The committee ensured effective coordination and meticulous planning throughout the process. Selection of Participating Companies and Organizations A rigorous selection process was conducted to invite reputed companies and organizations relevant to various business functions. Companies like Tkxel, Arbisoft, CONFIZ Solutions, and Programmers Force were among the notable participants. Venue Selection and Logistics A suitable venue within the university premises was selected, considering the space requirements for booths, presentations, and workshops. Logistics, including transportation, signage, and audiovisual arrangements, were efficiently managed. Confiding to past open houses, Namal DArea was selected for the event. Marketing and Promotion Strategies To create awareness and maximize participation, a comprehensive marketing and promotion campaign was executed. This included digital and traditional advertising, social media promotion, email campaigns, and collaboration with student societies. An online setup was made by ITSC to facilitate students in uploading their FYPs along with their CVs for the companies to see and also to maintain a neat FYP directory. Booth Setup and Arrangement Designated booths were set up for each final year project, providing students with an opportunity to showcase their work through live demonstrations and visual displays. Proper arrangement of booths allowed for easy navigation for visitors. Keynote Speakers and Panel Discussions Renowned speakers and industry experts were invited to deliver inspiring keynote speeches and participate in panel discussions. The session was held at the end of the event in which souvenirs were given to all the companies that came in response to the invitation. Interactive Workshops and Seminars Various interactive workshops and seminars were organized to enhance participants' knowledge and skills. These sessions covered topics such as resume building, interview techniques, and emerging technologies in respective fields. “Corporate to Campus” workshop was held for 3-days to prepare students for the open house. Expenditures of open house: The expenses incurred during the Open House event, held on May 25th, 2023, are detailed below: Printing Expenses: • ITSC Printing: An amount of 39,060 was spent on ITSC printing services. • Binding Material: A sum of 4,540 was allocated for binding materials. • Standee: The cost of standees used during the event amounted to 2,000. Tent & Fans: • Pedestal Fans: A total of 15,300 was spent on acquiring pedestal fans. • Tent Services: Tent services for the event were arranged at a cost of 15,873. Mess & Canteen Expenses: • Guest Lunch: An amount of 210,000 was incurred for providing lunch to the guests. • Student's and Usher's Lunch: Lunch expenses for the students and ushers totaled 42,660. • Guest Dinner and Breakfast: The cost of dinner and breakfast for the guests amounted to 49,030. • Canteen Bill: Additional expenses of 31,130 were accrued from the canteen services. Transportation Expenses: • Companies Travel: A sum of 179,636 was spent on transportation related to the event. • Namal to Isb: Travel expenses from Namal to Islamabad amounted to 18,108. • Travel & Food: 12. Siemens, Systems NHTC: The cost of travel and meals for Siemens, Systems NHTC was 5,950. Office Visits: • Expenses for office visits amounted to 5,082. Overall, the total expenses incurred during the Open House event amounted to 635,132. These expenses covered various aspects of the event, including printing, tent and fan arrangements, mess and canteen services, transportation, and travel and food expenses for different participants and companies. Feedback and Evaluation Identification of Strengths and Areas for Improvement Based on the feedback analysis, the strengths of the Namal Open House 2023 included the quality of student projects, networking opportunities, and the relevance of workshops and seminars.
