Organizing a Training Event:
It is a conference used among the most useful innovations of civilizations, in
which new idea coverage and lead to knowledge and technical product that
benefits its future and various risks. Our company is specialized in organizing
events for selective clients. We have been chosen to design, present and sponsor
this event for this company And a specific audience. The event is about
exploration, it is a new project based on the idea of space knowledge and
tourism. The company works on developing their own spacecraft,
satellites and launch technologies. They also work with existing national and
commercial space organizations, and the existing network of spaceports for
Launch. Hence, we are required to organize this conference on this
Specialization. The meeting was discussed with the client of the mentioned
company and then approved by our client. The client will need training For some
parts, for example as members of committees evaluating applications submitted
by potential participants.
Preparation:
• I and a group of my colleagues undertook to prepare the management of this
conference. We prepared a scientific conference for several days which wasn't
easy at all. It took us a lot of time to do research, secure sources, book,
schedule business, and so on a great effort. We created specialized committees
to hold this conference, we also used multiple and different advanced
communication techniques and formulas to solve problems and obstacles
within the activities of the conference. We created a professional schedule that
includes clear headings and sections with specific criteria and gave the
customer the opportunity to choose from them. A record was made to facilitate
tracking of the work steps. The conference days was decided to be five
days including the attendance of the audience. Stakeholders developed a plan
to discuss the importance of continuous professional development (CPD), and
indicate its role in the conference, responsibilities and performance goals must
be determined, such as training and developing the required skills, for future
goals.
Rules and steps for writing conference Papers
and distributing responsibilities
1- Determine the method for writing an effective presentation.
2- The presenter must be aware of the main issues and questions in the subject
of the conference, preparing conference papers is a hard work to build customer
confidence and achieve a good reputation, and determine its needs in order to
help listeners understand the ideas presented.
3- Holding group meetings and individual meetings, physically and through the
means of communication for the social attendees, do the training program
through the. WhatsApp, Microsoft Teams, and Zoom. all team members were
very creative by presenting wonderful ideas within the field of their work
entrusted to them.
To develop any plan or program for organizing the
conference, we must follow the following:
• 1- Plan and do not wasting time, provide an appropriate budget, and avoids any
unexpected obstacles. To ensure effective training delivery by designing a
professional project plan.
• 2- Understand who will discuss and present the conference.
• 3- To ensure the success of the conference, speakers and guests must be
selected, and entertainment and the provision of food and drink must be taken
into consideration, in order to determine the required budget.
• 4- Find sufficient space, places for resting sessions, and residence and
meeting rooms, and ensure compatibility with technology and innovative audiovisual facilities to meet all daily business needs, and Prepare the invitees and
their requirements.
• 5- After finishing the plan, you must meet with the client in order to review the
plan, and check if there any issues.
• 6- The selection of speakers should be rich in knowledge, highly relevant to
guests, specialized, and highly qualified.
• 7- The schedule for the conference, which begins at an appropriate time and
ends at a reasonable time, including workshops, rest times, feeding the
participants, providing a local entertainment venue, and so on.
• 8- Time management leads to conference success, such as organization, priority,
and goal setting.

prepare an individual report including the events of the
conference and a management
• 1- Plan to effectively present the training event by designing a professional project plan with
details.
• 2- Adjusting the roles assigned to the members of the group and evaluating the personal skills
of each member that justifies the role assigned to him and assigned to him in the team.
• 3- Writing down the purpose of setting up the project, the evidence of the meetings that took
place with the client and team members, the results of the meetings, and the
incidental problems and challenges.
• 4- Standing on the problems that have been identified and developing a plan to
overcome them in the project schedule with activities and milestones and taking alternative
specific emergencies.
• 5- There may be power outages, communication difficulties, equipment malfunctions, or other
challenges. Therefore, an emergency backup plan must be developed to be used as a safety
measure as alternatives.
• 6- The ability to influence followers to achieve the goal set in the action plan. The manager
gives thanks and appreciation to the client company and its members and commends the
cooperation and effective performance of the company in making the conference a success
and achieving the desired goals. From such meetings, and urging companies and other
institutions to follow suit to such meetings and participations.
