BEFORE THE APPRAISAL
ACTION
Assign enough time to prepare.
Ensure appraisee’s job description is up to date.
Brief appraisee; responsibilities, timings.
Know your boss’ departmental objectives.
Agree appraisal meeting date.
PREPARATION
Consider performance against job competencies & personal objectives.
Consider appraisee's personal development needs.
Prepare feedback on positives/strengths & areas for improvement.
Collect feedback from others.
Read appraisee’s comments on appraisal form/pre-appraisal form (if used).
Prepare facts & observations to back up your opinion.
Consider appraisee’s personal objectives for the coming year.
Think about how you will address issues of poor performance using ‘positive’ language.
Ensure that your appraisee is aware of any failures ahead of the process.
Preempt & prepare for difficult questions.
Makes notes for the appraisal meeting.
Print out two copies of the appraisal form (if used for preparation), one for you, one for the appraisee.
DURING THE APPRAISAL MEETING
DO's (at start of meeting)
Turn your phone off.
Start by explaining how you plan to structure the meeting. Make the appraisee feel at ease.
Thank the appraisee for providing comments on the form & confirm you’ve reflected on them.
Explain you’d like the meeting to be a positive & open two-way discussion.

Follow the order of the appraisal form.
Demonstrate positivity & interest at all times.
Be objective by using the facts & observations you prepared to back up your point of view.
Balance positive & ‘developmental’ feedback.
Encourage the person to talk by asking open, not closed, questions.
Visibly make an effort to show you’re listening.
Be disciplined – stick to your notes.
Mean what you say.
Discuss & agree personal objectives for next year.
Agree the date for the first informal review meeting.
Be professional, even with good friends.
Take your time.
AFTER THE APPRAISAL & DURING THE YEAR
ACTION (after the appraisal)
Decide who will write up the appraisal form.
Sign off the appraisal.
Develop a spreadsheet listing the objectives of all your appraisees chronologically.
ACTION (throughout the year)
Meet the appraisee regularly for informal reviews (no less than bi-monthly).
Make notes during/after each review.
Note significant performance events during the year.

Review & discuss short term objectives as they come up during the year (check spreadsheet).
Follow through with promises/agreements made at the appraisal.
Keep an ‘open door’ policy.
Show a genuine interest in the personal development of the appraisee.
Deal with any ‘issues’ as they arise. Don’t let them fester.
Show your appreciation of good work when it happens and make a note of it.
Update/amend objectives on the appraisal form if they need to be changed during the year.
