If new order is required, we can add Service Request from the Dashboard. ADHOC / TENANT MAINTENANCE – CREATES SERVICE REQUEST Normally, a helpdesk create a service request whenever an new issues reported. Simplify screen allow helpdesk key in the important info quickly. Subsequently, a Works Order will be created automatically. Enter the Basic Details obtained from the caller Search Option is also there to fill the contact details History can be triggered Enter - brief description - Category - SubCategory - Priority - WO Template - Problem Description - Notes for accessing Premises All these fields are optional ADHOC / TENANT MAINTENANCE – WORK ORDER Works Order created provides the assignment of labor for the completion of the job. Segregation of WO into categories provides the dimension for analytic reports based on volume and cost. All the details defaulted from Service Request. You can edit it to modify Enter additional required details ADHOC / TENANT MAINTENANCE – WORK ORDER Select the appropriate labor to work on the WO with scheduled time. Employee fill in the actual date time to complete that WO. Labor charges will be automatically calculated based on the setup. ADHOC / TENANT MAINTENANCE – WORK ORDER Workflows can be created to run through the mandatory steps of a WO approval. ADHOC / TENANT MAINTENANCE – MOBILE MAINTENANCE Works Order Mobile App (iOS, Android, BlackBerry) Works Order can be attended to by the on site team with their smart phones when a WO is created and assigned to them in the headquarters. On-site team can attach photos, input material and Labor info through the smart phones. Moreover if new WO can be created through smart phones app. ADHOC / TENANT MAINTENANCE – WORK ORDER Vendor In the event that an external vendor is required to rectify this WO, select the vendor and attach the vendor quote to the WO. ADHOC / TENANT MAINTENANCE - PURCHASE ORDER Purchase orders is raised to requisite services from vendors or materials to restock the inventory (Inventory Module is used). Workflow can be configured to restrict the approval of PO based on the organization financial regulations. If PO is created from WO, WO# will be shown on the PO ADHOC / TENANT MAINTENANCE – POST WORK ORDER Works Order is integrated with AR Charges and AP payable. One the WO is completed, it is a simple process to create Unposted Payable Batches and Charge Batches by doing Post Work Order. Post Work Order creates Unposted Payable and Charge Batches Can post all Work Orders for a Property or can enter a single Work Order Number or combination of different filters Select the filter criteria as per your requirement. MAINTENANCE – WORK ORDER MONITORING All WO can be monitored and acted upon in the WO dashboard. Escalation logic can be configured to ensure that critical WO is resolved timely. e.g. Supervisor can use unassigned only option and Status to find out all the unassigned WOs. MAINTENANCE - WORK ORDER ANALYTICS & REPORTING WO Analytics provides many different Reports and grouping criteria for user to do WO analysis. With different combination of filter and grouping, there are more than 30 analytic reports. Work Order analytics reports are useful because you can summarize them by different values such as property, vendor, category, and so on. Some reports provide graphic displays of the data. MAINTENANCE - WORK ORDER ANALYTICS & REPORTING Period Overview The Period Overview report is several reports combined into one report. It shows the Period Activity, Average Per Day, Completed Activity by Category, and Completed Activity by Priority. MAINTENANCE - WORK ORDER ANALYTICS & REPORTING Cost Analytics Analytics for WO can be done to determine common or most expensive causes of failure and allows the execution of data backed decision. MAINTENANCE - WORK ORDER ANALYTICS & REPORTING Labor Analytics Analytics for labor can be done to assess productiveness and responsiveness of the property management team. YARDI FACILITY MANAGEMENT Scheduled Maintenance SCHEDULED MAINTENANCE Service contract and Recurring Work Order is used in Maintenance to management those schedule maintenance. SCHEDULED MAINTENANCE – SERVICE CONTRACT A service contract is an agreement with a service provider that specifies a service to be provided, at regular intervals, at an agreed upon price. Service contracts may be for a fixed period of time, or they may be open-ended. Voyager Service Contract streamlines the implementation and management of service contracts. Recurring services, such as snow removal, trash pick-up, and cleaning, are efficiently managed using service contracts. SCHEDULED MAINTENANCE – SERVICE CONTRACT After creating service contracts you can post them and create purchase orders. It can be done in monthly base. Multiple Service Contract can be posted in 1 time. SCHEDULED MAINTENANCE – SERVICE CONTRACT In a single database, we can check all the related PO and Payable in review Service Contract. For the detail, it just required to click into the PO# or Payable#. It helps manage the Service Contract more efficiency. SCHEDULED MAINTENANCE – RECURRING WORK ORDER Recurring Work Order can be raised for periodic maintenance services by internal staffs. It can be scheduled in daily, weekly, monthly or yearly. SCHEDULED MAINTENANCE – RECURRING WORK ORDER Normal Work Order will be automatically created when Recurring Work Order is posted. We can post Recurring Work Order for multiple properties in 1 time.
