Electronic document
Electronic document means any information in digital form that is conveyed to an agency
or third-party, where information may include data, text, sounds, codes, computer programs,

software, or databases. However, using electronic documents for final presentation instead of paper
has created the problem of multiple incompatible file formats. Even plain text computer files are
not free from this problem e.g. under MS-DOS, most programs could not work correctly
with UNIX-style text files and for non-English speakers, the different code pages always have
been a source of trouble. Even more problems are connected with complex file formats of
various word processors, spreadsheets, and graphics software. To alleviate the problem, many
software companies distribute free file viewers for their proprietary file formats (one example
is Adobe's Acrobat Reader). The other solution is the development of standardized nonproprietary file formats (such as HTML and OpenDocument), and electronic documents for
specialized uses have specialized formats – the specialized electronic articles in physics
use TeX or PostScript.
Data, in this context, refers to a delimited set of data elements, each of which consists of a
content or value together with an understanding of what the content or value means; where the
electronic document includes data, this understanding of what the data element content or value
means must be explicitly included in the electronic document itself or else be readily available to
the electronic document recipient. It is any electronic media content (other than computer programs or
system files) that is intended to be used in either an electronic form or as printed output. Originally,
any computer data were considered as something internal — the final data output was always on paper.
However, the development of computer networks has made it so that in most cases it is much more
convenient to distribute electronic documents than printed ones. The improvements in electronic visual
display technologies made it possible to view documents on screen instead of printing them (thus saving
paper and the space required to store the printed copies).
Electronic Documents types:
“E-document” refers to any transactional document which is exchanged between trading partners
in an electronic format and manner. Distinct from PDF or image files, e-documents are machine
readable and typically exchanged via software or online platforms rather than email. E-document
types include, but are not limited to:

Purchase orders

Invoices of various types

Credit/debit notes

Correction invoices

Dispatch advices

Goods receipt notes

Payment instructions
Which e-documents you work with depends on your operations and your local regulations. If
your company operates in multiple countries, best practices and government-mandated
requirements on business documentation will likely vary by country.
