AXIS SHIPPING STANDARD OPERATING PROCEDURE - SOP
This document provides an overview of logistics services offered by Axis Shipping .
Our company gols is offers the logistics services with high degree of quality and security.
In order to improve our operation process we invite you to follow closely the steps of
this document. This way we can minimize logistics gaps and communication failure.
1 – GETTING IN CONTACT WITH THE SHIPPER

Do not move any airfreight to Brazil without our previous authorization. In case
you receive any freight, without having our shipping instructions, kindly send us
its respective commercial invoice or any other information about the cargo
immediately. Axis Shipping must disclose this information to the
importer/consignee, in order to check if there’s any Import license or special
instructions to be followed, such as the necessity of moving to a bonded
warehouse. The disrespect of this instruction may result on penalties and fines
by Customs Authorities (lack of Import License) or extra storage charges
(impossibility of moving to a bonded warehouse).

When getting in contact with the shipper, please inform who did you speak to
(first and last name/phone number);

Get the cargo estimated date of readiness and confirm about the type of
package;

Please, ask the shipper to send us commercial invoice and packing list. We also
need the pictures of cargo before the pick-up of cargo in order to verify if the
package is in accordance with the brazilian regulation;

Advise when the pick-up of cargo is schedulled (informing date and time) and
the tracking number;

Inform about confirmation pick-up and ETA of cargo at warehouse. If anything
happens and the ETA change, we must be notified with formal explanation;

2 – WAREHOUSE PROCEDURES

Send us warehouse receipt with reweighting confirmation and
remeasure. Your scale must be precise. If cargo arrives in Brazil with
weight diference it will cause extra charges with penalty;

Provide us the scanned copy of documents that arrived with the cargo.
Original comercial invoice and packing list must be signed with blue ink.
If is not, please notify us.

Send us pictures of cargo after arrival at warehouse. Note that photos
must shows clearly the IPPC stamps when it´s wooden material;

All the volumes must be duly labeled with MAWB and HAWB
identification. The lack of label will automatically delay customs
clearance5 up to 10 days to be finished. Extra storage charges may
happen. We suggest fixing 02 labels to assure that we will receive the
freight at least with one of them. If cargo arrives without at least 01 label
we will debit you relabeling as per outlay.
SPECIAL CARE ABOUT WOODEN PACKAGES
Brazilian Government also regulates every piece of wood that arrives in Brazil
(according to “IN MAPA 32/15" regulation, from February 1st 2016).
NOTE:
Due to guidelines released in Brazil and valid as of 1st of February 2016 the following
wording has to be listed in each HAWB and MAWB for all shipments with final
destination Brazilian airports:
The declaration must follow the below format:



Wooden Packing: Processed Wood;
Wooden Packing: Treated and certified (the materials have been treated and/or
fumigated and include a Certificate);
Wooden Packing: Not Applicable (when packing material is not wooden).
Any wood package, pallet or piece must be fumigated at the place of origin, and also
stamped with proper IPPC marks, as per below. The IPPC Mark needs to be clearly
stamped on both sides, no matter if used separately or together.

Brazilian Customs demand all Brazilian ports and airports to strictly comply with this
regulation and arrange immediate return of wood pallets/packages/pieces to origin, if
above requirements are not met.
As freight forwarders, we need to be extra careful. Our role is to ensure everyone is
aware of the regulations and double check with shippers if all wood
pallets/packages/pieces inside containers follow them:

In your first contact with the shipper, advise them about the Wooden
Fumigation´s Rule and the consequences over this issue. We highly recommend
you to get a writing confirmation from the shipper.

