Steps of Drafting an Effective Email Message
1. Use an effective “Subject Line”
A Subject Line plays an important role in creating an email. It basically gives a brief
idea what the email message is all about.
The subject line should be short and not a mixture of many emotions.
2. Always start the message with a “Salutation”
A salutation is a greeting we use at the beginning of an email, a letter, or a note.
Examples:- Dear, Mr./Ms./Mrs./Hello/Hi or Greetings

3. Make the message “Crisp and Clear”
An email message should reflect the
• “Purpose” of your message
•
“Numbering your points” brings clarity and helps in telling the reader exactly
what you are looking for,
• “Politeness” shows you are a gentle person and the message is not an attack
• “Readable” enough for the receiver to understand.

4. Drafting the message in “Paragraphs”
An email message should be composed in “Paragraphs” so that it does not look like
a letter or a complaint.
Paragraphs divide the message in a subtle manner enough for the receiver to
understand the message perfectly.
5. Thanking the “Receiver”
Writing a message and not thanking the receiver is not professional. We should
always thank the receiver for giving their valuable time and cooperation.

6. “Complimentary Closing”
A “Complimentary Closing” is a polite ending to a message. This isn’t essential but
it warms up the end of the message. Example:- Regards/Yours sincerely/faithfully
or Best Wishes
7. “Signing” the message
Ending the message with your Signature/Name with the designation (if applicable)
and Contact Details is important because it gives a clear idea to the receiver of the
