PeopleSoft originally offered human resources and finance applications. Over the years, it has added tools and applications for general business processes, such as materials management, and applications for specific industries, such as the automotive, communications and higher-education fields. PeopleSoft now provides users with an integrated ERP (Enterprise Resource Planning) software package that assists in the day-to-day execution of various business operations. PeopleSoft applications are used by human resource departments in large corporations. These applications include human resource management systems (HRMS), customer relationship management (CRM), financials and supply chain management (FSCM) and enterprise performance management (EPM). BASICS There is a menu on the left-hand side of the screen and a series of boxes containing details of menu items – there are different boxes for General Ledger, Accounts Payable, Programme Management and so on. This happens after posting. These stages are illustrated in the diagram. 6.1 ONLINE JOURNAL ENTRY From the Oxfam General Ledger box, or Journals folder select the ‘Create/Update Journal Entries’ link. The following Page will appear for you to enter some basic details: Business Unit: This defaults to your home business unit based on your Operator ID. If you need to enter a journal for another business unit you can use the magnifying glass to display a list of available business units. GL Journal ID: NEXT means that the system will automatically assign the next available journal ID number to your journal when you save it. You always use NEXT when creating a new journal online. . A journal consists of a Header containing information relating to the whole journal (eg, the date) and Lines, which are the individual transactions. A journal is posted whole – you cannot post some transactions and not others. The Ledger is only updated once a journal is posted. Once posted it is not possible to change or delete a journal. A journal line must consist of chartf ields (or codes), an amount and a description. Journal lines can be entered in any currency. Journals must balance (ie, total debits must equal total credits) before they can be posted. You can move from the journal header page to the journal lines page by: clicking on the Lines tab. clicking on the Lines link at the bottom of the page. The Page consists of three main areas: 1.Process Box. We will look at most of the options in more detail later. 2.Basic Journal Details. These are the details that were supplied on the header page. In the example above, the journal has not been saved so the system has not yet assigned it a Journal ID; the word NEXT appears to tell you that the next journal number will be allocated when saved. 3.The Input Area. This is the area where journal lines are entered. This area consists of a number of columns. You may have as many rows as you wish. As this is journal is longer than the screen there are scroll bars to the right, as well as underneath. You can click on the button to choose templates with different available entry columns PeopleSoft has a facility to Import journals through Excel. This has many advantages: You can prepare journals without having access to PeopleSoft; You can use Excel functionality e.g. to calculate and cut and paste; You can Import several journals at one time.