Double check every piece received at your warehouse. Verify carefully if the
wood pallet/package/pieces are properly stamped on both sides. If cargo is not
stamped or if stamp is not clear, please hold this shipment and contact Axis
immediately for futher instruction.
Failure to follow these directions can cause expensive penalties from Brazilian
authorities to us and your company.
3 – ISSUING THE DOCUMENTS
Please follow our SHIPPING INSTRUCTION where you can find all information to issue
the HAWB and MAWB properly.
You must to wait for our approval on HAWB and MAWB. Note that we will aprove it
after receive the details of cargo reweight and remeasure.
After our approval send us a scanned copy and signed MAWB and HAWB original 2 (for
consignee) and the Cargo Manifest along with your debit note. If it´s not possible to
send us the debit note the same day, we expect to receive it the next working day.
Pre-alert with following docs: final MAWB, final HAWB, commercial invoice, packing list,
debit note and any other shipping document must be received before flight departure,
duly respecting the Brazilian working hour (8:00 am up to 5:30 pm local time). Without
this information on time, extra warehouse charges may occur on cases

that cargos are destined to a bonded warehouse, and Axis Shipping is obliged to instruct
airline at least 10 hours before flight arrival.
Important: It is of upmost importance that the original 2 (for CNEE) of the MAWB and
HAWB, come along with consolidation pouch, since no other copy is accepted by
customs for clearance purposes in Brazil.
HAWB

Each HAWB must be consigned to the Importer in accordance with the shipper´s
commercial invoice and it must includes the consignee´s CNPJ number, as shown
on our shipping instructions;

HAWB must be dated with same date of MAWB;

The “Nature and Quantity of Goods” field must show the same description of
goods, as shown on the suppliers Commercial Invoice;

Declare Wooden packing information on box “Handling Information” as per one
of the below options:
o Wooden Packing: Processed Wood;
o Wooden Packing: Treated and certified (the materials have been treated
and/or fumigated and include a Certificate);
o Wooden Packing: Not Applicable (when packing material is not wooden).

The duties and taxes in Brazil are based on CIF value, therefore all the freight
charges must be always mentioned on HAWB, no matter if it is on pre-paid or
collect basis. Terms such “as agreed” or “as arranged” are not allowed in Brazil. In
case we receive the original HAWB without freight charges, the Customs
Authorities denide customs clearance process until we provide a Letter of
Correction indicating the IATA freight level. It may occur extra storage charges
(due to the time we spend to conclude the rectifying process) and extra duties
(as the CIF value will increase due to the Customs requirement of a CCA altering
the freight to IATA basis). The entire amendement process may take from 10 up
to 20 days and the extra costs that will follow;

No erasures or corrections are acceptable on the HAWB;

Gross weight on HAWB and MAWB must be exactly the same from shipper´s
packing list/ invoice in case you do not reweight the cargo.

Please do not mention any origin charges on prepaid column of the HAWB when
the freight is collect otherwise customers will be obliged to pay duties on top of
both CC and PP charges.
BE AWARE: Axis Shipping is not allowed to remit any value not shown on
HAWB´s. Therefore, please ensure to mention all charges in the House according
to the Incoterm, unless otherwise instructed. The total amount on HAWB must
be the sum of all the charges mentioned on it.
MAWB

The description of the field “Nature and quantity of goods” must be:
“Consolidated Cargo as per attached cargo manifest”;

The freight charges must be always on pre-paid basis and its Ok if IATA rate;

Do not include any other charge than the airfreight amount and the other
charges due carrier;

Declare Wooden packing information on box “Handling Information” as per one
of the below options:
o Wooden Packing: Processed Wood;
o Wooden Packing: Treated and certified (the materials have been treated
and/or fumigated and include a Certificate);
o Wooden Packing: Not Applicable (when packing material is not wooden).

No erasures or corrections are acceptable on the MAWB;

Every MAWB must be attached with cargo manifest which may show the
number of the HAWBs and its shipper, consignee, nr. of volumes, gross weight,
freight terms and freight amount;

The consignee the MAWB must be issue as per our instruction. Note that Axis
Shipping holds the follow branches. Please be aware to inform the correct
branch.

The debit note must be ussued with the same branch indicated on MAWB.
IMPORTANT!!!
Always keep us posted about the every step of operation.
We inform to our customers the actual status of their shipment twice daily. Sometimes
more than 2 times of the day.
For us, commuinication and feedback are necessary to sustain the operation quality.
