Hope all of you had a great weekend.
I propose to convene a meeting of all the Chief Managers and Managers at the
Conference Hall in the second floor on the 15th of July, 2019 at 3.30 P.M.
The agenda of the meeting will be "How to improve our customer service".
I welcome you to send your suggestions to improve our customer service, by e-mail to my
secretary Mrs. Linda not later than 12th of this month.
All your suggestions will receive my personal attention. The suggestions that are found to
be good and workable will be discussed in the above said meeting. The persons giving
such suggestion will be given due credit.
Therefore, please send your suggestions and let us jointly take efforts to improve our
customer service.

Dear Sir,
My greetings to you, Sir
With regard to your e-mail dated ……I thank you very much for the opportunity given to
us to offer our suggestions for better customer service.
The following are my suggestion.
1. An officer, instead of a junior clerk, is required in each department dedicated only to
answer customer calls. He/ She will be a single point of contact for the customer to resolve
all issues concerning the customer's work in the department within a reasonable time
frame.
2. When a customer calls by phone there should be a person - a telephone operator who
will direct calls to the related department's dedicated officer.
3. If the above procedure is followed the customer will be talking to just two live persons
instead of the Voice Interactive Response (IVR) which is a big irritant to the customers
who I deal with.
If you need any further explanation or clarification from me, I shall be too happy to be of
further assistance to you.

I am sorry say that the customer service at your branch is not that satisfactory of late. The
following are the areas that I think, have to receive your attention:
1. The token Display Board never works.
2. The ATM machine just outside your branch is out of order most of the time. Or, the cash
is not available for withdrawal.
3. There are some clerical staff who reach the counter late always.
4. The Pass-book printing machine seldom works.
5. Above all, no one picks up the phone; it is almost impossible to talk to anyone in the Bank.
I shall be glad if you could arrange to attend to the issues mentioned above as soon as possible.
