Mastering the fundamental basics of check in are apparent; however, continue to pay attention to detail to other tasks. For example: Ensuring you have collected proper demographic information and have also entered it in the system. Remember new patients cannot be scheduled with completed demographic and insurance information. When a patient completes ANY type of paperwork or gives you any documentation, you must update the chart in addition to scanning. For example: Insurance Cards-please also have Billing Department re-run insurance eligibility (which is also a task you will need to be trained on) and you MUST update the insurance in the system-not just scan the card. Med Lists-please check the med list for patient updates to the demographics AND pharmacy. Make any necessary changes in the chart. NP Paperwork: make sure the information that is in the chart matches what the patient has written down (name spellings, address, DOB, SSN, email, pharmacy info and insurance info). o When a patient has been added to the schedule after the Billing Department has done their Schedule/Eligibility, you must notify the Billing Department that you’ve added a patient on immediately so they can run eligibility prior to the patient arriving. o Paying close attention to the Schedule/Eligibility that the Billing Department has done. Make sure you review their comments for balances owed, amount currently due, total amount due, and whether you need to collect insurance, ID, or any other documents. Remember, always read it thoroughly and follow requirements for each patient. o Faxes: please remember to list the Rx medication, the name of the radiology imaging, and be sure you remember how to determine who to assign the faxes to. Read the fax to try to relate it to where it needs to go. For now, Christina D. gets Rx refill requests, Kiara gets Prior Auths and any documents that the doctor needs to wet sign, Sheila gets all reports, results, labs, consults. Remember to make sure that there is only 1 patient to a fax and separate accordingly. o When closing out the day, please remember to reconcile and balance each line item before turning it in. All totals should match. -The following are tasks that are scheduled to be trained; however, mastery of the above is required before further training commences: o Prescription Refills o Cross-train in the back for Medical Assistant Coverage Summary: Overall Skkylor is progressing well. I have observed her knowledge of the position; however slight attention to detail is needed to fully complete the task accurately. Once consistency is noted with these recommendations above, I feel confident to further her training to the next phases.
