30th, 2023.
 All other category of students - From May 1st, 2023, 2.30 PM onward students can
view their allotted room type, select the required mess and pay the fee through the
VTOP student login and generate their fee receipt. Students should pay the fee on or
before July 7th, 2023.
 Students will be checked into the allotted rooms only if the fee payment procedure is
complete. Room and mess details of fee paid students will be displayed through VTOP
students’ login from May 1st, 2023, 2.30 PM onward for B. Tech 2021 batch students
and from 8th July, 2023, 2.30 PM onward for other students.
NCGPA Based Ranking: Room reservation criteria will be purely based on the NCGPA
Ranking. Normalized CGPA of the students’ will be calculated as given below:NCGPA = CGPA X (GROUP TOPPER CGPA / BRANCH TOPPER CGPA)

Counseling Process (Applicable to both NRI and Indians)
 NCGPA rank and Slot timings of the students taking part in the counseling process
will be displayed in their respective student login ONE day in advance.

Auditorium to enable students to decide on the room to be chosen during the
counseling process.
 For allotment of rooms, students will be called as per their NCGPA rank within the
group. In the shared room, room allotment will be done only if the group has full
room strength (Ex: For a 4 bedded room, 4 students should be identified by the group
prior to room counseling).
 Students can select their roommates falling within their group (e.g. G1 with G1).
However G2 students may choose G1, G3 students may choose G1 and G2. Indians can

choose NRI & Foreign students as their roommates as well. But G4 students can
choose roommates within G4 only.
 Student having a higher rank is allowed to group students with lower NCGPA and apply
for a shared accommodation (1, 2, 3, 4, 6 and 8 bedded rooms).
 Only the topper in the group will be allowed to enter the counseling hall for selecting
the room. The topper should bring his student ID card along with the ID cards of all
intended roommates and get the room allotment for all of them.
 Once the group leader decides on a particular room type/block during counseling that is
considered final. No student belonging to that group can later contest the group leader’s
decision.
 Group leader should come prepared and be in a position to decide on splitting the group,
in case the required type of room is not available during their turn of counseling (For
e.g. If 6 students have grouped for opting a 6 bedded room and if a 6 bedded room is
not available (based on status of room availability displayed) the Group leader has to
decide on splitting the group members based on the available room type and proceed
for counseling without delay). On splitting the group, the group leader needs to
represent the left out students during their turn based on the rank and seek room
allotment.
 Student, who is not in a position of attending the room counseling due to any
unavoidable circumstances, may nominate a friend to attend the counseling on his
behalf. Prior approval (at least one week in advance) will have to be sought from
Chief Warden/Director.
 Hostel fee of final year students intending to vacate hostel for carrying out
project/internship outside VIT will be refunded as per refund policy (monthly pro-rata
basis) on submission of the internship offer letter.

Note:

Hostel fee is applicable for 2 semesters (10 months) & is inclusive of annual laundry charges for 44
washes.

Hostel fee for 2021 B.Tech students (May-July, 2023) is inclusive of laundry charges for 12 washes.

Hostel fee is subject to annual escalation.

Monthly change of mess will be facilitated. For Mess upgradation in the first half of the year, full
differential fee has to be paid and if done in the second half of the year 50% of the differential fee has
to be paid.

NO REFUND is applicable for mess (or) room down gradation as per refund norms.

Students of Men’s Hostel will not be permitted to stay as Day Boarders outside the campus, unless
parents stay with them.

No hosteller should skip the counseling process unless prior permission is sought from the hostel
authorities.

On the day of counseling, communications pertaining to the process will be shared to the student’s
mobile number. Hence, students are advised to validate their mobile numbers on approaching the
respective proctors without fail in advance.
NO CHANGE OF ROOM WILL BE ENTERTAINED AFTER
